Subject: Intranet Rollout

We are prepared to roll the new IHC Intranet out. You have been selected to do the preliminary review of the site. I look forward to receiving your feedback. The purpose of the intranet is to steer us in a direction that will help us eliminate some of the paperwork we deal with on a daily basis. To this end, the current content of the intranet includes the following types of materials:

 Manuals  Presentations  Forms  Directories  Newsletters

It has been constructed in such a way as to limit what users see based on their job description and the permissions that have been granted to that function. In other words, what you see may very well be different than what your assistants or hourly people will see. I’ve attached a matrix that details what each person in the company has permissions for. If an employee isn’t specifically named, then it’s likely he/she falls under a general department. For instance, hourly employees simply fall under the “hourly” designation. They all have the same permissions. On the other hand, though Tony and KB both fall under “Corporate Admin Staff” you will see that they are specifically named because they have access to different portions of the intranet. If you review the matrix and feel changes need to be made, please e-mail them to me and they will be reviewed for implementation. In order to get to the intranet, you will need to type “connect.ihcquality.com” into your internet address bar and press the enter key or the “go” button to the right of the address bar. Be sure you do not type www.connect.ihcquality.com. That is incorrect and will not bring up the intranet. The “go” button doesn’t actually say go. It has a green arrow on it that points to the right.

The first time you log in, you will go through the following process:

The following window will open: Go ahead and click “Continue to this website (not recommended)”. The next screen you see, illustrated below, will be one that has our logo and “Starting Client Services” on it, but you may be blocked by a popup entitled “Microsoft Phishing Filter.”

If you are blocked by that popup, click “Turn on automatic Phishing Filter”.

If you are not blocked by the Phishing popup, then skip the popup instructions.

Once you turn on the Phishing Filter (or if no popup blocks you), this page (shown behind the Phishing Filter Popup below), “Starting Client Services”, should automatically install the Array Networks Client Software” and move you on to the next page entitled “Symantec On-Demand Agent.” This page, “Symantec On-Demand Agent”, should automatically open after you see the previous screen entitled “Starting Client Services”.

You want to install the On-Demand Agent. It’s the intranet security system. To install this agent, you will need to click on the tan box directly above the title. This box says, “This website wants to install the following add-on: ‘SodaAgent.CAB’ from ‘Symantec Corporation’. If you trust the website and the add-o and want to install it, click here…” Go ahead and left click in the box. When you click, a menu will come up that gives the following selections:  Install ActiveX Control…  What’s the Risk?  More Information Left click the first selection, “Install ActiveX Control…” You will receive a popup box that confirms you want to install the software called “SodaAgent.CAB.”

Left click “Install.” The popup will go away and you will see a variety of changes occur. These are normal. Just sit back and wait until you get another “Certificate Error: Navigation Blocked” window that looks like this: Go ahead and left click “Continue to this website (not recommended). The next screen you see should be the IHC Connect Login Screen.

The Username and Password you input will be the same ones you use to log in to your computer. After logging in a screen will come up for a brief moment that says “Loading Client Services.” The next screen you see will be your intranet homepage.

The process will create a “virtual desktop” from which all users accessing the intranet will work. This desktop is separate from your regular desktop and when you log out of the intranet, anything you did or accessed will be deleted, unless you have permission to save documents that you download. It also prevents anyone from accessing your computer or the information on the intranet if you should choose to visit other websites while the intranet is active.

You will be able to switch between your virtual desktop and your active desktop to work on both but you will not be able to move things between the two desktops. You can move between desktops by double left clicking on the gold lock on the tool bar in the bottom right corner of your computer. When you do that whichever desktop you are switching to will open and you will get a message box telling you where you are at.

When you are ready to close your virtual desktop, you will click “logout” in the upper right hand corner then close your Internet Explorer by clicking on the “X” in the upper right hand corner. This should return you to your regular desktop and secure your computer. You will receive a popup window that says “Symantec On-Demand” across the top along with a message stating “Please wait while Symantec On-Demand Virtual Desktop erases all data” and a progress bar showing you how far along in the erasure process your computer is. It shouldn’t take longer than a few moments. Don’t let this message box scare you. It’s entirely normal and ensures the security of the intranet.

Subsequent logins should consist only of you confirming that you want to go to IHC Connect even though there’s a problem with the certificate and then logging in.

Please note that once we purchase the security certificate the “Website Security Certificate” screens will stop coming up and you will go directly to your intranet login screen.
