VP-Events Report to the HOD – October 16, 2016

1] Harmony Explosion Camp 2016 The 2016 camp was cancelled due to lack of registrations!

2] Fall Convention 2016 - the 2016 fall convention in Scarborough using the venues of the Global Kingdom Ministries and the Delta Toronto East Hotel on October 14-16, 2016

4] Leadership Academy for 2016 - the 2017 Leadership Academy is scheduled to be held at the Delta Toronto East Hotel and the date is moved forward to January 13 & 14, 2017. Details and registration forms will be available soon and a draft “schedule” will accompany the information on-line.

5] Spring & Fall Conventions in 2017 - the locations for the Spring and Fall 2017 conventions are still undetermined. - the District Convention team is looking at and considering potential venues - locations currently under consideration include London, Blue Mountain, Ottawa, and Burlington. - we do have a “default position” of the same venues as this fall, but efforts are on-going to locate a different set of venues in a different city

VP-Events Events VP 2017 Work Plan

VP Events duties, as per the job description include the following:

"Duties:  Responsible for the effective planning and budgeting, site selection and operation of all events held within the district, including conventions, music festivals, alternatives to competition, music and leadership training schools, joint events with other a cappella singing organizations, etc.  Interpret all Society regulations as they apply to district conventions  Assure that district convention manuals are up-to-date and used, and Society contest sound and lighting system guidelines are followed  Maintain a comprehensive convention history file on past and potential convention sites  Liaison with the Society Events Committee, and, when necessary, the Society External Affairs Committee  Chair meetings of the district events committee  Participate in training carried out by the Society Events Committee   Attend all district board and House of Delegate meetings."

With the foregoing in mind, the objectives for 2017 are:

1) Continue to establish lines of working authority, responsibility and reporting to ensure all departments actively work with and through the VP-Events when planning an event within their purview of operations.

2) Continue working with each District VP, Division Coordinator and Committee Chair to ensure that functions and/or events are properly budgeted, legally contracted and planned to provide the best result for the event and liability protection for the District.

3) Work with the VP-C&J to continue application of Society regulations regarding conventions.

4) Work with the Convention Chair regarding convention history files and future site selection beyond fall of 2016.

5) Continue sourcing plan of potential candidates for succession planning for positions as individual event chairmen

5) Continue research, development and writing work on a new District Convention Manual and an Events Guidelines Manual

6) Continue to liaise with the Society Events Committee.

7) Work to establish an actual "formal" District Events Committee

8) Attend Society "Leadership Forum", when requested, for ongoing "training" by Society Events Committee

9) Attend all District House of Delegates meetings
