Student Government Weekly Minutes: September 3rd 2014
Introductions: Board introduced their selves and positions. Representatives introduced their selves and positions.
Lynette: introduced advisor and spoke about flyers, romecoming week, and the Gala. She gave the floor to Alexandria Maloney and Hannah Garza.
Alexandria: said they were contacted this summer about planning a Romecoming week, and are excited to plan it this year, as they had already planed it two years ago and know the logistics behind it. They have been in contact with SG, and only one person responded stating that they were interested in helping with Romecoming week. The idea of Romecoming week is to bring cultures together. She shared the flyers and discussed the schedule:
Monday- Mr. and Miss JCU pageant hosted by WLI funded by student services Tuesday- bowling night, 5 euros and get a shuttle Wednesday- JCU vs. AUR soccer game Thursday-VIP Party Multicultural club Friday- pep-rally renting the soccer field, BBQ, food, specifics TBA
Hannah spoke about “dress up codes” for each event day during the week Monday- students are encouraged to dress as a celebrity Tuesday- dressing as sports teams
Alexandria: there will be a table for the event a week before hand to answer questions and clarify each specific day because it may get confused.
Lynette: motioned for a task force to be created. Silvia second the motion Lynette explained the specifics of what a task force is and its role.
Silvia Milena, and Margarita volunteered for the task force for Romecmoing Week.
Hannah: there is still room on the Rome coming week to volunteer! Everyone should consider.
Question Period opened by Lynette: There were no questions
Anna stated that she loved the flyers made by Alexandria and Hannah, but suggested we clearly add the exact dates of the week. Lynette stressed the importance of collaboration of all students working together and staying involved because SG needs their help!
Lynette:
Orientation week discussion Senator elections, we will send out an email this week. We have 40 sign ups for senators.
We had a successful table and successful bbq!
Academic council meeting: On Friday at 830 AM, there is academic council meetings and we need to bring up suggestions from students. Lynette asked reps to ask around casually for students opinions so that we can bring suggestions up. Any ideas are valuable! People want to add languages for example, but not only academic suggestions.
Roberts Rules: We need to make decisions and vote and it is Wednesday night and we do all want to stay on time and on topic. Lynette said we will send a email explain the rules and we will all respect and abide by them because it will keep us better on track.
Marta: Discussed events coming up and this semester:
Romecoming week. 1st event is the welcome party, we changed the date to next Tuesday from 630 pm till 830 pm in lemon tree courtyard. Collaboration with athletics, idea to keep spirit and have a pep rally. She requests a task force so that she can help in this effort. Specially called on Milena for her assistance for making posters ect. Marta would like to reuse the poster again for romecoming week. Idea is to raise JCU pride and bring people all together. We want to promote and show the athletic department of JCU- joining sport teams ect. Marta revealed the event proposals that she had printed out.
Roberto Schiara was asked to be the DJ for the event- 30 euros for an hour and a half. Marta will discuss paying him through student working. Marta spoke with Eva in Tiber Café, and said that for food for around 400 people will cost around 120 Euros. For decorations: she wants to purchase blue napkins and plastic cups, since café will provide us with white things, the blue will really raise JCU pride.
The specific amount for the budget is 150 euros. Lynette opened the voting time and explained that we have 11,500 euros for the semester. She explained that we normally divide the budget in half and half for each part of the semester. We need to keep money aside to sponser money for other events and for other clubs. That is why we vote at the end of the meeting for the welcome party or not. Lynette sated that we also have the right to abstain or not.
Marta introduced that we have a Casa Delle Donnne event but we will discuss that further at the next meeting.
We have a FIFA night and Nutella Night, they use to be 2 different evens so now we have decided to put them together in Tiber café.
Last Vegas night, will be in the Guarini Campus, poker night and in collaboration with the investment club. Pilar approved, as long as the poker night does not involve real money.
Handle: he had an idea this summer of potential prizes, we suggested that we give out books as prizes or a “credit” for stand. Lynette: if handle wants to propose this, create a real proposal and inform stand.
Alex: deadline to send in scheduales by SUNDAY! So that I can create an official meeting.
Will vote on mitkos idea for lunch meeting. We will vote on this next time when he is present.
Lynettte:
Academic chair: Mitko was appointed by lynette. He works very hard and is very dedicated. So we need to vote if we approve his position or not.
Romecoming week task force, milena off, only working on pep-rally.
Welcome party task force: mari milena handle Elena Anna Margarita and Silvia are the task force for romecoming week
Lynette: one of our mission this year is to enhance jcu pride and bring more of a American feeling in terms of sports into the university. That is why we really need everyone’s support and team work!
Mari: last year, AUR created tail-gating before the game so that everyone would attend that. Questions called by lynette: none were asked. Lulu: talk to your classmates and talk to people and make everyone participate! But everyone can change our school not just SG and we need and want their involvement! Always inform people about what we are doing so that they can also feel involved!
