Class Preparation Checklist

8 Weeks Prior to Class:

 Determine class co-leaders.

 Determine collaborating agencies and/or organizations.

 Determine the dates, times, and location for classes. . Determine costs (if any) . Determine need/availability of respite care, transportation . Determine how The Caregiver Helpbook will be funded (participants pay / sponsoring agency pay) . See Program Implementation Checklist for additional considerations on dates, times, location, and registration.

 Determine equipment and other needs and determine how those will be obtained (donated by collaborating organization, class leader’s organization, etc)

 Order copies of The Caregiver Helpbook at least 4 weeks before the start of the class (http://www.ctahr.hawaii.edu/maui/downloads/caregivers/Helpbook%20order %20form.pdf)

 Develop a marketing plan . Where to advertise – church bulletins, health fairs, libraries, health care and social service agencies, adult day care, retirement communities, government agencies, non-profit agencies/organizations, local businesses. . Methods of advertising – word of mouth, brochures, public service announcements, mailing lists, “Mini” PTC sessions. . Marketing materials – posters, brochures, flyers, press releases

7 Weeks Prior to Class:

 Prepare postcard or brochure mailing to clients already being served.

 Prepare advertising brochure (class brochure template found at http://www.ctahr.hawaii.edu/maui/IGcaregivers.aspx, click on “Class Brochure” Under

Powerful Tools for Caregivers – Class Leader Tips (2007) 183 © Legacy Caregiver Services “Marketing and Registration Resources”). Insert date, time, and location of classes. Include RSVP date of 1 week prior to class start date.

 Contact Heather Greenwood with all class information; information will be included on the UH Intergenerational Website – http://www.ctahr.hawaii.edu/maui/IGcaregivers.aspx. Heather’s contact information is [email protected] or 808-244-3242 ext 226.

 If class will take place on Maui, contact Heather Greenwood to reserve the Class Leader Master Kit (2 Easels, Non-Brainstorming Charts, Markers, etc). Contact information: [email protected] or 808-244-3242 ext 226.

 Determine registration contact information.

6 Weeks Prior to Class:

 Begin publicizing classes (run notices in local newspapers, church bulletins, community/agency newsletters – see “Advertising Tips” Under “Marketing and Registration Resources at http://www.ctahr.hawaii.edu/maui/IGcaregivers.aspx).

 Mail postcards/brochures to people who might be interested.

 Post flyers in local community businesses, recreation centers, or social service/community agencies (see “Advertising Tips”).

 Provide brochures to collaborating agency to distribute.

4 Weeks Prior to Class:

 Continue to advertise and solicit class participants.

 Divide responsibilities between co-leaders for preparation.

3 Weeks Prior to Class:

 Continue to advertise and solicit class participants.

 Confirm availability of equipment (if needed).

 Collect resources for the resource table.

2 Weeks Prior to Class:

 Review number of participants registered. If less than 6, consider postponing.

 Class Leaders prepare material for first class (see the Checklist in the Class Leader Tips manual and at the beginning of each class Script).

1 Week Prior to Class:

 Class Leaders contact all participants by phone.

 If less than 6 people have registered, Class Leaders must decide whether to reschedule classes, postpone by one week in order to solicit participants, or conduct a small class.

Once the Class Begins:

 Finalize class participant roster.

 Record class participant’s weekly attendance on roster.

Prior to Final Class:

 Prepare Caregiver Completion Certificates for those who attended at least four classes. Three Certificate Templates are available at http://www.ctahr.hawaii.edu/maui/IGcaregivers.aspx under “Evaluation and Certificate Completion Resources”

 Make copies of the course evaluation which is available at http://www.ctahr.hawaii.edu/maui/IGcaregivers.aspx under “Evaluation and Certificate Completion Resources”

 Keep rosters on file for 2-5 years for mailing lists and record keeping.

After Final Class:

 Download, print, and complete the Evaluation Cover Sheet which is available at http://www.ctahr.hawaii.edu/maui/IGcaregivers.aspx under “Evaluation and Certificate Completion Resources”

 Attach Evaluation Cover Sheet to evaluations
