GEYA Executive Board Minutes Wednesday September 11, 2013

Board Members Attending: Andy Bellwoar, Jim Emig, Chip Ashenfelter, Larry Greenberg, Paul Ricken, Tom Graybill, Mike Maher

Members Not in Attendance: Rob Welsch, Tom Kent, Steve Meyer

Public Attendees: Gregg Amicon

Andy Bellwoar called the meeting to order at 7:30 p.m. and asked the Executive Board to approve the minutes from April, May, and June 2013. A discussion ensued, and then a motion was made and seconded to approve each of the minutes as amended. The Board voted unanimously to approve the meeting minutes from April, May and June 2013.

Baseball Report (provided by Rob Welsch)

1. 190 children registered for 2013 Fall Baseball

2. Thanks to Jim Emig and Chuck Mahon, we now have new bleachers on Tantala Field at Hickory Park

3. We are waiting for UUT to provide a report on storm water project that might alleviate water/drainage issues on Field #3 at Hickory Park. Other Field 3 improvements were discussed, including fixing the electricity so teams can utilize the score board and pitching machine. Rob is working with the township to see what they can do to help.

4. 2 new mowers are needed – one for Hickory Park and another for the fields at Springton Manor. A motion was made to authorize the purchase of the two new mowers at a price not to exceed $15,000. The motion was seconded, and the motion was unanimously carried.

5. Goals for field improvements in 2014 – convert HP2 to a dual-use field - 46/60 and 50/70. Improve bullpen areas for warm-up on Tantala Field and HP2 (and 3).

Soccer Report (given by Chip Ashenfelter)

1. 590 players registered for the fall – 103 coaches. These numbers are down approximately 10% from Fall of 2012.

2. 6-8 division is co-ed for the Fall. Not many 6-8 boys registered.

3. Season tournament is scheduled for November 2nd at USTC. 11/3 rain date.

4. New registration system is up and running.

5. High Five program started this week. Look to have between 10 and 15 participants.

Soccer Report (continued)

6. 65 children registered for the pre-K program. That program also started this week.

7. Chip reported that soccer is always looking for more fields. We will likely need more in the Spring, as the registration numbers are higher at that time of year. Chip is working with the different townships to check availability.

Financial Report (given by Jim “Doc” Emig)

1. Association financial reports were distributed and reviewed.

2. The American Legion Baseball program was added as a separate line item on the financials. Jim will work with Gregg Amicon to finalize.

3. A discussion ensued regarding various and miscellaneous expense and budget items.

American Legion Program Report (given by Gregg Amicon)

1. The Prep and Junior Legion divisions of American Legion Baseball (“Legion”) will be a part of GEYA going forward. The Legion program is up and running for the Fall, and we have 40 players [have] registered.

2. A discussion ensued about specific requests and field improvements to better the baseball experience at Hickory Park Field 3.

3. Gregg requested that the Board consider installation of a flagpole at HP3 to continue the honored traditions of Legion Baseball. The Board asked Gregg to look into the costs of a flagpole and installation and report back at the next meeting. It was also suggested that this would be an excellent project for a local Eagle Scout candidate. A motion was made, seconded, and unanimously passed – GEYA will have a flagpole installed promptly and GEYA will handle any necessary costs.

4. Legion is looking to more fully utilize their website for the coming spring season.

New Business

1. Next month is the annual meeting for GEYA. Elections will be held at that meeting for the following Executive Board positions:

President Treasurer Baseball At Large Soccer At Large

2. Paul Ricken was suggested as a candidate for GEYA President. It was suggested that Jim Emig continue his service to the community as Treasurer for GEYA.

3. A discussion ensued regarding the addition of a new Board position for the American Legion Baseball President. A motion was made to add the new Legion position to the bylaws. The motion was seconded, and the motion was unanimously carried.

4. Andy Bellwoar will work on the amendments to the bylaws in advance of the next meeting.

5. It was suggested that Gregg Amicon would be the best candidate for the new Legion Executive Board position.

All GEYA Business being completed, a motion to adjourn was made at 9:40 PM. The motion was seconded and unanimously carried. The meeting was adjourned at 9:40 PM.
