Auslan is available through VITS and Vicdeaf. (Sign language is for interpreting only not translation).

The Working Group recommends in the first instance that centres contact VITS. However, VITS only have a small team of qualified Auslan interpreters, which makes their availability limited.

Before setting the appointment with your client, best practise is to check with VITS booking office each time you require an Auslan interpreter. The other alternative service is Vicdeaf listed below.

Auslan interpreters through VITS: Bookings are made in the same manner as booking languages – see VITS Chapter 3 of your kit for forms and contact details.

Vicdeaf

VLA has agreed to pay Vicdeaf invoices from the funding allocation. Vicdeaf will forward invoices to the VLA CLC Program Advisor. VLA will then email these totals to the Working Group, who will maintain their internal running sheet. (Vicdeaf also provide online bookings via their website see next page for details).

Each Centre that uses Vicdeaf is required to:

 Record the booking and note the charge on your Centre’s internal booking sheet.

 Forward Vicdeaf invoice sent to your office to Mark Courtney VLA CLC Funding Program Manager as soon as possible.

 Also forward, a copy to Suzy Fox St. Kilda CLC so that these costs are then recorded against your service on the monthly funding statements sent to your centre representative.

Please note that if you exceed your allocation YOUR service will then be required to pay for this service.

CONTACT BY HEARING IMPAIRED CLIENTS:

If you do not have a TTY facility then hearing-impaired clients are able to contact you through Telstra. The Telstra operator will relay the callers typed message and then type your response back to the caller.

WHAT IS TTY:

To provide a TTY service, you need a separate phone line, a dedicated phone and a machine ‘printacall’, like a small typewriter, except it also has a small text viewer, which allows you to read the conversation and a roll of paper about 5cms wide, which provides you with a transcribed copy of the entire conversation.

How much does it cost to book an interpreter? Our costs are outlined in our service information, which we fax, or email with the booking form.

What happens if I need to cancel my booking? You need to give us 48 hours notice of a cancellation to avoid being charged and this policy is outlined in the service information.

I am Deaf and want to book an interpreter, is it expensive? We offer a reduced rate for Deaf people and this is outlined in the service information.

How much notice do I need to give to ensure an interpreter is available? We can't guarantee the availability of interpreters, but if you give us two weeks notice or more it is more likely an interpreter will be available.

Why can't you guarantee an interpreter? There is a shortage of interpreters in Victoria so we are not able to meet demand. Also, if an interpreter calls in sick we have to cancel appointments at the last minute.

Why do I need to book two interpreters? We abide by strict Occupational Health and Safety guidelines which have been drafted to reduce and prevent injuries for interpreters.

When do I need to book two interpreters? The number of interpreters required to manage an assignment depends on the volume and content of the information being presented.

What is a relay interpreter? A Relay interpreter is a deaf person who relays information from Auslan to a Deaf blind person or a Deaf person with additional language difficulties.

Web based booking system

As of 16th January 2006, services can now book Vicdeaf Auslan Interpreters via their website. Pages to follow are taken from the Vicdeaf website.

Go to www.vicdeaf.com.au and follow the links.

You will be prompted to create your own unique and secure login name and password. Instructions on how to use the new system are outlined via the Vicdeaf website. All type of bookings can be made online (this includes multiple bookings) via the web. The following pages are from the Vicdeaf website.

Step by Step Instructions for Organisations

1. Initial Screen

If you have previously registered, use your user name and password to enter the system. Continue from section 3 below. If you have forgotten or lost your password please contact VAIS. If you are new to this service please click on Register, and follow steps in section 2 below.

2. Registration Procedure

Please complete as fully as possible the details in the screen shown below. Choose your own Login (name) and Password. Click on save when finished.

Click on the login link to start using the system with your new user name and password.

3. After a successful login the following screen is displayed:

This form is for changes to your registration details. You are also able to add new contacts in your organisation who may place bookings. These contacts can also be added when entering a new booking.

You may also change your password here. Please keep these details up to date as they are used when making a booking.

Contacts in your organisation are managed by clicking contacts. Any existing contacts will be listed with an option to edit their details.

If you have numerous contacts you can search by first name, surname or combination of both. After entering a name or part of a name, click on search.

Information recorded here is used when a contact is selected when placing a new booking.

5. New Bookings

The following two screens are used for placing a new booking. The layout is similar to the paper-based booking form that is faxed to VAIS.

A new booking can only be placed once you verify that you have agreed to the terms and conditions. You may read the terms and conditions by clicking on one of the two links shown. To proceed you must tick the acceptance box by clicking in it, and then click on Submit.

You may select from, or add contacts in, your organisation by clicking on the magnifying glass to the right of the “contact name for person at assignment”. The data for state and nature of appointment are selected form a drop down list.

6. All Bookings

This screen list all bookings placed by your organisation. You find data in any column using this facility.

To view a booking double click on the Job Number, this is the first item in each line.
