SCHEDULE AND CHECKLIST FOR EAGLE COURT OF HONOR

TWO MONTHS PRIOR

If not already in hand, pick up Eagle Presentation packet from Council Office and "Eagle Badge Kit" from Council or Scout Shop (after notification from Council that it is available)

Meet with Troop Advancement Chairman or Eagle Ceremony Coordinator

Select and reserve site for ceremony. Issues to check into include availability and charges for custodial, sound system, projectors, and screens.

Select Court of Honor script contents

Reserve use of the Eagle Light Box and/or Norman Rockwell Slides from Orange County Council (714) 546-4990

Obtain current list of dignitaries and their addresses that invitation are to be sent. Contact current Kiwanis Club President (Chartering Organization) and get on his schedule for attendance.

Prepare invitation list and count number needed. Allow 15+% for printer spoilage and "forgotten" people.

Prepare list of scout, school, and community activities for presentation to City Council for their commendation. Send on Troop stationery.

Determine the type of media presentation desired and equipment that will be needed. (such as slide projector(s), video, etc). Begin to gather slides from own collection and others in troop for use in ceremony (optional).

Photograph any desired slides from prints or insignia (merit badges, patches, meeting places, etc.)

Begin assembling memorabilia to be displayed at the event.

Get Eagle's photo taken if it will appear on the invitation or in the press release

Mail letters announcing the new Eagle Scout to all dignitaries. Include invitations for those whom you wish to also attend.

SIX WEEKS PRIOR

Purchase necessary supplies from Scout Shop; invitations, programs or program covers, Eagle napkins, cups, tablecloths, plates, and nametags. (Note: the blank Eagle invitations are very nice and extra bland invitations also make great thank you note stationery) 2

Order wanted special gifts. These include membership in the National Eagle Scout Association (including special certificate), an Eagle patch for the red wool scout jacket, Eagle ring, Eagle neckerchief, Eagle mothers necklace. Note: These items can only be purchased with proof of Eagle rank (eg. Eagle membership card).

Invite Eagle Charge speaker

Select printer for invitations and have them printed. RSVP should be specified (eg. RSVP or "RSVP regrets only") Obtain samples form troop or other troops (see book available through local NESA chapter). Identify people who might participate in the program, secure their commitment to participate and assign roles for each

Mail invitations to guest list. Include a small map with directions. (If a reception is being held afterward, another map may be needed as well)

Invite pastor, priest, rabbi or Troop Chaplain for invocation and/or benediction (optional)

FOUR WEEKS PRIOR

Contact Troop Refreshment/Court of Honor Chairman to determine what Troop normally provides.

Secure at least 4 assistants to serve refreshments and help in the kitchen during the reception--members of the Eagle's family do NOT do this so they may enjoy the ceremony.

Order Eagle cake (Full sheet cake feeds about 100. Take invitation to baker to copy. An old photograph of a previous cake is a helpful also).

Mail out flyers to Troop parents with information about the ceremony and who is invited. Include information for parents that may be useful like uniform required, reception to follow, early arrival times, or rehearsal dates.

Ask scouts and scouters who will be on the program for commitments— Scoutmaster, Committee Chairman, Master of Ceremonies, Voice of the Eagle, Badge of Light speakers, etc.

Plan program and arrange for typesetting. (Note: Professional typesetting is expensive. Programs can easily be made by someone who is proficient with WordPerfect or MS Word and has access to a laser printer. Programs can be run on a good copier)

Call local newspaper for photo and article about Eagle. Determine deadlines and style policies. There is very little consistency here.

Arrange to borrow needed equipment for media presentation such as a projector(s), dissolver, screen, tape recorder/cd player. Include an extra projector bulb in your request. 3

Arrange to borrow needed equipment for ceremony such as: mikes, candle log, badge stands, etc.

TWO WEEKS PRIOR:

Decide who will assume primary responsibility for directing the rehearsal. Plan rehearsal objectives.

Reproduce ceremony script and distribute to Scoutmaster, Troop Committee Chairman, Advancement Chairman, and each participant on the program.

Purchase necessary extra items such as guest book, plastic forks, spoons, and other "non-Eagle" insignia items.

Obtain any miscellaneous Eagle Court of Honor items from Troop Awards or Advancement Chairman--decorations, table cloths, candles, candle log, stands, drapes, etc. Check items to make sure they are in good condition.

Remind all scouts and scouters about upcoming rehearsal and ceremony times.

Ask remaining scout participants to take on responsibilities in the ceremony such as candle lighters. projectionist, light operator, handing out programs, staffing the name tag table, etc. Ask newest scout to hold the "Eagle Badge Kit".

Decide on photography needs and request people to help take photographs and video of the ceremony as desired. This should be prearranged prior to the ceremony.

Locate refreshment serving items including 2 punch bowls and ladles, knife for cutting cake, 2 cake servers, sugar and cream containers, and serving bowls for nuts and candy (if to be served)

Put together media presentation.

Check scout uniform to make sure all pieces are accounted for, are in good condition and all merit badges etc. are in place

ONE WEEK PRIOR

Secure borrowed equipment such as a projector and bulbs, screen, player, special lights, etc.

Pick up "Eagle Light Box" and other last minute purchased items from Council/Scout Shop. If "Light Box " is being used by someone else, make sure you have all the information and contacts made to complete the transfer.

Contact refreshments coordinator with number of guests expected. Determine quantities of refreshments to be ordered by family and Troop.

Hold rehearsal of complete ceremony including where people will sit and stand and how they will get there. candle lighting and snuffing, projection 4

Status Due Date Assigned Description of slides, taped portions, spoken parts, Badge of Light, and flag ceremony. If at all possible, conduct the rehearsal in the actual room reserved. Proper staging makes the difference between an amateurish and dignified ceremony.

Purchase any items identified as missing from the rehearsal

Finalize program content, print final version, reproduce, and assemble.

Secure cleanup crew of scouts and parents.

Purchase gifts and cards for special people who helped with the ceremony (optional). Wrap gifts and present after the ceremony.

Begin assembling ceremony box(es)--copy paper boxes with lids are good. Items put in these boxes may not be removed except for rehearsal until box is delivered to ceremony site. (This may seem trivial, but the stress level is beginning to soar and borrowed items have a way of not being returned. Knowing things are beginning to be organized helps a lot). Include in box(es) such things as 5 extra scripts, cigarette lighters, screw driver, pliers, duct tape, making tape, safety pins, small flashlight (for podium), ballpoint pens, guest book, push pins, extension cords, knives, ladles, napkins, trash can liners, etc.)

Assemble letters and certificates from dignitaries into protective covers (eg. K&M vue sheets) and frames. Consider purchasing a BSA certificate cover for the Eagle certificate itself.

TWO DAYS PRIOR

Purchase all refreshment supplies. Take possession of Troop supplies such as coffee pot, coffee, punch bowl, etc.

Assemble all remaining props needed for the ceremony.

Check all equipment such as the projector to make sure they are operating properly and run through slide programs etc. to insure they are set up right.

ONE DAY PRIOR

Pick up cake (or confirm delivery location and time)

Wash and press Eagle uniform

Double check items in ceremony box(es). Add programs, maps, etc. to box.

Put everything in one place so nothing gets left behind on the Ceremony Day

DAY OF THE CEREMONY

Purchase ice (if needed for refreshments)

Plan to arrive at least 1.5 hours prior to the start of the event for set-up. All participants should be there at least 45 minutes before the event. If another rehearsal is to be just before ceremony, add another .5 to 1 hour 5

Reserve the seats for the Eagle's family and other participants.

Place masking tape "X's" where boys are to stand.

Hang Eagle banner(s) and other items.

Display memorabilia

Do necessary audio visual setup

Test microphones and volume levels

Set up and test the Eagle light box

Put guest book out with 2 pens on table

Determine spot for video camera and/or photographer

Set up refreshment table

Place flags and stand in proper spots (audience sees US flag on left side)

Eagle Award kit placed at proper location. Undo clasps for the badge (ribbon) prior to the ceremony.

Extra script at podium

Identify guests present that will be introduced by the MC. Make sure guests know when they will be identified or called up by the MC.

AFTER THE CEREMONY

Give out thank you gifts and cards

Clean up site and empty all trash cans

Return Troop equipment, including flags and ceremonies book. Reusable materials, including candles, napkins, and decorations, purchased for the ceremony are usually donated to the Troop.

Promptly return Eagle Light box to Council.

Write any additional thank-you letters.
