NORTHERN KENTUCKY SWIM LEAGUE ALL-STAR AND CHAMPIONSHIP SWIMMING MEETS ENTRY INFORMATION SHEET

Dear coaches:

Enclosed you will find the entry information for both the 2016 All-Star Swimming Meet and the 2016 NKSL Championship Meet. This packet will deal only with the actual process of entering your swimmers in these meets. You may receive other information regarding this meet from the Meet Directors and other officials at Bluegrass and Five Seasons. Please keep all information regarding these meets together.

As with previous seasons, we will be handling entry for these meets via email. Teams using Team Unify products for their teams will be allowed to submit their entries electronically; all other teams will be scanning their entry forms and emailing them to me. Teams will be receiving a copy of a Meet Eligibility Report for each meet. This report is organized by Age Group to allow you to track the entries within each age group. A sample copy of this report was given to each team during the Champ Meet Meeting on June 29th. I will update these forms following the Week Five meets and post them to the league website. The procedure for each entry format is described below.

Team Unify Electronic Entry

I will post a Meet Events file to the League Website which you can download and import into Team Unify. When you have finalized your entries, please export the entry file and email it to me by the established entry deadline. The event file will restrict your entry times to this season will not allow NT’s to be entered. Please send a printed copy of your entries as well in case there is an issue with importing the entries into Meet Manager. Please make sure you include any alternates, relay only swimmers, and swimmer’s names for your relays.

Paper Entry

The entry forms for both meets will be the Meet Eligibility Report that you will download following Week Five. This report will contain information sorted by age group and will include the swimmer’s name, age, best time in an event, etc. The instructions for marking on these forms to indicate entry are as follows:

1) To enter swimmers in an event simply circle the time for the event you would like to enter them in. 2) To enter swimmers in an event as an alternate, please mark the letter A by the event time and circle the time and that mark. 3) I would like to get the preliminary relay swimmers entered into the database before the meet. Under the relay event please mark a number one through four by the swimmer’s name which will indicate the order you intend to swim during the preliminary competition. You may also list one alternate name by marking an A by that swimmers name under the relay events. If there are more than five swimmers under consideration for relay spots, please mark an A by additional names as necessary. You will be asked to finalize your order and one alternate during the scratch meetings for the preliminary sessions.

A few reminders regarding the respective meets:

 Swimmers may participate in two individual events during the All-Star Meet; you are not restricted regarding the number of swimmers entered in an event.  In Champ Meet, each team is limited to TWO individuals in each event, and one relay team per relay event. Each swimmer is limited to THREE individual events plus relays. Swimmers may only be entered in events that they competed in at least one time during the current NKSL season.  Once entries have been input into the computer, teams will receive copies of their entries for review. All teams will have approximately a 24-hour review period. During this period you may contact me with any corrections that need to be made to your entries. After the review period has ended, only changes that are a direct result of input error may be corrected. Please review your entries carefully during this period.  If you have any questions about your entries please contact me either on my cell phone at 859-866-3376, at work at 859-815-2018, or via email at [email protected].
