1. Why am I being asked to complete a DBS disclosure?
As part of the Trust’s commitment to the safety and welfare of our service users and to comply with best practice, the Trust conduct an audit through the Disclosure and Barring Service for all existing employees who have not had a DBS check within the last three years, or who have not had a DBS registered on file.
2. Who needs to complete a DBS disclosure?
You will need to complete a DBS disclosure if- you work/have access to children and or adults in the course of your normal duties your position is eligible for a DBS check your current DBS check is due to expire (d)you have not had a DBS check in the last 3 years
3. Is it mandatory to complete one?
It is mandatory for all staff that have received a requested to complete a DBS disclosure, as part of this audit, to complete one as soon as possible.
4. Will a DBS from another organisation be acceptable?
No, there are currently no mechanisms in place that allow the re-use of a DBS check obtained for one position in one organisation and later use it for another position in another organisation. The only exception is when—
the other organisation is another NHS organisation and it is for a specific role such as a Doctor on rotation
However, from 17th June 2013 you will be able to sign up to the new update service offered by the Disclosure and Barring Service. This is only available to you if your disclosure was completed on or after the 17th June 2013.
This will put you in greater control of your information; allowing you to reuse your DBS certificates when applying for similar jobs. If you subscribe to the Update Service your employer can go on line, with your consent, and carry out a free, instant check to find out if the information released on the DBS certificate is current and up-to- date
There is an annual fee for this service which is payable by you. This is £13.00 per year.
5. How long is a DBS check valid for?
Each DBS check will show the date on which it was printed. DBS checks do not carry a pre- determined period of validity because a conviction or other matters could be recorded against the subject of the DBS check at any time after it is issued. However, HEFT will re check your disclosure on a 3 yearly basis which is considered best practice. 6. How do I complete the application.
You will have received a link and instructions on how to log onto the CAPITA Recruitment and Vetting Service website. Once you have completed the first part of the process you will need to bring in your documents for ID checking.
7. What documents are acceptable for ID checking
You will have received a list of acceptable ID documents that fall into 3 groups. You will need to bring in original documents and not photo copies.
8. Who can check my documents
Your line manager will have a list of designated ID checkers for this purpose. Alternatively you can contact the Compliance dept for this information on 48941 or
9. What happens next?
Once the documents have been checked the final part of the process is then completed by the Compliance Department. The DBS disclosure request will then be processed and you will receive your copy by post. The Trust is also advised that the disclosure has been issued. We are not able to give a time frame for the receipt of the disclosure but as a rule it will normally take about 2 to 3 weeks.
