Meeting Min. for January 21, 2015

Hallie Nelson called the meeting to order at 6:30pm. All members in attendance introduced themselves.

Treasure Report: Designated funds: this is where tips from foodbooth will go. Reminder: enrollment fees are $20, we send $18 out. This does not cover all of our costs. We need to consider raising our enrollment fee in the future. Reserve operating fund is in a CD for future use. Anything with ( ) is in a negative, we used more than we had to spend. We needed to raise $4000 for food booth, in 2014 we raised $2962.98

Reports from Committees: Jama Harms Scholarship: We have $28,198.31 for scholarships opportunities. Please come to the meetings to find out more information. Committee meets once in August in Paisley for reviewing scholarships.

Sale Committee: next weekend 28th paisley school annex @6:30 meeting. Jennifer McDonald has resigned as treasurer for sale committee. We need to fill her position, any questions please contact Jamie or Laurie.

Lake County Fair:

New fairgrounds manager: LeeAnne. We are looking into new judges at all times. Julie Threet asked for guidelines to hand out to new members so they know what to expect from them at fair as a 4-H member. Ultrasound for carcass evaluation: Still pending on the decision to have ultrasound at fair and to charge members. The need for the ultrasound is still credited. Theme for next year’s float: Contest to suggest ideas for the 4-h float at fair, if selected the person would receive an award and recognition. Carmen Dick: Discussing alcohol in the barns from adults. We need to address this issue at the August meeting. Spring Contest:

Numbers are declining; ideas are needed to recruit more members to 4-H and spring contest. This is the opportunity for youth to demonstrate skills in time management, static, cooking and sewing. Presentations are also included. It’s held in April or May, we need to get organized, contact Hallie Nelson by February 1st if your club will go forward with the contest.

Enrollment Rosters: If you have not received a roster for your club that your volunteering, it means your paper work is not completed or approved. Please contact Jamie at the ext. office if you have any questions or information about members of clubs.

Conversion Process for Lake County 4-H Leaders Association: please review the handout given to each attendee of the January 21, 2015 meeting regarding this issue.

The IRS was not going to approve the way we were operating under a certain tax number. Last March- April we are in progress amending and restating bylaws of the Lake County Extension Office. We are all operating under the same umbrella, the 4-H organization. The IRS has indicated that it will require that the county associations be more similar in their structure. To this end, it is important that the county assoc. all become either “member” or “non-member” organizations. We will be able to keep all of our funds, and we are Lake county 4-H assoc., our directors and advisors will stay in our county, it is not distributed under the umbrella. Board of directors can consist of no fewer than 7 directors and no more than 24 directors. These new bylaws will not affect the way we run our clubs just the process for fundraising and savings accounts.

Steps after conversion: What is the process to continue the meetings, we now have three per year. There has to be a committee to continue the steps of progress, do we keep the decision making in just the main council of 4. There are some leaders that are concerned and would like to expand on the voting opportunities. The main council makes the main decisions such as variances and scholarships. If an individual wants to be on the council, a vote would commence to become a council member.

Voting results: Articles and bylaws were voted as a yes, it has passed. Teresa Whitman makes a motion to accept current directors.

Announcements: OSU Summer Conference and National Congress: Anna and Danielle had both attended this congress. Both members are willing to help other members in the process of attending.
