JOB DESCRIPTION

Job Title: Fundraising Engagement Officer

Main Place of Work: Linton House Clinic, Thirlestaine Road, Cheltenham, GL53 7AS with travel within the counties of Gloucestershire, Worcestershire, Herefordshire and such other areas as required.

Working Hours: 18.5 hours per week

Responsible to: Head of Fundraising

Accountable to: Chief Executive, Cobalt

Job Purpose:

To recruit, manage and support volunteers. To recruit and support third party fundraisers to maximise income generation opportunities.

Operational Duties

Key areas of responsibility will include:

1. To recruit, manage and support volunteers involved in various activities supporting the Charity. To include but not limited to producing and creating greetings card, coin collections and general promotion of Charity.

2. Agree with the Head of Fundraising realistic but challenging income targets and ensure these are met within agreed expenditure limits.

3. Act as the point of contact for volunteers and fundraisers for internal and external enquiries, responding efficiently and appropriately to individuals with a high level of customer service.

4. Log and monitor all volunteer and third party-event enquiries.

5. Maximise income by establishing and maintaining relationships with volunteers and third party fundraisers, which may include schools and community groups.

6. Provide administrative support and resourcing of volunteers and third party fundraisers. Advise third party fundraisers on necessary planning and risk assessment to ensure that all events are carried out to best practice standards. Organise the production of support materials with the marketing department. Distribute required materials.

7. Support the card-making volunteers (internal and external), including ordering of inserts, room booking and materials production (by Marketing Team). Co-ordinate Cobalt printed cards production and their sale through Cards for Good Causes Shops by Cobalt volunteers.

8. Co-ordinate volunteers to distribute and collect Cobalt Collecting Tins using the fundraising database to identify collection dates and locations.

9. Support and supervise the role of administrative volunteers within Cobalt. Encourage other staff to identify volunteer roles.

10. Maintain Cobalt’s profile on online fundraising platforms. Manage income received through these.

11. Ensuring gifts and donations are appropriately acknowledged and deal with routine correspondence and enquiries in a timely manner.

12. Updating the database with information on new and existing volunteers and fundraisers

13. Plan and resource volunteer engagement and thank you events

14. To keep up to date with developments in the voluntary sector and current charity law.

15. Assist in ensuring that the Charity is always reported in a positive light in the press and media.

16. Maintain a car insured for business use and have a current driving licence.

Communication and working relationships: The post holder will need to maintain positive working relationships with the following people:

External:  Runners and challenge event participants  Other Third Party Fundraisers  Collecting tin and admin volunteers  Card-making volunteers Internal:  Head of Fundraising  Fundraising Staff Team  Marketing and Communications Team  Finance Team  Cobalt wider team as appropriate

Management of Resources

 Maintain stocks of fundraising materials to support volunteers  Main stocks of greeting card including Cobalt printed cards purchase.

Line management

To co-ordinate the work of Linton House volunteers and work experience placements, writing procedure notes and briefs, and supervising work.

Teamwork

This will involve:

 To work collaboratively with other departments within Cobalt

 Champion the professional integrity of the organisation and demonstrate role model behaviour at all times.

 Adhere to corporate policy and procedure

 Show a positive attitude and approach that reflect the charity’s values.

 Contribute to the development of the charity and the fundraising & marketing teams.

Personal Development

All Cobalt staff are required to participate in the organisation’s annual appraisal and mid year review scheme. The end of year appraisal will include a personal development review where progress made over the last year is discussed and agreed. Focus on the following year’s departmental and personal objectives will be identified, discussed and agreed.

To hold data only for specific registered purpose and not use or disclose it in any way incompatible with such purpose. To disclose data only to authorised persons or organisations as instructed.

You should be aware of all information governance policies and procedures, in order to ensure necessary safeguards are upheld for the appropriate use of patient and personal information.

Person Specification

Experience of online fundraising platforms.

Knowledge of fundraising databases, their manipulation and how they are used for analysis

Understanding of general office systems and procedures, financial management.

Understanding of the charity sector
