WAREHOUSE & DISTRIBUTION DEPARTMENT

The Warehouse and Distribution Department is responsible for the receipt, sampling, storage and picking of Raw Materials and Packaging for the Manufacturing and Filling & Packing Departments, the receipt and processing of non-MRP items and the final handling of any waste materials for incineration or disposal.

It is also responsible for the receipt; storage, picking and despatch of finished products for the UK domestic and export markets. The issue and receipt of work in progress and the control of materials stored off-site.

The products can be either controlled or non-controlled drugs.

Reporting directly to the Warehouse Controller the Department has three Shift Team Leaders working double-day, and permanent night shifts 6am - 14.00pm Monday – Thursday 6am – 12.45pm Friday, 13.45pm – 21.45pm Monday to Thursday, Friday 12.30pm – 19.15pm Friday and 21.00pm – 07.00am.

A. BROAD PURPOSE OF JOB:

To lead the Nightshift team ensuring that:

 All tasks required of the team are carried out effectively and efficiently, and that the agreed levels of service are provided to internal and external customers.

 Good Manufacturing Practice (GMP), Good Distribution Practice (GDP), Health and Safety policies, statutory regulations and security procedures are observed at all times within the team.  The performance of all team members is monitored, issues identified and dealt with promptly in accordance with the Company’s agreed procedures.

To support the Warehouse Controller in ensuring that:

 All-individual team members are developed, coached and trained to their full potential, to improve individual performance, team and departmental flexibility.

 Best practice within the Outbound Logistics team is promoted and developed in support of overall departmental objectives.

B: PART TO PLAY

PERSONNEL and TRAINING

 To ensure that the welfare, performance and development of team members is monitored, and that training is carried out to develop members skills to improve their performance and flexibility.

PROCESS

 To manage the team's resources on a shift basis in relation to workload, holidays, sickness, and customer priorities ensuring that the workload placed on the team is met and storage space is effectively utilised.

 To work effectively with the Warehouse Controller to ensure that workload planning and human resources are used most effectively within the team and across the Warehouse and Distribution Department.

 To capture and record information in line with stated Warehouse Metrics and Key Performance Indicators to allow the effective deployment of team resources.

 To communicate and liase with other company Departments to ensure that their requirements are met as effectively as possible.

 To assemble, pack and despatch all UK customers' orders for controlled drugs in accordance with the agreed schedules.

 To assemble, pack and despatch all export orders (including non-controlled drugs) in accordance with Mundipharma Medical Company (MMCL) requirements, ensuring that all the necessary documentation and computer transactions are completed in an accurate and timely manner.

 To ensure that the regular reconciliation of controlled drug waste is carried out; ensuring it is accurately documented and disposed of in order to comply with the Hazardous Waste Regulations and Home Office requirements.  To ensure that all finished goods received into the warehouse are checked, located and recorded onto the computerised inventory control system and the picking store replenished on a FIFO basis.

 To ensure that all UK non-controlled drug orders are assembled, packed and combined with controlled drug orders as necessary.

 To ensure that the orders are despatched according to the agreed schedules, carrier documentation raised, and vehicles loaded correctly.

 To locate and store despatch materials and engineering consumables ensuring that picking locations are replenished regularly so that operations are not delayed.

 To ensure that packaging materials, empty pallets and pallet boxes are available for all Departments.

 To ensure that returned or recalled finished products are recorded, and dealt with in accordance with Company procedures

 In conjunction with the Warehouse Controller identify and where appropriate, implement and monitor, process improvements designed to improve the effectiveness of the section and the department.

 To carry out any other reasonable tasks as requested by the Company to ensure the effective operation of the team and the Department.

INVENTORY CONTROL

 To ensure that computer stock records are maintained, and that all transactions are carried out by trained team members in an accurate and timely manner.

 To ensure that all controlled drugs and finished goods received into the warehouse are located, checked and recorded onto the computerised inventory control system in an accurate and timely manner.

 To ensure that cycle counting of controlled drugs and finished goods inventory is carried out, and any discrepancies investigated and corrected in accordance with Company procedures.

GOOD MANUFACTURING PRACTICE AND GOOD DISTRIBUTION PRACTICE

 To ensure that GMP, GDP and general routine housekeeping standards are maintained, and documented procedures are followed throughout all the sections' operations.

 To ensure that Standard Operating Procedures exist for operational processes, and if required revised or new Standard Operating Procedures are written to reflect new or significantly changed work processes. HEALTH & SAFETY

 To ensure that Company Health and Safety standards are maintained and followed throughout all the section's operations.

 To ensure that work processes are monitored with the aim of reducing risks, and preventing accidents, incidents and cases of ill health.

SECURITY

 To ensure that Company security policies are maintained and followed throughout all the section's operations.
