2013 Springfest Event Chair Application
ALL APPLICATIONS ARE DUE TO THE SGA OFFICE (UC 210) BY January 22 AT 5 PM
GENERAL ELIGIBILITY CRITERIA
The Springfest event chair members are the students who have the primary responsibility of planning and executing the Springfest 2013 in accordance to the vision of the Chair. Event chairs are under the direct supervision of the Springfest Chair and Assistant Chair. Xavier University Springfest Event Chairs/Assistant Chairs must meet the following general eligibility criteria:
A. REQUIREMENTS
1. Must be currently enrolled as a full-time student and have at least a 2.5 cumulative grade point average at the time of application. 2. Must be a full time validated continuing student at the time of selection and in good standing for the duration of the term as a staff member. (A full time undergraduate must have 12 credits and full time-graduate student must have 9 credits.) 3. Must have been enrolled at Xavier University for at least one academic semester, at the time of application. 4. Must demonstrate leadership, administrative and organizational skills. 5. Must submit a completed application which will include: an application form, and a brief proposal. Every applicant must also attend a scheduled interview to be considered.
B. POSITION DESCRIPTIONS (Please determine which position best suits your abilities)
1. Event Chair The Event Chair will make sure all of his/her staff is on task. He or she will work side-by-side Springfest Chair and assistant chair in order to facilitate a productive event. The Event Chair is also obligated to be at every Springfest weekly meetings and hold weekly meetings with their committee. In addition, he or she must have good relations with faculty and staff. This individual should also demonstrate an understanding of Xavier’s protocol in getting rooms requested, working with a budget, and submitting check request. In addition, this person must act as the Vending Liaison. He or she is responsible for obtaining vendors for all that is needed for their event, is required to maintain good working relations with the faculty and staff, and to ensure that their Committee adheres to all guidelines and procedures when securing vendors.
2. Event Assistant Chair The Event Assistant Chair will assist the Chair in all their duties and serve as Chair in their absence. The Assistant Chair will have the added responsibility of assisting all committee members. He or she will be required to conduct weekly meetings with the chair as well as attend every Springfest weekly meeting. The Assistant Chair will also be responsible for the recruitment, assignment, and organization of all their committee members.
The following above positions are needed for each of the following events:
Kick-Off Fashion Show Dorm Step Off Greek Step Show Block Party Gospel Concert R&B/Hip Hop Concert Publicity/Media PROPOSAL GUIDELINES In addition to the application, you must submit a brief preliminary proposal including your projected vision for your future position. It is necessary that your proposal be submitted at the time applications are due. Please follow the format given below for your proposal:
1. Your Projected Vision and Goals: Please include exactly what you plan to bring to your position in detail and/or your overall vision for the event you would like to coordinate.
2. Basic timeline to match ideas (please submit a timeline of when you expect to execute pertinent tasks related to the event position you are applying for).
3. Theme: What is your ideal theme for Springfest and how would your event be incorporated with this theme.
4. Possible Scenario: The event that you are Chair/Assistant Chair over has had a budget cut, resulting in a $300 budget. Write a detailed summary of how you would plan the event.
5. Additional Information: Please include any additional information that you would like the Interview Committee to know as it regards your selection for the position. (Such as leadership experience, or other events/projects you have directed). PLEASE NOTE: The responsibilities are not limited to what is written in the descriptions. We are looking for individuals who are willing and able to go beyond the parameters of their job description to ensure a successful Springfest 2013.
