JOB TITLE: Administrative Assistant

EMPLOYER: Oxford Diocesan Board of Finance

LINE MANAGER: Diocesan Director of Ordinands (Team Leader)

ACCOUNTABLE TO: Mission and Pastoral Committees

JOB PURPOSE

To provide administrative support to the DDO in the Buckingham Archdeaconry

PRINCIPAL ACCOUNTABILITIES

 Provide comprehensive administrative service to the DDO including the processing of confidential documents

 To action telephone queries.

 To maintain filings systems relating to the work of the DDO

 To complete photocopying as required

PLANNING AND ORGANISATION

 Typing of letters, memos, emails and producing handouts, display materials, leaflets etc.

 Photocopying and collating

 Opening post, checking emails and answering phone

 Filing

 Updating contact names and addresses on the database

1 DECISIONS:

 The jobholder has to prioritise work throughout the day, ready to change to a different task in response to new needs/ request arising  The jobholder must assess the urgency of requests by phone, email and post and respond accordingly.

KNOWLEDGE SKILLS AND EXPERIENCE

 Good administrative skills, i.e. accurate and well-presented work  Confident use of Microsoft Office, including Word, Outlook and Excel. Familiarity with database work will be an advantage as would a working knowledge of PowerPoint and Publisher.  Excellent telephone manner  Ability to work under pressure and meet deadlines  Ability to prioritise and organise own time  An understanding of and sympathy for the work of the Church of England

The position is based at the home of the DDO, in Aylesbury.

The hours are 8 per week, ideally over two days and we are flexible over start and finish times. It could therefore suit someone wishing to work school hours.

GENERAL INFORMATION

Salary Starting salary of circa £3, 897.00 per annum (full time equivalent of £17, 049.00)

Pension Membership of the Church of England Pensions Board Pension Builder 2014 provision Scheme

Hours of work 8 hours per week worked over two days, ideally, Tuesday and Thursday with flexibility about start and finish times. There may also be some flexibility concerning days worked.

Holidays Equivalent to 22 days paid leave in the first year rising to 25 days thereafter. In addition to the usual public holidays, Ascension Day, Maundy Thursday and Christmas Eve

Probation Three months, during which time progress is regularly reviewed and the period period may be extended.

Notice period During probation, 1 week and thereafter 1 month from either side.
