Oliver Beach Elementary School PTA Meeting Minutes Tuesday, March 12, 2014

1. Approval of December & 2/11/14 PTA Meeting Minutes  Colleen will send out the December meeting minutes for review and approval. Andrea will send out the February 11, 2014 meeting minutes and tonight’s minutes for review and approval. All will be approved at the April meeting. 2. Treasurer’s Report/Update  Items paid for in February – 1st Book Fair invoice, Ball Room Dancing for 5th graders, movie night expenses, Reading program prizes/expenses. There was some additional revenue from the quarter auction in February. March activity – book fair deposits and expenses. Our actual profit for the February book fair was $899.08. The Chick Fil A fundraiser check for $152.71 was deposited and a spirit wear invoice was paid. An updated balance sheet is included with the minutes.

3. Current Committee Updates Colleen Amaral  Spirit Wear  A large order of 200 T-Shirts was placed today, 3/12/14. The items ordered should be in by 3/26/14. Colleen will distribute an updated order form for all apparel next week. A new vendor was used, there were some minor changes to the t-shirt color and styles, but very similar to what we’ve had in the past. The prices increased a little bit and the selling price will be adjusted accordingly.  Cookbook  A Mother’s Day Recipe Collection Form is going out tomorrow, 3/13/14, in the Thursday folders. Recipes will be requested to be returned by 3/28/14. The format of the recipe book will be simple with 5 categories.  Colleen emailed Stacey Bentley to help with getting artwork for the cover page and throughout the book. Will incorporate some type of voting criteria to use for artwork submitted, one from each grade level will be selected.  May consider an option to include a special message on the recipe page for those contributing a recipe.  Anticipating the cost of the books to be around $10 each. Can include an option for e-books to be purchased also. Tiffany Keener  Family Night  Flameworks Review – made $95, the check hasn’t been received yet.  March – Pizza Johns was just yesterday – was a good turnout, but we don’t know how much we made yet  March 27 – By the Scoop fundraiser was just set-up  April – still needs to be set up for end of April, planning for after Spring Break at Rita’s.  Yearbook – Current Status  Chairperson: Lori Lynn  The deadline for submitting online pictures has just passed.  Lifetouch is coming to the school on March 19 to take pictures of clubs and groups to include in the yearbook. They are also coming to the school in beginning of April for grade group photos.  The deadline to submit the yearbook to Lifetouch is April 14.  It was recommended for pre-orders of yearbooks to be done. Lifetouch offered to send us flyers of pre-order forms. Pre-orders can be paid directly to Lifetouch online.  Lori had some questions for Tiffany in an email. Tiffany is responding to answer Lori’s questions.  2nd Book Fair 2/24/14 – 2/28/14 Review  Committee Chair: Melissa Briggs 1  The total sales for this book fair were $3,772. $943 is our 25% of profit, less other expenses for the book fair for grade prizes. We will also get an extra bonus in Scholastic Dollars from our sales. We currently have $3,810 of Scholastic Dollars from the November book fair to be spent on teacher incentives for Teacher Appreciation Week.  May 19-21 – Buy one, get one free. Will not get a profit since it’s a buy one get one free promotion, but we can still earn more scholastic dollars.  Melissa wants to give helpers of the book fair each a $5 gift certificate – about 7 helpers. Scholastic dollars will used for this. Andrea Manna  School Sign  Mrs. Rigopoulos requested to add the Kindergarten registration on the sign, scheduled on May 1. The enrollment is projected to be low and we need to promote the registration.  It was discussed about being able to get a digital sign to replace the current sign. However, this is expensive and we would have to consider all expenses for this to occur. Perhaps a future fundraiser can be restricted for this purpose.  Per Mrs. Rigopoulos, the school is still going to be doing a newsletter; however, also look for notifications on various flyers that are sent home too.  Andrea will send Laurie an update of additional information to include on the school sign. Erin Baugher  Box Tops Update  $899.40 was submitted in December. The March collection will be submitted in April, this one will be $658.40. Another collection will be submitted in June but those funds will not be received until next fiscal year. We exceeded our goal of $750 for this year.

 OBES Scholarship Update  Erin contacted all local high schools to give them the information of the OBES PTA scholarship information.  Mrs. Rigopoulos indicated that the scholarship list for Eastern Technical didn’t include the OBES PTA scholarship. Erin will be sure to contact the school to have it added.

 Muffins for Moms  On the calendar for 5/09/14 (Friday before Mother’s Day)  Jason, Mike, and another father volunteered to chair the event this year. Doors will open at 7:30 for parents.  Andrea has mixed bags to give for raffle prizes. Erin may have some certificates that can be used for raffle prizes too.

4. Upcoming Committee Updates – April Matters Andrea Manna  Upcoming Assemblies  Andrea will send Mrs. Bissell another email next week, once MSA testing is over, to determine if she’d like to set up another Zoomobile assembly or if she has another suggestion for an assembly. Tiffany Keener  Spring Quarter Auction  The date is set for May 16 at the Gunpowder VFW. We will need to send a $100 deposit. We will also use the same vendors for the auction.  Tiffany plans to include a pre-order of whole pizzas for the event. This will be included in the ticket order form to be sent home soon.  We will continue to ask for donated baked goods and have a table set up for donations to purchase the items. 2  Amy Mazan agreed to allow the school to send home a flyer to promote the event, Mrs. Rigopoulos has a summary of her story and request for support. She will get this in a flyer to come home soon.

Colleen Amaral  PTA Board Elections – need volunteer to chair to sending and collection of ballots  Amy Conklin offered to be the contact person and gather/tally the votes for the PTA.  Colleen will send Amy the information and flyer of what was used in the past to use this year.

5. On Radar Committee Updates – May Matters Tiffany Keener  Teacher Appreciation Week  Wendy Kropp is chairing this activity.  Tiffany will confirm, but we believe it’s the week of May 5 – 9.  The teacher luncheon will be that Thursday, May 8. Wendy requested a vote on Carson’s Creek or Chipotle. It was voted that a local restaurant is preferred; therefore, we will go with Carson’s Creek.  It was suggested to give each teacher, including special areas, a $50 gift certificate for Scholastic Dollars. Melissa will work with Wendy to send the notification to the teachers on how to submit what they’d like to order and Melissa will complete one order for all teachers. Colleen Amaral  Yard Sale – 5/18/14 – coordinate with Hot Spots  Colleen asked Mary Ann if she had heard anything from Mr. Pomeroy, the Community Board President, regarding his plans for the yard sale. Based on what Mary Ann said, he didn’t think that the PTA would be participating in the community yard sale this year. I told Mary Ann that this was not the case. The PTA intends to participate, but that we intended to include the entire school perimeter to sell and set up table spots, not just the parking lot like last year. Mary Ann said that she would call him on Friday to let him know that the PTA was going to hold the yard sale at the school on the same day as the community yard sale (5/18/14), and that she supported the PTA in their decision to use the entire school perimeter as spots for sale.  It was suggested that we offer to pay an undisclosed percent or amount to Mr. Pomeroy to the community for assistance with any of the advertising cost he incurs for marketing the event since we are piggy-backing off his foot traffic. We agreed that it was a good idea and that Mary Ann could mention that to Mr. Pomeroy when she spoke with him on Friday.

6. Principal’s Report  Mary Ann discussed the speed bumps out front and inquired if there were any complaints about them. Everyone agreed that they were an excellent addition to the safety plan at the school.  Mary Ann also indicated that the school was getting a new roof in the next few months.  Mary Ann announced her retirement to the group. She said her last day would be June 30, 2014 and that she was not sure at this time who her replacement would be. She promised to keep attending the PTA’s Quarter Auctions.

7. Misc/Other Topics  Father’s Day – Donuts with Dad is scheduled for June 13th  Mary Ann requested the PTA to assist with paying for Mrs. Brown to attend a 2 day conference. The PTA agreed to pay for one of the days, which is projected to be about $280.00.

8. Adjournment – the meeting was adjourned at approximately 7:45. The next meeting will be on Thursday, April 24, 2014.
