1.0 PURPOSE : The purpose of this SOP is to ensure that all processes performed within our Retail Store(s) are consistent and uniform. It will alleviate confusion and aid in the training of our associates. It will also enhance our customer service, increase sales, and ensure efforts are made to consistently provide our customers with greater and more frequent choices of product. Ultimately these procedures will protect the donations given to our Retail Store(s) from theft, damage, or any other harm.

2.0 INTENT : To provide the Retail Store(s) management team with a working guideline to ringing up a customer using the voucher payment method. This Operating Procedure has been prepared in an effort to provide management and the staff with a working guideline to the steps involved in completing a transaction using a voucher card alone or in combination with some other form of payment.

 Store Management Maintain assigned Retail Store Inform associates of procedures Ensure compliance Train associates in specific areas of responsibility Ensure associates are held accountable for procedures contained within 4.0 RING ITEMS: Ring up the items that the customer will be buying with their voucher card.

4.0 PAYMENT:

o Voucher Cards (Select Locations):

. Enter the customer into the Rewards Card System.

. Press the Tender button to start completing the transaction.

. On the payment options screen, select Voucher as the payment type.

. The POS will prompt the cashier to enter the voucher card number; this can be done by either scanning the barcode on the voucher card with the barcode scanner or by manually entering the voucher card number that is printed adjacent to the barcode.

. If the total for the ticket is less than the amount on the voucher card the customer can retain the voucher card and use the remaining balance on a later transaction. The remaining balance will be reflected on the receipt.

. If the total for the ticket is more than the amount on the voucher card the cashier will be able to accept another form of payment to cover the difference and complete the transaction.

. When the voucher card has no balance left or the balance has been reduced to any amount equal to or less than one dollar ($1.00) the cashier will reclaim the card from the customer.

o Paper Vouchers (Locations not using cards):

. Enter the customer into the Rewards Cards system STANDARD OPERATING PROCEDURE

. Ring up the items permitted on the paper voucher

. Press “Tender”

. Select “voucher”

. Select “Pay Ticket Balance”

. A receipt will print. Hit “Reprint Receipt” to print a duplicate.

. The customer must sign the duplicate receipt. They keep the original.

. The signed receipt is attached to the paper voucher.

. The voucher and receipt are scanned and sent into home office daily, making sure that all parts of the receipt and voucher are readable.
