BC Minutes for March 1, 2011

Pride Alliance

The group is requesting a second portion of funding for an honorarium for a concert taking place on Friday. They were approved $525 for food and sound equipment from Dean Fatemi, but were unable to find another source of funding for the honorarium. They were originally funded $1250 and are requesting an additional $1250.

Pride Alliance is also requesting funding for a police officer for a GAP, and an honorarium for a speaker that they plan to host on April 27. They are requesting $1000 for the honorarium as well as funding for accommodations, travel, food, Ally pledge cards, and publicity. The Ally pledge cards are part of their Pride Week.

Honorariums are typically halved pending co-sponsership, so the group will be recommended $500. In addition, Dean Fatemi would be a good source of funding for Ally pledge cards.

Phil Johnson: they have a very vague precedent for funding items like pledge cards, which members would sign to show their support. The committee agrees that pledge cards are acceptable to fund.

BSU

The group is hosting a party on March 26th. There is a motion to fund in full. Cody, Fevrier, Ainslie, Kirpalani, Sidhu, Ong, Nguyen in favor. 0 opposed, 0 abstentions.

Globemed The group is requesting funding for a party that would occur on March 25. The party would have a suggested donation and the group would like to sell pizza and wings afterwards to raise money for a project in El Salvador. They have gotten $500 from Program Board and Social Council. They are requesting campus security, student security, DJ, custodial, and publicity. They were told by Dean Fatemi that $400 was the price for two officers, but the BSU has gotten officers for $132 per officer in the past. The committee asks that although they will fund the $400, they would like the group to look into the exact price for the officers and to speak with Dean Fatemi again.

Phil Johnson: Custodial is vague because the BC has not typically paid for a cleanup crew but would pay for setup costs. However, the representative says that the money they are requesting is for facilities, not for cleanup after the party.

They plan to advertise in all of the five colleges. The standard publicity rate is $12.50.

Women’s Ultimate

The team is requesting funding for a clinic. Technically anyone can attend the clinic, but it would be more useful for people who plan on playing.

Ong: Asks if they are intending to publicize. Phil Johnson: Thinks this is analogous to a coach, and does not need to be publicized to the whole school. The committee agrees with this and so publicity is not added.

Men’s Ultimate

The team is requesting hotels for $481.92 and have cots for all of the rooms they are requesting. They are requesting the hotels for their spring break trip. They have already made the reservation but have not paid anything yet. They are requesting six rooms. They are going to use their spring break housing money that they were already were allocated but need a little bit of extra money. They had found another, slightly cheaper hotel but the conditions in that hotel were terrible so they booked a different one. On their way to Georgia for spring break, they are also going to stay at team member’s houses.

There is a motion to fund in full. Phil Johnson objects. If they are getting 6 rooms, they are technically paying $165 per night. The cap is typically $150 per night including taxes. He encourages the BC to fund $300 instead of the $481.92, and have the team members cover the difference.

The representative says that they plan to fit about 30 people into the 6 rooms, and are putting more than 5 people in each room. However, the rate of the rooms is still too high.

WAMH

WAMH is requesting funding for an event. They have hosted Jock Jams twice in the past. They typically get DJ E-603. They are requesting the DJ fee and publicity. The entire event will cost $1200. They also received $450 in funding from Social Council and Program Board, and are waiting on Dean Fatemi. They also will need student security, but they are not sure about the amount yet and will talk to Dean Fatemi about that.

The committee decides to fund E-603 and allow Dean Fatemi to fund the remaining amount of the request.

Quiz Bowl

The club is requesting two buzzers. Buzzers are integral to quiz bowls. They are requesting two because one would be for practice, and one would be to travel to tournaments with, because tournaments give out discounts if clubs bring their own buzzers. These buzzers are mid-range buzzers in terms of price.

They are also requesting question packets. They are requesting many packets and overall the packets would cost about $4 each. The packets are recent and will give group members a good idea of what to expect in tournaments. The representative expects that they will not need new packets for at least a year.

ACOC

The group is requesting ski lessons. They had planned a ski trip and need emergency funding for ski lessons for twelve people who are attending. There is a motion to emergency fund $180 in full. Cody, Fevrier, Ainslie, Kirpalani, Sidhu, Ong, Nguyen in favor. 0 opposed, 0 abstentions.

Mindfulness and Meditation

The group is requesting funding for table tents. The event is taking place in the upcoming weekend.

Peruvian Education Initative

The group is requesting table tents and food. They are running a Super Smash Brothers tournament. They would like to raise money for some children in Peru. They did a Fifa tournament last year that was successful. For the food, they were debating doing a gift certificate for the winner, or just having food for refreshments. However, the AAS does not fund giveaways.

Each club has a $200 food rule, but the food must significantly add to the event in order for that to be approved.

Sidhu: It is an event and not a club meeting, so the group might be eligible for the $200 rule. However, the food does not add significantly in this case, and the BC did not fund a similar Club Hockey request in the past. However, the club is advised to apply to Dean Fatemi for the food money.

SASA

The group is requesting funding for a comedian. KSA organised Eliot Chang to visit and the event was very successful. The comedian that SASA would like to bring is successful and is willing to come for $5000. The group has not yet asked for co-sponsorship. They are also requesting publicity.

For Eliot Chang, the committee funded $3100 in total. They will fund $1500 in order to encourage co-sponsorship and will consider funding the remainder if it is necessary after the group has pursued other sources of funding.

The student submitted two separate requests for spring break trips. She is waiting on confirmation from one, and a spot to open up in the other, and so she requested funding for both. She would prefer to attend Big Break which would cost $269, but there is a chance that it will not work out, and there is a chance that neither will work out.

She is requesting funding for an alternate spring break trip, and a habitat type trip. The latter is all-inclusive and covers transportation, food, and housing. They would drive to the destination, but officially the amount listed for everything was $495. The money would go to the KRUP organization. The committee asks if transportation can be separated out but the student says that this is not possible.

The AAS typically has a soft cap of $500 for registration.

Phil Johnson: They should fund the more expensive event and then the student can choose which one to attend when she knows whether she can go.

Kirpalani: Asks if they publicized or if the event was open. The student says that anyone could have signed up for this event. Another student has already requested funding for an alternate spring break trip.
