TITLE: Staff Coordinator LAST REVISED: October 1, 2013 REPORTS TO: Director of Nursing METHOD OF PAY: Hourly

Purpose of Your Job Position:

The primary purpose of your job position is to obtain required information and staff the nursing department in an efficient manner. Perform secretarial duties, record keeping functions to the Director of Nursing in meeting the staffing needs of the nursing department in accordance with current applicable federal, state, and local standards, guidelines and regulations, and as directed by the Director of Nursing, to assure that proper staffing is maintained at all times. As Staff Coordinator, you are delegated the administrative authority, responsibility, and accountability necessary for carrying out your assigned duties.

Educational Requirements:

Must possess, as a minimum, a high school education or its equivalent.

Experience:

1. Must have experience in an employee staffing capacity. 2. Must have knowledge of staffing procedures. 3. Must have knowledge of office machines and equipment. 4. On-the-job training is provided in staffing procedures (specific to nursing service).

PHYSICAL REQUIREMENTS: (with or without the aid of mechanical devices)

1. Must be able to move intermittently throughout the workday. 2. Must be able to speak and write the English language in an understandable manner. 3. Must be able to cope with the mental and emotional stress of the position. 4. Must possess sight/hearing senses or use prosthetics that will enable these senses to function adequately so that the requirements of this position can be fully met. 5. Must function independently, have flexibility, personal integrity, and the ability to work effectively with residents, personnel, and support agencies. 6. Must meet the general health requirements set forth by the policies of this facility, which includes a medical and physical examination. 7. Must be able to relate to and work with ill, disabled, elderly, emotionally upset, and at times hostile people within the facility. 8. Must be able to operate office, business and accounting machines, data processors, work processors, etc. 9. May be necessary to assist in the evacuation of residents during emergency situations.

Administrative Functions:

1. Develop and maintain a good working rapport with inter-department personnel, as well as other departments within the facility, to assure that nursing services and activities can be properly maintained to meet the needs of the facility. 2. Interpret the department’s policies and procedures to personnel, residents, family members, and visitors. 3. Assist in maintaining a good public relations program that serves the best interest of the facility and community alike. 4. Coordinate nursing procedures with other departments as necessary. 5. Create and maintain an atmosphere of warmth, personal interest, and positive emphasis, as well as a calm environment throughout the facility. 6. Consult with department supervisors concerning their staffing needs, and other related areas, to assist in eliminating/correcting problem areas, and/or improvement of services. 7. Accumulate, maintain and provide statistical data as directed. 8. Assist in the establishment and maintenance of an adequate filing system. 9. Release information in accordance with established policies and procedures. 10. Represent the nursing department at and participate in meetings as required by the Director of Nursing. 11. Ensure nursing functions are carried out promptly for an efficient operation. 12. Make written and oral reports/recommendations to the Director of Nursing concerning staffing issues.

13. Assure that the office is maintained in a clean and safe manner and that necessary equipment and supplies are maintained to perform required duties. 14. Assist in standardizing the methods in which work will be accomplished. 15. Perform staffing requirements such as completing necessary forms, reports, etc., and submitting to the Director of Nursing as required. 16. Schedule appointments, process mail, and answer phones, etc. Keep the Director of Nursing advised of meetings, appointments, as necessary. 17. Maintain an accurate record of employees’ availability to work. 18. Maintain a current listing of all employees. Provide copies of such listing to administrative personnel, government agencies and personnel, etc. as necessary. 19. Assure that work/assignment areas are clean and records, files, etc., are properly stored before leaving such areas on breaks, end of work days, etc. 20. Assist in developing procedures to ensure records are properly completed before filing. 21. Collect, assemble, and check applications. 22. Assume the administrative authority, responsibility, and accountability of performing the assigned duties of the nursing office. 23. Other related duties and responsibilities that may become necessary or as directed by the Director of Nursing.

Committee Functions:

Serve on various committees of the facility as appointed by the Director of Nursing.

Staff Development:

1. Attend and participate in workshops, seminars, etc., to keep abreast of current changes related or to advance skills. 2. Attend and participate in annual OSHA and CDC in-service training programs for hazard communication, TB management, and blood borne pathogens standard.

Safety and Sanitation:

Report all unsafe/hazardous conditions, defective equipment, etc., to your supervisor immediately.

Equipment and Supply Functions:

Ensure supplies have been replenished in work areas as necessary.

Resident Rights:

1. Ensure that resident’s rights to fair and equitable treatment, self-determination, individuality, privacy, property and civil rights, including the right to wage complaints, are well established and maintained at all times within the administrative guidelines. 2. Maintain Confidentiality of all pertinent resident/employee information to assure rights are protected.

3. Knock before entering a resident’s room.

Working Conditions:

1. Works in office areas as well as throughout the facility and its premises. 2. Moves intermittently during working hours. 3. Is subject to frequent interruptions. 4. Is involved with residents, family members, personnel, visitors, government agencies/personnel, etc., under all conditions/circumstances. 5. Is subject to hostile and emotionally upset residents, family members, etc. 6. Works beyond normal working hours, on weekends and holidays, and on other shifts when necessary. 7. Is subject to callback during emergency conditions (e.g., severe weather, evacuation, post-disaster, etc.). 8. Is subject to frustrations in keeping up with administrative requirements. 9. Attends and participates in continuing educational programs. 10. Communicates with the medical staff, nursing personnel, and other department supervisors. 11. Is subject to injury from falls, burns from equipment, odors, etc., throughout the day, as well as to reactions from dust, disinfectants, tobacco smoke, and other air contaminants. 12. May be subject to the handling of an exposure to hazardous chemicals.

Specific Requirements:

1. Must be able to read, write, speak, and understand the English language. 2. Must possess the ability to make independent decisions when circumstances warrant such action. 3. Must possess the ability to deal tactfully with personnel, residents, family members, visitors, government agencies/personnel and the general public. 4. Knowledge is required of laws, regulation and guidelines pertaining to Long Term Care staffing procedures. 5. Must possess the ability to plan, organize, develop, implement, and interpret the programs, goals, objectives, policies and procedures, etc., that are necessary for providing proper staffing procedures and maintaining a sound operation. 6. Maintain the care and use of supplies, equipment, etc., and the appearance of the office by regular inspections and appropriate follow-up actions. 7. Must have patience, tact, cheerful disposition and enthusiasm, as well as be willing to handle residents, staff, based on whatever maturity level at which they are currently functioning. 8. Must possess the ability to seek out new methods and principles and be willing to incorporate them into existing practices. 9. Must be able to type a minimum of 40 words per minute and use a 10-key calculator. 10. Must possess a working knowledge of microcomputers, input/output data, etc. 11. Must not pose a direct threat to the health or safety of other individuals in the workplace.

I further understand that I may also be exposed to the Hepatitis B Virus and that the facility will make available to me, free of charge, the hepatitis B vaccination.

I understand that my employment is at-will, and thereby understand that my employment may be terminated at-will either by the facility or myself and that such termination can be made with or without notice.
