2017 Executive Officer Application
Applications are due October 31st by 5:00 PM in the Greek Affairs office (LBJ 4-14.1) and must be typed.
Requirements for being on the Multicultural Greek Council Executive Board:
o Must be in good standing with their respective organization
o Have at least one semester of membership in their respective organization, may not be a new member
o Must have at least one semester of membership in their respective organization, not including their associate member semester
o Have a minimum 2.5 cumulative GPA and at least a 2.25 GPA the semester immediately prior to election or appointment.
o No person serving as President of their organization my serve as President of the Multicultural Greek Council.
Expectations of Officers:
o Attend MGC Council and Executive Board meetings. Council meetings are held every other Monday at 6:30 PM and Executive Board meetings are held on the alternate Monday at 6:30 PM
o Two scheduled office hours per week
o If elected, you will need to put these mandatory events on your calendar (can be subject to change):
. MGC Town Hall: December 5th, 2016, 6:30 PM
. Presidents Retreat: January 27 – 28
. AFLV Conference in Indianapolis: February 2-5 (May be asked to sponsor yourself)
. Leadership Institute Annual Conference in San Marcos: February 17 – 18
Being on the Multicultural Greek Council prohibits you from participating in your chapter Recruitment performances during MGC hosted Recruitment Events. The completed application is due to the Greek Affairs office (LBJ 4-14.1) by 5:00 PM and MUST BE typed. Speeches will be held on Monday November 7th, 2016 at the MGC general meeting and voting will take place immediately after. President
Preside over meetings and enforce the constitution of the Multicultural Greek Council at Texas State University in accordance to Robert’s Rules of Order.
Offer consideration of all motions consistent with Robert’s Rules of Order.
Reserve all meeting rooms.
Declare results of council voting.
Call special/ emergency meetings.
Appoint all committee chairpersons not otherwise provided for in the constitution of the Multicultural Greek Council at Texas State University.
Represent MGC at civic and social functions or when the council is called upon by the member organizations for representation.
Head the Executive Board.
Serve as the official representative for the Multicultural Greek Council at Texas State.
o Is authorized to speak on behalf of the council.
o Should the MGC President be unable to attend a meeting, the Vice President of Judicial Affairs and Leadership will speak on behalf of the council.
Serve as the point of contact and act in the matter of all emergency issues.
Request the removal of any person from the council meeting with due cause.
Not have a vote unless in the event of a tie.
Plan beginning and end of year forum.
Check the MGC mailbox.
Be well versed in Robert’s Rules of order.
Maintain a bi-weekly report from the Executive Board.
Initiate projects and programs as deemed necessary for the welfare of the council.
Vice President of Judicial Affairs and Leadership
Assume the duties of President in their absence.
Be well versed in Robert’s Rules of order.
Be knowledgeable of the constitution, bylaws, and other regulations of the council. Notify member organization of fine given
o Notification will include reason for fine, total amount due, and reminder of due date as defined by the MGC bylaw in Article II Section 2.B.
Serve as the chair for the Judicial Board.
Serve as the interpreter in the case of any procedural dispute.
Coordinate annual bylaw revisions.
o Schedule one bylaw amendment round table each semester
o Present bylaw revisions, if necessary, at least every Fall
Vice President of Public Relations
Preside over the General Assembly meetings in the absence of the President and Vice President of Judicial Affairs and Leadership.
Maintain accurate minutes of all meetings, which shall include the following information:
o Every motion, and the second to each motion with the name of the representative and respective organization.
o The action taken on the motion including the tabulation of the votes.
o Date, time, and place of the next General Assembly meeting.
Distribute minutes of the General Assembly meetings to the representatives no more than 72 hours after the General Assembly meeting.
Serve as historian by maintaining copies of all agendas, minutes, fliers, and other public information.
Maintain a roster, in conjunction with the Greek Affairs office, with contact information for all MGC officers, all member organization representatives, alternates, Presidents, Chapter Advisors, and Faculty/ Staff Advisors.
o Each roster should contain current campus addresses, phone numbers, and email addresses.
Have on hand at General Assembly meetings all current semester minutes
Contribute articles and information for the Greek Affairs newsletter as requested.
Update the MGC website.
Coordinate all promotional activities and materials for recruitment and any other MGC events.
Vice President of Finances
Keep an accurate account of all money received and imposed by MGC. Collect all fines from chapters
Disburse money to appropriate parties as soon as receipts/ invoices are received.
Provide receipts for all money transactions on behalf of MGC.
Deposit all funds Greek Affairs no more than 3626two business days after receiving.
Prepare a budget for each semester by the end of the prior semester.
The budget shall be approved by the Executive Board and presented to the General Assembly by the second meeting of each semester.
Present a financial report at each General Assembly meeting.
Coordinate fundraisers for MGC.
Make a fine sheet in the beginning of the semester, that is in accordance to the MGC Bylaws and Constitution, and distribute to the chapters
Ensure the financial status of each member organization before any voting may take place
Vice President of Scholarship and Recognition
Serve as academic coordinator by fulfilling actions pertaining to academic standards as outlined in the bylaws.
o Issues Academic letters to chapters in accordance with sanctions outlined in the bylaws.
Coordinate recognition events.
Provide updates and information on scholarships and applications.
Vice President of Recruitment
Plan, coordinate, and direct all Recruitment activities; including but not limited to, MGC Quad days, MGC Showcase and MGC Convocation.
Vice President of Community Relations
Coordinates community service events
verify community service hours that have been submitted to Greek Affairs Office
Serves as the liaison to All Greek or Texas State events and organizations including but not limited to:
o Bobcat Build
o Greek programming board
