GENERAL Under the guidance of the Youth Program Director, the Sports Coordinator is responsible FUNCTION for administering the operation of a variety of sports programming within the Branch parameters. The Sports Coordinator oversees the management of the programs, volunteer and staff development, financial development, marketing, recruitment and collaborations with community agencies in meeting the needs of its members and program participants. Ensures player and coach safety and attended meetings and trainings as necessary. ENTRY . Preferred Associate’s degree or equivalent experience. REQUIREMENTS . Involvement with sports programs; coaching, playing, organizing, etc. . Background must include strong skills in human relations, budgeting, sound fiscal management, financial development, program management, excellent verbal and written skills, volunteer and staff development, committee and board relations, and staff supervision. . Must be able to work autonomously within the Y core values of Caring, Honesty, Respect and Responsibility. . Must be proficient in Microsoft Office, especially Word and Excel. . Must have knowledge of a variety of sports and the ability to plan curriculum that is appropriate for youth physical development. . Current CPR certification required, . Ability to respond to safety and emergency situations. . Ability to build genuine relationships with participants and maintain a welcoming environment with people from all walks of life. . Ability to interact with the broad spectrum of member and staff diversity. . Ability to use sound judgment on ambiguous issues. . Ability to effectively use a computer for word processing, research and budgeting. . Excellent verbal and written communication skills. . Versatility, flexibility, and a willingness to work enthusiastically within constantly changing priorities . A high degree of tact and discretion is required. . Must be able to maintain confidentiality. . Ability to analyze problems and solve them using good judgment and resourcefulness. . Effective conflict resolution skills. . Demonstrated skills in planning, time management, flexibility, organization and independent work proficiency. . Ability to handle multiple tasks simultaneously and to prioritize appropriately. . Informs and involves members in other Y activities and volunteer opportunities. . Recruits volunteers to program and fundraising positions. . Promotes the Y mission and cause in all interactions. . Uses Listen First skills effectively. . Records all accident/incident reports and participant statistics etc., as required by supervisor, and react immediately to member comments/concerns. . Ensures that all staff members and volunteers have the tools, training and resources needed to accomplish their objectives. . Coordinates the development, management, and progression of a wide variety of program styles, in a diverse range of specific sports, at multiple sites, serving multiple school districts to achieve Branch operating objectives. . Directs staff and volunteers in the development and implementation of the sports programs enrollment strategies, including all public relations and marketing efforts, resulting in enrollment and quality targets being achieved. . Designs age/skill appropriate programs for preschoolers, youth, teen, and adults within the sports department. . Ensures outstanding customer/member service and meets all Association standards. . Implements developmentally appropriate approved curriculum that includes implementation of the Y Character Values and 40 Developmental Assets. . Assists the Marketing Coordinator in creating marketing strategies that result in enrollment and retention targets being met, including maintaining and using the website as a marketing and information tool. . Develops and maintains collaborative relationships with community and partnering agencies in service delivery. . Ensures that programs and services are evaluated regularly and utilizes feedback to improve programs and services. . Works with the Director to understand and respond to changes in community wants, interests and needs by adjusting programs and/or creating new programs. . Operates in a synergistic manner with other Y branches and departments to increase participation through cross-promotion and education. . Prepares statistical, analytical, and narrative reports regarding the programs, as needed. . Ensures cleanliness and monitors maintenance of program sites and equipment. . Creates a safe program environment by ensuring that all Y policies and procedures regarding safety are followed at all times. . Implements character development and the values of Caring, Honesty, Respect and Responsibility in all programs and activities. . Meets revenue and expense goals as outlined in annual budget. . Connects members with other members with similar wants, needs, and interests to create small communities inside and outside of the Y. . Ensures that all programs and activities meet the highest safety standards. . Conducts prototypes to support the launching of programs and activities. . Utilizes non-threatening methods to address sensitive issues and inappropriate behavior or performance. VOLUNTEERISM . Establishes annual goals during performance evaluations for recruiting and retaining program volunteers; meeting or exceeding goals. . Uses volunteers effectively in all program areas where appropriate. . Provides volunteers with orientation, training, development, and recognition. FINANCE & QUALITY RESULTS . Develops, manages, and monitors the program operating budgets to meet or exceed budget targets (financial & enrollment). . Collects, use and analyze statistical and financial data and use standard business mathematics to determine pricing, margins, etc. consistently with the director. . Evaluates and tracks financial assistance for participants in areas of responsibility. . Process refunds, manage collections, and monitor payments for participants in areas of responsibility. . Provides accurate and current information regarding past and future financial performance of the programs. . Effectively creates and manages budgets. . Holds staff accountable for high-quality results using a formal process to measure programs. PHILANTHROPY . Participates on a team of the So Much More Campaign with a volunteer team captain, resulting in the achievement of both people and financial goals. . Consciously seeks to identify individuals who have passion and capacity and match them with Y opportunities to contribute. . Cultivate and maintain relationships with current and potential donors to increase their understanding of and commitment to the goals of the Y. . Provides information regarding current and potential funding sources, both private and public, with Branch and Association Leadership staff. . Cultivates relationships to support fundraising. DEVELOPING OTHERS & SELF DEVELOPMENT . Direct a diverse team which includes paid staff, unpaid staff, and volunteers who work in full time, part time, and seasonal positions, with knowledge ranges from entry level to highly skilled. . Works with HR and director to create and implement a recruitment strategy to hire the qualified staff and volunteers who work at multiple off site locations, with limited direct staff supervision and who are essential to program operations. . Communicates effectively with staff and volunteers regarding program goals, expectations, changes, and Y policies. . Coordinates both staff and volunteer development, which includes: team building, training, evaluation, recognition, mentoring, and employment transitions; to ensure an effective values driven team. . Supervises and coaches staff by setting up formal and informal, individual and group meetings. Develops self and staff through meetings and performance objectives by creating and following a development plan that is created together . Observes staff regularly and provides feedback to lifeguards, resulting in increased performance. . Addresses issues concerning staff in a timely manner and provides necessary support to result in positive change. . Holds staff accountable for meeting all aspects of their ob descriptions and assists staff in being successful. . Serves as role model for all behaviors required from staff in the Youth Branch. . Coordinates staff and volunteer development, which includes: recruitment, team building, training, evaluation, recognition, mentoring, and employment transitions; to ensure an effective values driven team. . Promote an open, honest, inclusive, enjoyable work environment . Provides day to day guidance and oversight of staff; actively works to promote and recognize performance . Listens to staff and provides support, guidance and tools when necessary . Maintains comprehensive records of the staff’s certifications, trainings and performance. . Develops self and staff through meetings and performance objectives by creating and following a development plan that is created together. . Provides staff with feedback, coaching, guidance, and support. . Shares new insights INFLUENCE & INCLUSION – DEPARTMENT & BRANCH LEADERSHIP . Serves as a member of the Youth Program Leadership Team and other Branch and Association responsibilities, as assigned. . May serve as a trainer of a local Y course and/or a non-Y course. . Represents the Y in one outside professional or community organization. . Is seen as a positive influence among staff because of their work ethic and positive attitude. . Attends staff meetings and trainings, as scheduled. . Assists staff in learning and following policies and procedures. . Assists other staff in utilizing the Emergency Action Plan. . Uses appropriate chain of command when issues arise. . Empathetically listens and communicates for understanding when negotiating and dealing with conflict. . Champions inclusion activities, strategies, and initiatives. WORKING . Must have the ability to thrive in an environment with the unique challenges of a CONDITIONS non-profit community service organization. . Ability to work in excess of a 40-hour week with irregular work hours. . Ability to walk, stand, and sit (including on the floor) for long periods of time. . Exposure to communicable diseases and bodily fluids. . Must be able to lift and/or assist children up to 50 pounds in weight. . Must be able to lift and carry food and supplies weighing up to 20 pounds. . Ability to stand or sit while maintaining alertness for several hours at a time. . Position may require bending, leaning, kneeling, walking and swimming. . Ability to speak concisely and effectively communicate needs. . Visual and auditory ability to respond to critical incidents and physical ability to act swiftly in emergency situations.
