JOB DESCRIPTION
POSITION TITLE: Development Coordinator
REPORTS TO: Director of Development
PRIMARY FUNCTION: Provide support for the Director of Development and the Development Officers in their individual work and functional support for the Development Office.
AREAS OF RESPONSIBILITY: 1. Provide functional support to the Senior Development Officer in charge of the 50th reunion. a. With direction from the Senior Development Officer and volunteers, assist in developing an overall strategy and timing for messaging regarding the reunion. Create and send all e-messaging to the class. Create or coordinate the production of printed pieces and oversee class mailings. Coordinate and oversee the printing and mailing of personalized, segmented class letters. b. Attend and assist with the three major planning meetings for reunion leaders. Production and assembly of meeting materials Update and print the volunteer handbook c. With direction from the Senior Development Officer and volunteers, coordinate the production of the Viking Update. Manage the submissions of the Viking Update and see that they are recorded, edited and prepared for the graphic designer Work with graphic designer and printer to produce the final product Coordinate the mailing of the Viking Update to the class d. Assist Senior Development Officer in tracking program metrics and progress reporting e. Provide administrative support to volunteers as appropriate f. Maintain correspondence as needed g. Attend and assist with the reunion as needed

With direction from the Development Officer and volunteers, assist in developing an overall strategy and timing for messaging regarding the reunion. Create and send all e-messaging to the class. Maintain correspondence as needed g. Attend and assist with the reunion as needed 3. Assist in the planning, preparation and facilitation of prospect and donor-focused events (seminars, programs, luncheons, dinners, meetings, etc.) for the Development Office including: a. Creating and maintaining invitation lists. b. Coordinate production and sending of paper invitations and/or e-vites and tracking responses. c. Coordinate event materials including nametags and place cards. d. Attend President’s calendar meetings. e. Ensure that event results are entered into Raiser’s Edge.
4. Assist the Director of Development in departmental functions including: a. Serve as a Raiser’s Edge “super user” for the department. b. Schedule internal and external meetings and appointments. c. Serve as primary contact person for Development Office 800 phone line. d. Create and maintain master administrative support work/project schedule for department. e. Inventory and maintain office supplies as needed. f. Assist in maintaining prospect management information in Raiser’s Edge. g. Coordinate the training and supervision of office student worker(s). h. Perform other duties and participate in department activities as assigned.
5. Perform as a team player in/across departments and constituencies; maintain positive relationships with volunteers, colleagues, and students. a. Assist, as needed, with special weekends throughout the year including Commencement, Reunion, Homecoming, and Christmas Festival.
PREREQUISITES: Criminal background check
CONTACTS: Daily contact with Director of Development, Development Officer team, Director of Stewardship, Advancement Division, alumni, parents, campus community and general public.
QUALIFICATIONS: Essential: Two-year college degree or technical certification. Three years of office experience. Desirable:Four-year college degree. Background in financial or legal fields is preferred. Previous experience with, or an understanding of, philanthropy and/or higher education is also preferred.
KNOWLEDGE, SKILLS, ABILITIES: 1. Project a professional demeanor. Perform as a team player in and across departments and constituencies as well as ability to work independently exercising initiative. 2. Strong verbal communication skills and telephone etiquette with excellent customer service and public relations skills. 3. Demonstrated ability to write clearly for multiple audiences in the form of professional business correspondence; informal and formal reports. 4. Excellent attention to detail, proof reading skill and high-degree of accuracy in work products. 5. Computer skills; experience with Microsoft Office Suite (Word, Excel, Power Point and Access) is preferred and ability to learn use specific data base software (Raiser’s Edge) and other applications. Experience with email marketing platforms such as My Emma or Constant Contact is desirable. 6. Strong organization and time management skills. Must be able to prioritize work from multiple requests, develop work plans and communicate plans. 7. Must be able to handle and respect confidential information. WORKING ENVIRONMENT: Normal office environment
