Post title: Head of Finance Responsible to: Chief Executive

Hours of Work: 37 hours per week Location: Treetops Hospice Care, Derby Road, Risley, Derbyshire DE72 3SS

1. Overall Purpose of the Role

1.1 To provide leadership and expertise in the finance environment within Treetops Hospice Care in order to ensure that all financial matters are run efficiently and effectively and fit for purpose.

1.2 To be an active and positive member of the Senior Management Team (SMT) and participate fully in the operational decision making process.

2. Main Tasks

2.1 Operational management  As a member of the SMT ensure that fellow members are fully briefed on matters relating to finance. Also to advise the SMT on the financial impact of decisions made. That the Finance Department is run effectively and efficiently and supports all departments in the smooth running of the charity and its subsidiary companies.

2.2 Finance:

 To produce monthly management accounts for the whole organisation within agreed timescales.  Preparation of annual statutory accounts for Treetops Hospice Trust, Treetops Funding Ltd and Treetops Retail Ltd and liaison with auditors.  Maintain up-to-date, accurate and appropriate accounting records for Treetops Hospice Trust, Treetops Funding Ltd and Treetops Retail Ltd.  To ensure that all financial information is current and accurate.  Financial forecasting to support business strategic planning.  To make sure that all monies are banked in accordance with policy & procedures.  Ensure Gift Aid claims are accurate and timely.  Manage all bank account related matters and ensure bank accounts are reconciled.

Draft Head of Finance JD/PS GC 1 18/05/2018  Work closely with the auditors to ensure the annual audit is completed in a timely and accurate fashion.  Ensure salaries are paid on time and are correct and all matters relating to these are recorded and accurately carried out.  Submit the monthly NHS pensions return and payment and also returns and payments for the Treetops Hospice Care pension scheme and any other scheme in which staff are members.  In conjunction with the Chief Executive ensure that a budget process is in place and budgets are presented in a timely and accurate manner initially to the Finance & Income Generation Sub Group and subsequently to the Board.  Ensure all correspondence and documents are dealt with appropriately and payments to all parties are made on time  All funds kept on the premises are secure and comply with Treetops Hospice Care insurance cover.  All Treetops Hospice Care matters in relation to HMRC are carried out to everyone’s satisfaction.  All financial information is backed up and secure.  Liaising with the Income Generation Departments to ensure that the Raisers Edge fundraising database system supports the Hospice’s fundraising activities, whilst retaining the integrity of the financial information recorded. .  Finding suitable places to deposit cash to achieve best return at the lowest risk in conjunction with Finance Committee members.  Preparation of the quarterly VAT return for Treetops Retail Ltd, ensuring that VAT is properly accounted for and that a tax efficient approach is taken to all aspects of the organisation’s operations.  To submit a quarterly claim of VAT owing to Treetops Hospice Trust under the Hospice VAT scheme.  Providing financial expertise to support the development of funding bids and to support new service design.  Restricted fund accounting, including preparation of regular monitoring reports to meet the needs of funders  Developing and regularly updating finance policies and procedures  Verifier and approver for organisation wide Payroll payments  Complete the administration of legacies, report to the Board and provide alerts for contentious estate issues  Maintain contact with banks, auditors and other advisors  Continuous development of financial controls and procedures to ensure efficient use of resources and integrity of accounting records, and to support the changing needs of the organisation

2.3 People

 To carry out regular reviews with all staff to ensure that agreed objectives are being monitored  Carry out annual appraisals with all staff within the Finance department.  Adopt a positive and reflective approach to personal and professional development, participating constructively in an annual performance review.  Ensuring that finance staff access the training necessary to enable them to perform to the appropriate standards, and taking ownership and accountability for own on-going professional registration and continuing professional development.  To ensure that all staff within the Finance Department achieve their objectives  Ensuring effective management of and support for volunteers working within the Finance Team.

o Adhere to Treetops Hospice Care’s health and safety procedures and regularly update and maintain your knowledge of safety rules, fire drills, internal security and accident procedures. o To ensure that legal requirements in relation to charity reporting are completed by given deadlines and fall within the legislative guidelines. o To participate in the induction and training programmes of staff. o To support other staff members in providing information as required for external purposes. o Manage all matters in relation to insurance o Keep an accurate record of member’s details and collect annual fees. o Perform other duties appropriate to the role as required. o To be strongly committed to, and continually promote the vision, values and objectives of the Hospice o Contributes to the development of the Annual Operational Plan and responsible for implementing elements that relate to finance department o Provides reports on relevant areas of Finance for CQC and contract compliance o Provides support during statutory investigations and inspections

Your normal hours of work are from 09:00am to 5:00pm Monday to Thursday and 09:00am to 4:30pm on Friday or as agreed with the Chief Executive, with ½ an hour for lunch. You will be required to work additional hours as necessary which will include unsocial hours outside the above times for which TOIL will normally be given, rather than payment.
