Applied Linguistics and Technology (ALT) PhD Student Annual Review Procedures

Step 1: In early April of each year (specific date to be determined each year and posted on our website), all PhD students submit a completed AR form and current CV electronically to the ALT Annual Review Committee (email to the ALT AR Committee chair). The AR form reports on the student’s progress in terms of meeting the yearly benchmarks, completed coursework and grades, plans/goals for the upcoming year, any concerns, and professional accomplishments (e.g., awards, professional service, presentations, manuscripts, grants, etc.).

Step 2: The ALT AR Committee meets to review each student’s materials and assigns one of three performance review ratings listed below:

a. Performance is Satisfactory, with no concerns* b. Performance is Satisfactory, with concerns c. Performance is Unsatisfactory, with recommendations for improvement

*Examples of Performance Review Rating ‘concerns' - More than one class below grade B - Prolonged absence - Late preliminary exam - Inadequate teaching performance

Step 3: The ALT AR Committee makes all review materials available to the Applied Linguistics graduate faculty, who meet to discuss all student annual reviews and suggest modifications to the committee’s annual review of each student. The materials made available to all faculty are the following:

a. AR form and CV submitted by the student b. Performance review rating c. 1-2 page report detailing the rating and providing comments about the student’s coursework, benchmarks, teaching, research (presentaions and publications), and professional service

Step 4: Within one week of the Applied Linguistics graduate faculty meeting and before the end of spring semester, the ALT AR Committee provides each student, the student’s program adviser/major professor, and the DOGE with the final annual review report for each student consisting of the performance review rating and a report (both submitted electronically to the Graduate Program Staff Assistant (via email or upload to CyBox). Students may request a meeting with their program adviser/major professor or an ALT AR Committee member to discuss the review.

Step 5: The ALT AR Committee reports to the DOGE by June 15 annually the following information. The Graduate Program Staff Assistant reports this information to the Graduate College:

1) The website location of the ALT AR timeline 2) The number of PhD students reviewed Benchmark Summary for ALT PhD Annual Reviews (by academic year)

The listed items are those that the ALT Annual Review Committee will examine in making its recommendations.

NOTE: Each written section below should be no more than two paragraphs.
