SWIM WAIKATO BOARD Inc. MINUTES OF MEETING Thursday 8 th August 2011 held at Hamilton Boys High – 6.15pm

PRESENT: Mike Holcroft (Chairman), Tim Rogers (President), Jan Missen (Treasurer), Joy Thompson, Jenny Lornie and Kate Thorn (Administrator)

Minutes: 14th July 2011 – Moved: Missen / Rogers as a true and correct record. Cd.

Matters Arising from the Minutes: 1. Administrator to urgently contact Steve Threadgold regarding an outstanding payment due by SW to him. 2. Moved Lornie / Holcroft that a payment be made to Steve Threadgold and Stanton White for their assistance with Come Train with a Champion together with a letter apologising for the delay. Cd. 3. Waikato Winter Meet – Jenny advised that people stepped up to fill vacant positions on pooldeck and the meet went very well.

Reports:

Technical: Moved Rogers / Lornie the ratification of Technical Exams as submitted. Cd. Thankyou to be sent to Carolyn Edwards for her assistance as a member of the Technical Panel. Carolyn is moving to Pukekohe to live.

Financial: Jan spoke to her Financial Report.

Jan presented a breakdown of the Waikato Winter Meet and Grants received during the year. Recommended that SW look at using the profit of the Winter Meet to possibly offset lane hireage for Waikato meets which could possibly reduce the cost of entries for swimmers. Competitions will look at this recommendation and report back to Board.

Booking needs to be made for the 2012 Winter Meet. Competitions to advise actual dates.

Moved Missen / Mike the ratification of and payment of accounts as presented. Cd.

SportsForce Moved Thompson / Rogers the written report . Cd. Joy advised that the SportsForce clinics and squad training days were ongoing and that Thames swimmers were receiving discounted Bus Fares as an incentive to be in training.

Sponsorship

Administrator advised that Chris – SwimT3 – would be submitting a Sponsorship Offer to Swimming Waikato along the lines of: Cash $2,000.00, Product or Vouchers to the value of $2,000.00 ($1,500.00 has already been used for Winter Meet), looking at technical official shirts, caps etc. at a subsidised cost. Said he was also looking at whether he could assist with our web page. Offer in writing still to come. Development Moved Missen / Lornie that Matt Stanley be awarded a Pinnacle Scholarship of $5,000.00 - $2,500.00 plus letter of congratulations be sent immediately and $2,500.00 paid in January 2012.

Web Page to be updated with swimmers results and congratulations.

Competitions: 1. Contact Kent Stead at SNZ to see whether he has the Contract for the Secondary School Meet. 2. Panel organising a DJ, Choir and Announcer for the Sec. School Meet. 3. Meeting with Dave Beattie (Meet Director) to discuss final details for Sec. School Meet.

Moved Lornie / Thompson the verbal Competitions report.

Recorder 1. Administrator to contact Kent Stead (SNZ) to request that Relay names be omitted from all Psych Sheets and Meet Programmes to avoid poolside concerns about changes being made in the relay team makeup finally entered.

2. Division II report – speak with Team Manager about the report requesting that changes be made. Accommodation of $392.50 and $50.00 Travel payments be made.

3. NZ Short Course Report. Sheryl Dimmock stepped forward to take the Team Manager’s role on for SW. Accommodation account approved. Awaiting Airfare Ticket for reimbursement.

Central Swimming: Tim reported that he and Shona Hutt had met with Jason Rogers and Matt Horne to discuss the costs of pool hireage for Central Swimming Champs. Awaiting response. Waterworld appears to be the most expensive hireage in New Zealand. Tim spoke with SNZ about their pool hireage costs in other areas. There may be some funding available through the City Council also.

Donna Bouzaid spoke with Central Swimming area coaches at the NZ Short Course meet regarding the venue for the Central Swimming Championships because of cost. Donna advised that Coaches wished the meet to stay at Waterworld, Hamilton as it was the best venue available.

Central Swimming is still seeking a new RDC.

President’s Meeting – Wellington 14/8/11 Tim attended this meeting in Wellington on behalf of Waikato. The meeting was to have been an Information Meeting on Vanguard but because of a call from 8 Regions for the resignation of the SNZ Directors the Vanguard presentation was replaced with a Regional Meeting run by 2 Sparc appointed people. No SNZ personnel were allowed to attend. Tim reported that each region was given an opportunity to voice their point of view. Discussion went around and around and he felt that no resolution was achieved. SPARC representatives were surprised that the current President – Murray Coulter – had been a Director for 9 years.

Waikato should look at a nomination for the SNZ Board. Humphrey Pullon – SNZ Director – will give a brief address on Vanguard and SNZ situation at the beginning of Waikato’s AGM.

General Business: 1. Remit to SNZ AGM approved. 2. Item from Fairfield Swimming Club for Waikato AGM. Administrator to discuss the matter with Sandie Robinson for clarification as regards the Constitution.

3. Moved Missen 2nd Thompson that Swimming Waikato apply to WEL Energy for a grant of $20,000.00 towards Administrator’s Wages. Cd.

NZ Secondary School Championships Recreational swimmers are only allowed to swim at this meet alongside Swimmers that are registered with NZ swimming. No other meets.

Hamilton Winter Meet 22-24 July The technical panel are disappointed that Swim Waikato are allowing this meet to go ahead. We have told them that a lot of the key Waikato Officials are unavailable for this meet. Yvonne will contact Kate Thorn to discuss this. Yvonne has been unable to contact Meet Director Jenny Lornie

NZ Paralympics Champs Yvonne has met with John Parkar to discuss this swim meet. It is on 4-6 November. Yvonne to email details to Carolyn.

Squads / Clinics / Camps 1) The Piako / Tokoroa SportsForce Development Squad held in Matamata with Graeme Laing as lead coach last training session was held on 10th July. Their next scheduled session is on Sunday 14th August and the final session scheduled 11th September 2) The King Country SportsForce Development squad held in the Taumaranui pool with Graeme Freebairn as lead coach last training session was held on 10th July. Their next scheduled training session on Sunday 14th August and the final one scheduled on 11th September. 3) The Hauraki / Peninsula Sportsforce Development squad held in Thames with Sally Howe as lead coach last training session was 31st July. These are going well – Chris did not attend this one. Their next training session on Sunday August 14th and the final session scheduled for 11th September. 4) The SportsForce Country squad held in Hamilton with coaches Richard Sutton and Lauren Taylor has their last training session 31st July. These are going well. Chris did not attend this one. Their next scheduled sessions Sundays 21st August and 25th September 5) Continuing on from last report Chris has kept working on the October SportsForce Camp in Rotorua and further registrations are being received. Currently 25 swimmers are registered but registrations are slow this year. 6) Planning is progressing for the SportsForce Technique Clinics to be held throughout the greater Waikato region – venues and dates still to be advised. a. October’s topic to be Starts and Turns b. November’s topic to be Butterfly c. December’s topic to be Backstroke d. January’s topic to be Breaststroke e. February’s topic to be Freestlye f. March’s topic to be Individual Medley Swim Clubs 1) Chris visited the Marlin Swimming club 13th July. The club is really ‘buzzing’ to quote Chris 2) Chris attended Div 2 in Rotorua 20th to 23rd July and was proud of the Waikato swimmers Schools 1) Chris attended a meeting at Raglan Area School on 29th July for further discussions around the club idea. To quote Chris – ‘things are heading in the right direction and is really exciting’ 2) Chris attended a further meeting at Raglan Area School on 5th August The meeting was very positive and they continue to move forward. 3) The Te Rapa School Cub idea is still being worked on and there will be another meeting on the 9th August. Sport Waikato / SportsForce 1) Chris attended the SportsForce Roadshow 2nd to 3rd August. Delivered water Safety to four small schools in Taumaranui. One of these schools had only 5 pupils. The programme was well received 2) Chris also worked with St Mary’s from Otorohanga which was equally successful Swimming New Zealand / Water Safety New Zealand 1) Chris would like to make the correction to a previous report which said that there were no Waikato Coaches attending the recent SCAT conference. Chris is now aware that George form St Peters was attending but as Chris had not met him before she didn’t know who he was. Chris apologises for any confusion this may have caused 1) Chris attended the SNZ Forum 28th July held in Hamilton 2) Reminder that the next ASTA course for Hamilton is 13th August with others scheduled in Hamilton for 9th October and 2nd December and 15th April 2012 (from the SNZ web page) Other 1) The Aquatic Holiday programme that was held in Tokoroa on19th July went extremely well. There was 20 swimmers attending on the day 2) The Taumaranui Aquatic Holiday Programme held 27th July was a success with 18 swimmers attending with the aquatic team (Chris, Wendy and Sarah). The format was the same as Tokoroa and included a 200m swim challenge, Sync swimming, snorkeling and flipperball. 3) Chris attended a meeting in Taumaranui on 4th August to further work on the ‘Great Community Dinner’ idea 4) Chris is gathering together information for the next issue of ‘Coaches Catch Up’ newsletter due to be distributed early September

RECORDERS REPORT FOR AUGUST 2011 MEETING

1. Numerous new SC Age Group records following the SNZ SC Champs. Of special note is that Carter Edgecombe's 400m free time appears to be new national age group record as do Sam Perry's times in both the 50m free and 100m individual medley. (Kate I Have checked the SNZ website but could you please double-check this too?) These are fantastic efforts and need to be acknowledged on our website etc. 2. New LC Age Group record for Carter set at our recent Winter Meet. 3. New SC Open records that were set at the SNZ SC Champs.

Inter-Regional Challenge Meet The team is coming together. As at today 22 swimmers are confirmed and I'm just waiting on responses from 2 more which will then hopefully see the full team confirmed.Swimmers that are confirmed so far are:

Ace - Kelly Ballard, Emma Ballard, Zoe White, Summer Kendall, Kainoa Hemi and Leyton Bradford. Thames - Ciara Duncan, Cole McDowell, Joshua McCormack and Wyatt McCollum. Matamata - Jamie Leach and Matt Hyde. Hillcrest - James Litchfield. St Peter's - Ellie Britton. St Paul's - Emmanuel Cherrington and Jimmy Christey. Te Awamutu - Chelsea Ouwehand, Vanessa Ouwehand and Max Stubbs. Fairfield - Anahera Nin, Mitchell Scales and Carter Edgecombe.

A number of swimmers originally selected plus some of the reserves identified have declared themselves unavailable. Reasons being competing at meets the weekend prior (SNZ Secondary School Champs) and weekend after (our own Short Course Champs) this meet and / or other commitments. All in all though I think we've got quite a good team assembled and hopefully they will do well up in Auckland.

My next steps are to send the event and relay entries to Swimming Auckland and to sort out a Team Manager(s). I have had one verbal offer from one of the swimmers' parents so I don't think this should be an issue. As I understand it no coach has applied for the coaching role at this stage - this meet being on the same weekend as the Matamata Junior Meet is perhaps impacting on their availability.

Relay Teams at National Meets This is an ongoing issue as the recent emails received following Div 2 and the SC Champs demonstrate. Whilst we have problems with the appointment of a relay coach(s) I recommend that Swimming Waikato suspend selecting relay teams. I, for one, certainly aren't prepared to spend the time and effort that's involved with this process. This doesn't however address the key problem which is the struggles that we are having in getting people willing to be the Regional Team Manager at these meets.
