2017 Exhibitor Services FALL MEMBER CONFERENCE Packet & Agreement

This packet provides you with the necessary forms for ordering equipment and services for your booth, in addition to the specific instructions for shipping booth materials and samples to the conference. Please review and complete this agreement page and any forms that apply to your needs and return them to Golbon Special Events by the deadline September 6, 2017 in order to secure advance pricing and guarantee service.

This signed page is required and will authorize Golbon to coordinate the services you have requested. Orders will not be processed without this form. To ensure proper receiving and handling of your show materials, please make sure to read and follow the shipping and labeling instructions included with this packet.

EXHIBITOR SERVICES COSTS: Any costs incurred for orders placed or services requested at show site, including labor and/or material handling, will be billed to you after the show. The exhibiting company is ultimately responsible for payment of all costs incurred on its behalf. Please indicate below if you prefer to be invoiced for the charges or pay via credit card.

LIMITS OF LIABILITY – exhibits, freight, samples, and other show materials: Viper Tradeshow Services has been contracted by Golbon for receiving and storing all tradeshow freight shipped in for use during the Golbon Fall Member Conference & Awards at the Boise Convention Centre.

Viper Tradeshow Services has the responsibility of receiving and handling all exhibit materials and empty crates that come in via over-the-road carriers as well as any and all exhibit materials that arrive at the loading dock. In addition, it is Viper’s responsibility to manage docks, freight elevators, back-of-the-house-area freight pathways, handle the scheduling of all vehicles for safety, and oversee the smooth and efficient move-in/move-out of the exhibition. Viper will not be responsible for any materials they do not handle.

Exhibitors are highly encouraged to utilize Viper Tradeshow Services for all Material Handling needs for this show. Golbon and the Boise Convention Centre will not be responsible for loss or damages to any materials shipped in to the Golbon Fall Member Conference & Awards.

IMPORTANT…PLEASE NOTE: Exhibitors wishing to hand carry items into the exhibit hall of the Boise Convention Centre may ONLY do so directly from street level and/or thru walkways connected to the convention center. There is no onsite loading or unloading nor loading dock access for your personally-owned vehicle (POV) at the Boise Convention Centre.

Any POV regardless whether a Golbon Exhibitor or Local Vendor entering the loading dock area will not be allowed access to the exhibit hall via the loading dock. If POV loading/unloading at the loading dock is the only option available to you, there will be a fee of $150 assessed for dock access without assistance or lending of equipment from Viper. If Viper assistance or equipment is needed to reach the exhibit hall from the loading dock, the cost will be $150 for each Viper-assisted roundtrip from the loading dock to the exhibit hall. This applies to all local vendors as well. Street parking, short term parking, temporary starting/stopping, loading or unloading on any of the streets surrounding the Boise Convention Centre is illegal and strictly prohibited.

CANCELLATION POLICY: Items or services cancelled less than 48 hours prior to first day of move in will be charged at 50% of original price and charged at 100% of original price after delivery/installation in booth.

By signing below, you are agreeing to the terms outlined here as well as the Viper Tradeshow Services Material Handling Limits of Liability included in this packet. Charges will be charged to card on file about three weeks after the conference.

MATERIAL HANDLING/RECEIVING RATES: these rates apply to all materials received by Viper Tradeshow, or handled by Viper on the show floor or Boise Convention Centre loading dock. USE THE HANDLING LABELS INCLUDED WITH THIS PACKET – ONE PER PIECE Discounted rate $142/CWT Advance Warehouse 100 CWT minimum; rate calculated on CWT rounding up to the next hundred. Show Site Receiving $152/CWT PERISHABLES & NON-PERISHABLES $76 per delivery if less than 50 lbs. Small package rate applies for all packages that are retrieved by Viper from the Small Package Rate package room or loading dock and delivered to your booth. Rate applies per delivery, if the shipment exceeds 50 lbs. the above material handling rates will apply. Large Item Rate $83/CWT if shipped to Advance Warehouse (A 30% special handling charge will (only applicable for any apply for large items shipped direct to show site.) Show Site Deliveries – PERISHABLES & NON-PERISHABLES All show site shipments are to be delivered on these days only. Shipments received Monday, October 2, 2017 outside of these dates are at risk of being refused or incurring additional fees. 7 a.m. – 5 p.m. Note: Perishable items will only be accepted at the Show Site; any perishables received at the Advance Warehouse will be refused. All other carriers must check in no later than 3:00 p.m. to avoid force. Exhibitors must start to dismantle by 11:30 a.m. in order to avoid using forced labor. If you use FedEx or UPS as your carrier we suggest you stay with your shipment until they arrive. In the event your carrier does not check-in prior to the 3:00 PM deadline, your freight will be re-consigned to the house carrier, Viper Transportation, and your shipment will be sent back to the address specified on the Bill of Lading. You will be charged the flat rate fee of $2.75 per lb. / $545.00 shipping minimum. STANDARD BOOTH ITEMS T-shape configuration with one 8-foot table in rear and one intersecting 6-foot table. Four chairs, wastebasket, exhibitor sign, and wireless internet will also be included. The Boise Convention Centre does not have a business center/shipping office. If you will have any items requiring outbound shipment it is required that you bring your own return shipping labels with you to the conference. Please read and follow these instructions so you are prepared in advance:  Bring completed UPS or FedEx labels with your corporate account number or your credit card information with you.  Contact your chosen carrier and prearrange the pickup.  Attach a COMPLETED LABEL with billing information to each of your parcels at the designated area.  Parcels left without labels inside the Exhibit Hall will be picked up and charged by Viper Tradeshow Services. The minimum charge for shipping through Viper is $545 ($2.75 per pound). Important Information: Viper Transportation is the official carrier for the show. The following electrical services and rental equipment are available from the electrical contractor of Boise Convention Centre. Please indicate what you will need at your booth; Golbon Special Events will coordinate your request with the electrical contractor and request payment for the amount due either by invoice or credit card (based on your selection on page 1 of this packet) after the show. Discounted pricing shown below applies only to orders received by the deadline – September 6; orders received after the deadline date will be at the price indicated below in parentheses.

Onsite orders will be put on a waitlist and filled after the on-time orders have been completed.

If you require electrical service for charging/running personal devices, please order the 110V which will be sufficient. If you require additional power, please indicate below, and it will be quoted.

Electrical contractor is not responsible for any damage caused by fluctuating power, and you have no legal recourse if there is damage caused to your equipment by power surges, spikes, or dips (aka low power). So using a surge protector in your booth is an excellent idea, especially surge protectors that offer a warranty to replace ruined equipment. If you choose to bring your own surge protector, make sure it is UL rated and has three prongs. These work like a circuit breaker to divert the excess voltage and alleviate damage to equipment from power surges.

FOOD PREPARATION COSTS: We will submit the information below to the Convention Center for a detailed quote on food prep costs. Quote will be confirmed with you before we move forward with your request. Late and onsite orders are subject to additional charges and may not have the luxury of receiving a quote prior to services rendered.
