BID SPECIFICATION DAIRY CATTLE - ULTRASOUND PROCEDURES SERVICE ALL AMERICAN DAIRY SHOW September 18—21, 2017

SCOPE OF WORK: This work shall include all necessary labor, material, equipment as necessary and as outlined to successfully complete this project (Dairy Cattle Udder Ultrasounding) as outlined in this narrative as attached herto. The actual work dates shall be September 18, 19, 20 and 21, 2017.

PROJECT SPECIFICATIONS: The successfully vendor company shall provide the required equipment including: Ultrasound Machine, Lap Top Computers ((1) One for recording and (1) one for storing digital photographs and /or video of cattle), Digital Camera, Camcorder and VCR and necessary Surge Protectors.

The successful vendor company shall provide a competent, adequately trained ultrasonographer to scan the image of the cow’s udder and shall provide an assistant to record the images and/or video on the Computer and VCR Recorder.

The procedure of scanning the cow’s udder shall encompass a timeframe of approximately sixty (60) to ninety (90), 60-90 seconds.

The udder scanning procedure shall produce four (4) images saved per cow and possibly additional images being required depending upon the circumstances at the time of imaging. Photos in motion are needed. Recorded moving video images are also acceptable.

The successful vendor company shall direct the taking of the digital camera pictorial images and/or video of the animal being scanned along with the exhibitor. The successful vendor company shall expect/plan on an event day consisting of (6) six to (10) ten, 6-10 hours. The work requirement shall depend upon the number of classes and breeds exhibited each day. The successful vendor company shall expect/plan to expend an additional (3) three to (5) five, 3-5 hours each event day evening reviewing these images and/or video.

The successful vendor company shall expect/plan, depending upon the size of the show, to expend an additional twelve (12) hours reviewing images and video and preparing reports, as required by the governing board of the dairy cattle show. These reports, as required, shall be prepared at no additional cost to the Farm Show Commission.

The successful vendor company shall provide a competent, adequately trained computer person to perform computer work during and after the event.

SPECIAL NOTE: The Pennsylvania Farm Show Complex and Expo Center will provide, during the completion of this agreement: adequate space, adequate security personnel, (4) four to (6) six, 4-6 competent personnel to assist the dairy cattle movement, dairy cattle identification processes, photocopying of records, copy machine, etc. all to successfully complete this Ultrasound Procedure for Dairy Cattle at the All-American Dairy Show.

LAWS AND ORDINANCES: The work under this Contract shall be performed as an independent contractor and in accordance with the laws of the Commonwealth and local laws and ordinances that relate to the work and the protection of the public.

LICENSE AND INSURANCE: The successful vendor company shall supply to the Farm Show Commission a valid Certificate of Insurance in amounts acceptable to conduct business in the Commonwealth of Pennsylvania. In addition, the successful vendor company shall supply to the Pennsylvania Farm Show Complex proof of any/all licenses required to complete this project, if required by the Department of General Services.

RENEWALS: The contract shall be in effect from July 1, 2017 or (until a fully executed contract is in place) to June 30, 2017. At the conclusion of the aforementioned period and by mutual consent of both parties, the contract may be extended for three (3) additional renewal options upon the same terms and conditions as stated in the original contract. Renewal contract periods shall begin and end on July 1 and June 30 repeatedly of the renewal option year.
