Instructions for Installing MusIC Referral Templates

Premiere

Installation Procedure (with Word 2003)

1. Have the new MusIC form open in Word.

2. From Premiere: Options Document Templates

Create a new referral template and name appropriately.

3. Select the entire contents of the new form and copy/paste onto the blank Premiere template.

4. Although the fields and questions shouldn’t be altered you can alter the merge fields to suit your processes. For instance you may want to alter the morbidities, summary, medication etc. To do this you must:

Unprotect document Tools Unprotect (leave the side pane open whilst you make your edits) When you have finished click on Start Enforcing button on the side button.

5. Fill in the surgery phone and fax numbers before saving the template. You may wish to replace the surgery address fields with the actual address as well. It’s something less to go wrong in future.

6. Save and close the new template in the usual way.

7. To use the template, create the referral request in Premiere and open this new document in the usual way. The field will automatically merge and can be edited before saving.

Notes: EMIS must be unprotected to work with, then protected (LV.rtf ; pcs .dot ) Vision must be unprotected always (.doc format)

EMIS LV

EMIS LV requires the template to be in .rtf format. This format is available, but if changes need to be made to any fields it will be necessary to make these in the .doc version, and save the document in .rtf format. You will need to unprotect the document to make the changes, but remember to protect it again before saving it. It is easiest in LV to fill in the practice demographics (address, phone and fax numbers) before protecting and saving the template.

1. Right click the start button

2. Select Explore

3. Locate My Network places

4. If necessary, go up to View Menu and press Refresh

5. Click on Entire Network

6. Double click Microsoft Windows Network

7. Navigate to the EMIS server for the practice

8. Locate the MSW Docs folder

9. Create a MusIC templates folder

10.Copy & Paste template

11.Test template by completing the following process:

 Within EMIS main screen and press F5 and select test patient  Go into WP, K (or WP, W, K where necessary)  Select a template  The template will then be open with the current patients details  Check that the practice name is present

 Check that the forms actually work when you click in any of the fields If all ok, close the document, without saving the changes.

EMIS PCS

EMIS PCS requires templates to be in the .dot format. The following instructions will help you to convert and install the .doc file.

1. Copy template to desktop

2. Right click the Start button and select Explore

1. On the left, click on Desktop

2. Go to Tools  Folder Options  View and uncheck Hide extensions for known file types

3. Rename the template, replacing .doc with .dot, clicking OK to the warning messages

4. In EMIS, click on Modules (top left hand corner), select WC from the main menu (alternatively, click the drop down arrow to the right of Modules and select Word Configuration)

5. Select Create New Folder

6. Name the folder MusIC

7. Select the new folder

8. Select Import/Export

9. Navigate to the Desktop, hold down the Ctrl key and click on the template

10.Open/OK

11.Template is imported

12.To test:

13.Click Search and search for a test patient (ask locally but usually “test”, “edit” or “mouse” will find one) – double click the patient name

14.In Word Configuration, select Patient Documents and then Add, New from Template

15.Finally, delete the template from the desktop.

EMIS Web Importing.  From the EMIS Web Main Menu click ‘Template Manager’ and choose the ‘tab’ ‘Templates and Protocols’  At the next screen Choose ‘Add’ and then choose ‘Folder’ and name new folder “Telederm”  Choose option ‘Import’ then select destination to import from, ie wherever template was saved to earlier.  Import the EMIS LV Telederm template.

Vision Installation

Vision documents need to be unprotected when initially installed. Start by removing the protection from the template before following the instructions below.

Using Windows Explorer, navigate to the drive that is most likely named Data (P:) and in the folder named WORDPROC there should be a subfolder named TEMPLATES. Create a MusIC folder and copy the templates into it.

These should not be protected.

To test, search for a test patient then go to Add  Correspondence, click the Letter button at the lower right of the window and navigate to the template you wish to test.

TPP – System One

Save template to computer and import to system one  Save emailed template (XML document) to desktop  Enter system one  Go to; Set up,  Then Data Entry  Then ‘new template maintenance’  Then tab ‘import template,’  Then find the saved template from the desktop  Then it will ask you to rename file (change name to your choice)  Then save as active template

 Go to clinical tree and on the left hand side right click on ‘unpublished template’  Then publish template to system

Make the template visible on the toolbar (Otherwise the template will not be visible for provider use)

 Go to amend toolbar  Search for saved file (under name you have chosen)  Save as toolbar

SOME ISSUES

Practice Name Missing in Template

This mostly happens for EMIS LV sites. To fix, open the template directly from the server, unprotect it and manually type in the practice name – reprotect and save.

Locked/Unlocked

For the templates to work in EMIS LV & PCS, the documents all need to be protected.

Open each template directly from the server and go to Tools  Protect Document and then save and close.

Vision templates should not be protected (Tools  Unprotect Document)

Refuses to Lock

In Word 2007 it is sometimes not possible to protect a template. The dialogues at the right of the screen are greyed-out. 1. Check that the “Design Mode” button in the developer tab is not pressed. This will otherwise prevent you protecting the document. If this doesn’t work: 2. Copy the whole page (all except the final paragraph mark) into a new document. That should work.

.rtf/.doc/.dot

EMIS LV templates should end in the file extension .rtf

EMIS PCS templates should end in the file extension .dot

When installing EMIS PCS templates, save them from sharepoint onto the local desktop; invariably they will be saved with the .doc extension.

To change this, right click the Start button and left click Explore – this opens Windows Explorer.

Go to Tools  Folder Options

Click the View tab

Untick Hide extensions for known file types

In Windows Explorer, scroll to the top of the left hand side window and click on Desktop; you should now be able to see all the templates.

Right click each template and select Rename. Change the .doc to .dot

Press enter when renamed and click Yes when prompted.

Vision templates should end in the file extension .doc
