Job Description

1.0 Overall Purpose To provide administrative support so that Notre Dame Refugee Centre is able to operate efficiently and cost effectively and quality of service provision is ensured.

2.0 Accountability The postholder is accountable to the Director of the Centre. He/she will also work closely with the Café Co-ordinator and Notre Dame de France Buildings Manager.

3.0 Responsibilities

1. Liaising with the Director, carry out building, finance and IT administration to ensure the day to day running of the Centre.

2. Phone and email. Managing the Centre information phone line and email address and responding to general enquiries.

3. Petty cash. Maintaining systems, to include:  monthly spreadsheet records  paying out and logging client grants in liaison with Advice workers  managing on-going daily costs  overseeing payment of client travel money at the Drop-in Cafe

4. Supplies  managing the ordering of supplies (food and materials) on a regular basis for the Drop-in Cafe, ensuring the smooth running of operations in collaboration with the Café Coordinator  managing the ordering of stationery and office supplies  overseeing the collection of recycling .

5. Equipment and cleaning. Liaising with the Director and Building Manager :  to ensure that equipment is working adequately  to ensure that the offices and café are tidy and cleaned adequately

6. Data input and filing. Setting up and maintaining paper and electronic:  records of volunteer attendance  client records (including travel, food parcels and registration)  Advice service records (details of appointments and clients seen)  training and support on Advice Pro and other systems for staff and volunteers

7. Any other duties as allocated by Director. 4.0 Person Specification

ESSENTIAL

Experience  A minimum of 12 months experience of working in a busy office  Experience of handling petty cash in a busy office environment

Skills  Proven IT skills (Word, Excel, Outlook, MS Office, Internet)  Proven numeracy skills  Ability to retain focus in a very busy and demanding environment  Team working skills

5.0 Summary of terms and conditions

 Employer: Notre Dame Refugee Centre  Place of work: Notre Dame Refugee Centre, 16 Leicester Square, London, WC2H 7LE  Hours of work: This post is for 21 hours a week, Monday, Wednesday and Thursday, 10am- 5.30pm.  Salary: This post will be paid on an hourly rate. Current salary tbc.  Probationary Period: 3 months.
