Examinations Officer Required from April 2011 (with the possibility of part-time work before this time)

St Mary’s is an independent boarding and day school of approximately 320 girls aged 11-18, with a very strong academic reputation. The Headmistress is in membership of the Girls’ Schools’ Association. Almost all of the girls go on to university, several each year to Oxbridge, to read a wide variety of subjects, and results in public examinations are consistently excellent.

Extra-curricular activities and opportunities beyond the classroom are a vital and integral part of life for girls at St Mary’s, who are encouraged to strive for excellence in a wide range of spheres. The Examinations Officer is responsible for the administration, organisation and smooth running of public examinations. However, this role also requires the Examinations Officer to work closely with anyone administering any other type of internal or external examinations in order to avoid clashes and to maintain the effective running of St Mary’s examination system. The Examinations Officer reports directly to the Director of Studies, and is responsible to the Headmistress for all aspects of his/her work.

Duties and responsibilities

In preparation for the public examinations sessions:

. To liaise with the Director of Studies and Heads of Department to ensure that the correct entries are made for all GCSE, AS and A2 Level, checking entries are correct and agreed by both students and staff

. To draw up examination timetables as soon as is practicable in order to determine issues related to invigilation, study leave and general centre planning

. To co-ordinate and manage all the external invigilators.

. To check and ensure the security of examination papers and related materials from receipt until the examination

. To deal with special considerations and any other requirements related to the smooth running of the examination system

. To liaise with the Director of Studies on invigilation and any other issues relating to the smooth running of the public examination in the centre

. To issue students with their entry slips, making any necessary corrections

. To issue rules of conduct to all students and staff

. To book, prepare, organise and supervise the examinations in accordance with the regulations laid down by all the examination boards (including on-line examinations)

. To supply all the necessary stationery and materials related to the smooth running of the examination system

. To arrange for the collection and dispatch of Coursework, Oral and Practical examinations

. To arrange for the despatch of completed examination scripts to addresses indicated by the examination board immediately following each sitting

Administration to be carried out when public examination results are published:

. To be available during the two weeks in August when GCSE, AS and A2 Level results are published, distributing documentation to staff and dealing with queries, where appropriate, from students, staff and parents. . To send for re-marks, script requests, etc, disseminate the results of these to SMT, Heads of Department, and to inform parents

. To ensure all necessary certification is dealt within the timescales set by the boards and implemented by the centre

. To produce statistical data related to all entries and the analysis of results in the format agreed with the Director of Studies, and to update these regularly in the light of re-marks

. To liaise with the Director of Studies and Director of Higher Education and Futures in regard to Sixth Form results, cashing in and retakes

. To liaise with the Director of Studies on the provision of statistics for the Headmistress, Governors, the ISC and DCSF

. To check all examination fees and charges from each examination board

. To prepare and check student examination fees for each examination period

. To keep a record and inform the Bursary of external invigilators’ hours

. To receive, check and hand over to the Director of Studies all certificates

Throughout the year:

. To ensure that the Director of Studies, Deputy Head, Senior Master and Heads of Department are fully updated on all dates, changes in examination procedures, entries and results

. To keep up to date with examination requirements, including the development of appropriate computer systems that meet the needs of the public examination system

. To use and keep fully trained for the use of St Mary’s MIS (PASS) to make examination entries and record results

. To attend conferences and meetings related to the position of Examinations Officer as may be required

Standardised Test Data

. To send all necessary data relating to entries and results to the CEM centre at Durham University

. To be responsible for the setting up and administering of the MidYis, Yellis and Alis tests at the beginning of each Autumn Term Skills required

Further Details

This post is for 40 hours per week, 35 weeks per year in term time only with time off in lieu in term time as negotiated with the Director of Studies to compensate for working during the holidays. The salary is paid at point S25 on St Mary’s Pay Scale, currently £27,423, which equates to £21,094 per annum. Five weeks’ paid holiday are offered, to be taken out of term time only.

St Mary’s staff are entitled to a staff discount on fees of daughters educated at the school and, for a nominal fee, to membership of the St Mary’s Sports Centre.
