GENERAL INSTRUCTIONS FOR EXPERIMENTAL OUTLINE

HATCH/AAES NO. This number should correspond to your approved Hatch or Multi-state project.

TITLE: Give the complete title of the proposed experiment.

PRINCIPAL INVESTIGATOR(S), DEPARTMENT(S): List all investigators and departments including those from other institutions. If other non-AU faculty are involved, please list their complete address including telephone numbers and e-mail.

LOCATION OF EXPERIMENT: Give the name of the outlying unit or units where you will conduct your research. If the research is off site, state the name of the outlying unit and/or the name of the producer or farm involved. State the complete address of the off site research location.

RESEARCH PROBLEM AREA : Choose the RESEARCH PROBLEM AREA(s) that best describes the research. The research problem area defines the general area of study e.g. plant production systems, pollution mitigation, etc. More than one code can be used. Research Problem Areas are identical with CRIS Research Problem Areas (See Section 2) or use http://cwf.uvm.edu/cris/revman/manvi_rp.htm.

SUBJECT OF INVESTIGATION: The subject of investigation is the commodity(ies) or entity(ies) being studied e.g. swine, wood products, etc. Choose the code(s) that describe the SUBJECT being studied. See (Section 3) for a list of commodity codes or use http://cwf.uvm.edu/cris/revman/manvi_si.htm.

OBJECTIVES: List the specific objectives of the experiment.

PROCEDURES: Describe in detail the procedure and time schedule for each objective to be accomplished. All procedures such as diets, feeding schedule, application rates, pesticide use, fertilizer use, crop variety, seeding rates, row spacing, tillage, etc. must be described. Field plans should be a part of the outline. . If procurement of cattle, seed, fertilizer or other materials are the responsibility of the unit superintendent, sufficient time must be allowed to follow proper purchasing procedures including bid laws.

START DATE: State month day and year as October 1, 2005 or 10/01/2005. Please strive to submit experiment outlines at least 4 weeks prior to start date. No experiment may be started prior to approval.

END DATE: State month day and year as September 30, 2008 or 09/30/2005. The interval between start and end dates must not exceed three years and the budget submitted must be inclusive for the period covered by the start and end dates.

DURATION: State the specific years that the experiment will be conducted. Experiment outlines will not be approved for longer than a three-year period, and budgets for each year must be submitted with the Experiment Outline.

RESPONSIBILITIES: Describe in detail responsibilities of each cooperator including the Project leader, other faculty/staff, students, temporary labor and outlying unit personnel. State responsibilities of all participants. Establish a clear division of responsibility. Such statements as Asame as last year@ are not acceptable.

PUBLICATIONS: State criteria for publication of data. Include any agreements pertaining to authorship of publications, use of data by superintendents during field days or other meetings at outlying units, or exposition of demonstrations/experiments in meetings.

ASRF FORM: If the research involves animal subjects, an Animal Subjects Review Form (ASRF) or an Animal Production/Maintenance Facility Standard Operating Procedures Form (APRF) must be submitted to the Institutional Animal Care and Use Committee (IACUC) for approval. These forms may be found at the following address: http://www.auburn.edu/research/vpr/animals/iacuc_index.htm. The approved form should be attached to the Experiment Outline. If approval is pending, give estimated approval date and attach a copy of the ASRF or APRF. No research involving animal subjects on any outlying unit will be executed without an approved ASRF or APRF. A scanned copy of the approved ASRF in PDF format is acceptable to submit with the electronic copy of the outline.

BIOHAZARDOUS MATERIALS INCLUDING R-DNA:: If the research involves biohazardous materials including r-DNA or infectious agents of humans, animals, or plants, a Biological Use Authorization Form must be completed and submitted to the IBC for approval. The BUA form is found at the following address: http://www.auburn.edu./administration/safety/BiosafetyManual/AppendiA.htm. Attach the approved Biological Use Authorization Form (BUA) to the experiment outline. A scanned copy of the approved BUA in PDF format is acceptable to include with the electronic copy of the experiment outline. No research involving biohazardous materials or r-DNA will be executed at outlying units or the Plant Sciences Research Center until the BUA is completed and approved.

CONTRACTS/GRANTS OVERVIEW. A list of all contracts/grants/extramural funding/gifts that support the proposed outlying unit research must be stated on the outline form. Duration of funding support must be listed also.

BUDGET. All experiment outlines must include a budget that states the source and amount of funding to support the proposed research. Budget amounts must be discussed and agreed upon with PI and outlying unit superintendents. Amounts may be a cash payment or payment-in-kind e.g. pesticides, fertilizer, seed or other supplies/equipment used to support the research. Budgets must cover the specific period the research will be in progress at the preferred outlying unit. Authorization to proceed with research may be influenced by funding availability in support of outlying units and priorities of AAES

APPROVALS: The PI must first draft the outline, sign the approval sheet that is attached to the Experiment Outline Form and submit to the Department Head/Chair for approval and signature. Please note that PI’s and Department Heads/Chairs only need to type in their names on the Approval page of the Word formatted Experiment Outline Form. The PI then submits outline as an e-mail attachment to Superintendent(s) of outlying unit(s) for confirmation and/or further discussion on division of responsibility and budget. The Superintendent of the outlying unit then signs the outline Acrobat approval sheet using a digital signature indicating that appropriate discussions on funding and division of responsibility have occurred and sends it with the outline form to the Director of Outlying Units as e-mail attachments. The superintendent will also enter the experiment title along with the PI and department head/chair name on the Acrobat Approval Sheet. All PI’s should strive to complete the approval process at least 4 weeks prior to the initiation date of the experiment protocol to allow superintendents time to obtain supplies, research animals, prepare soil, etc. EXPERIMENT OUTLINE FORM Alabama Agricultural Experiment Station - Auburn University
