Notes

1. Charnwood Marathon  No road closure  A lot of the route is across fields, footpaths etc.  It has taken place for the last 16 years  Takes 30 seconds to go across the road  Police etc. waiting for route map  Local officer to attend and monitor  Leave for the time being 2. Green Zone  Police have spoken to them and asked for a Traffic Management Plan  Lynne suggested organiser attends the February meeting. Lynne to ask them to bring in all information but send draft before this meeting if possible  Sarah asked Lynne to check on their waste and recycling collection; possibly offer a free service but they would need to dispose of their own landfill  They are talking to Environmental Health – directed to their website. They have set up a meeting following the Forum meeting to discuss issues  No additional conditions for Licensing  No impact on Torch Relay 3. Lafarge  Plenty of parking  Quorn car boot may cause issues as people are parking on the grass verge and you can’t get by  They have not contacted Police or LFRS but they may have contacted the local officer  Lynne to ask the organiser if there are any access complications due to the car boot 4. Quorn Car Boot  Shouldn’t put out cones as the are not enforceable  No TTRO – best thing to do is park off the road  Suggestion – put temporary TTRO in place – over £1000 to pay  There have been no complaints 5. Sport Relief covered in TTRO (approved); everything in place 6. Games Time  The event will take place on 9 June, Southfield Park  It will take 14 days in and out  Pyrotechnics – fall out area; may land on Police Station roof  Organiser liaising with Fairfields School  Road closures – not yet but looking at Victoria Street, parking area alongside Southfield Park in evening, closing Southfield Road when outing  10,000-12,000 expected  Same weekend as Download  Police – access no problem but egress concern; need Police to shut off Southfield Road or LCC hard closure for ½ hour  Put closure on No Waiting order as well then TTRO if needed  Exits Victoria Place, A6  LFRS has seen the plan  Access to Extranet password protected site available 7. Jubilee  Highways – same as Royal Wedding; cul-de-sacs no need for road closure, road closure required for major routes  All information about having a street party is on the CBC website  Highways will lend signage 8. LCC Charges for Road Closures  Charging for assessing paperwork - £50 small event, £200 large event  Lynne requires paperwork as CBC will have to start charging for Town and Police clauses  Charitable events don’t get charged unless making money  If road closure has previously been approved and there is no change, there will be no charge  If there is a change to a previously approved road closure or it is a new application, there will be a charge  Lynne requires a proper schedule from LCC to present to senior management 9. Big Screen  Looking at security and if street furniture needs to be removed  Currently drawing up plan  Noise level monitoring will also be in plan 10.Holi  Sue Walters to send risk assessment to Lynne 11.Netherland National Circus  Event forum raised concerns due to date  Mick Shaw is producing Olympic planner for the Police  Discuss with Sylvia and Lynne and Mick Shaw on 20th January 12.Marathon routes  Plan generic route and put on global order?  Bring Sport Relief plan to next meeting 13.Police to start charging for services  A matrix is followed for events  It has been passed onto finance department and a decision will be made  It is proportionate – Sylvia is aware 14.Lynne to flag up with Chris resources used re charges  Lynne to flag up with Chris CBC resources used re charges
