1. Welcome. Sue Gold from AYSO Area Administration team was present for the beginning of the meeting.

Our Referee Administrator, Tim Kelpsas, resigned his position and the Board has accepted. We would like to thank Tim for his years of dedicated service. He poured a lot of his time and energy into AYSO and we are grateful.

The Assistant Referee Administrator, Sheila Walsh, has also left the board. We thank Sheila for service and taking the time to volunteer for AYSO.

2. Old Items: August’s meeting minutes were approved.

Great turnout for New Parent Night. Over 180 parents showed up. The material is on the website.

It has been decided to shrink the U12 field this season.

Org Day went well; the only issue was running out of new size 3 balls. The shoe exchange was very successful. We will do it again at Picture day, September 15.

3. Regional Commissioner Report: The new website went live September 2, 2013. One day ahead of our previous provider going dark. Thanks to all who worked on the new website.

Email addresses and personal information are property of AYSO Region 300, and needs to be protected. Email addresses are not to be distributed or used for any purpose outside of AYSO official business.

WE are part of the TEAM – AYSO is a team effort. The beginning is always hard, but working together we can help the kids have a great time.

Referee Administrator position needs to be filled, Board members put forth some possible names for consideration: Shane Connelly, Dave Roth, Kevelyn Belden, Dan Stirrat , Jess Tamburello, Dan Finnegan.

Dave Fulscher has volunteered to take care of the administrative aspects of the job but a trainer still needs to be found. New this year, referees are self scheduling. The refs go to the website and sign up for all the shifts they want. Referees are required to sign up for the shifts they chose. RC is working on a “Rewards Program” for the referees based upon how many games they ref.

The Extra Trainers are back, Stewart, Matt, Dominique and Joe. Great turnout at the clinics so far. The coach training day went very well.

Reminder-September 28th will be the Fire Family Game. There will again be a tailgate and we will have the picnic are with tables but families should bring chairs also. September 28 also the Silver Brick game.

4. Assistant RC Report: A committee was formed to choose the next Regional Commissioner. Drew, John and Bill make up the committee interviewed all who volunteered and several others that they felt capable of filling the roll. The committee nominates Paul Kash as the next RC. The board voted in support of this nomination. Paul still needs the approval of National to make it official. Bill Reilly will be stepping down in November.

5. Treasurer’s Report: Treasurer could not be here. Operating Account has a balance of $155,422.00.

6. Registrar Report: We still need birth certificates for some players. DCs, please email the families and request them. They can take a picture of the birth certificate and email it to [email protected] or mail to the PO Box 74.

VIP starts this weekend.

There are still some waitlist players for U19 and U10. They will be placed.

Currently, the database places players based upon their birthdates. Those who want to play up need to do so manually. In Leagues is aware of this issue and it is being worked on.

7. Coach Administrator Report: Thanks to Matt and crew, there were 68 coaches at the Westmont training. There was a ½ meeting with some FAQ’s and trouble shooting.

Drew has been posting on the website some of the bullet points from the training and some of the questions and answers. Hope it helps. There will also be links to training sessions posted by National. We may post some of our own as well.

Reminder to coaches, if the score is lopsided, ask players to work on another skill like passing. Give them a personal challenge to work on so they aren’t always scoring.

8. Referee Administrators Report: Any issues will be in the Division Coordinators reports.

9. Division Coordinator Reports: U5g: Everything good. Thank you Drew for the weekly email. One less thing for the DC to do. U5b: Everything good. Some requests for shortened emails U6g: Only complaints were about uniform shorts, too big. U6b: Some very lopsided games. Drew and Matt will discuss how best to handle. In the interim, remind coaches to have players pass or work on another skill besides scoring. Make sure coaches know that refs are self scheduling to be sure they have a ref. U8 g: Games pretty even, no complaints. U8b: A lot of division switching (playing up) and late registrations this year, difficult to finalize teams. U10b: Will email Beth about the needed uniforms. One game did not have a ref, she said she didn’t know she was the ref. RC will reach out to her. Remind coaches to remind refs to self schedule (No ref admin at the moment). U12g: Good. U14c: Good. DC has been practicing at LaGrange Christian Assembly. They are open to having the little kids practice there. Contact for the spring. U19: All good. 3 coaches for 2 teams, great start. A couple more players coming on, they will be placed.

RC Note: Thank you to all the DCs for taking in players even though it is very disruptive to the team building process. Waitlists and cutoff dates will be discussed over the winter.

10. Uniforms: Complaints about short sizes being way too big. Will work on for next year.

11. Fields: Thank you Kevin for laying out every field! Some goals are missing anchors and we are out. No idea how they are getting lost or disappearing. Working on a way to replicate and/or replace. In the meantime, bags of dirt will be used at counterweights.

Going for forward, it has been suggested by John to combine all field issues under one coordinator and assign each field to one person to inspect and maintain. Thoughts?

12. Photo Day/Pass Back: 10:30 start this year. Some complaints for the early start on Sunday interfering with Church. Will look into having more photographers next year so can condense the time. Most requests however, were to move the time earlier, not later, to avoid conflicts (Bears game).

13. Rocktoberfest Sept. 21 at Gordon Park: U6 will need to be moved for that day if the event stays at Gordon. This may be questionable due to the ongoing construction. Games will have to be later in the day at different fields so that we don’t need to move goals. We will let coaches know when finalized by La Grange. There is still a chance that Sedgwick will be the site of Rocktoberfest. 14. Bulk/Mass Email Policies: Please send through InLeague system whenever possible. That way you will send to every email a family entered into the system, and there will be a record of it. If you still have questions, please ask.

15. Miscellaneous Business: Coach ratings will be discussed at a future meeting. We want to know who the good coaches are if we run into a situation where a choice needs to be made.
