JOB TITLE: Clinical Specialist

DEPARTMENT: College of Health Sciences and Education- Nursing

REPORTS TO: Assistant Dean, College of Health Sciences and Education

FLSA STATUS: Non-Exempt, DIRECTLY SUPERVISES: None Full-time, 12 Months

PRIMARY PURPOSE OF THIS JOB: The Clinical Specialist will coordinate all clinical placement activities to include facility placements, student clearances, and course evaluations for the clinical component of the Undergraduate and Graduate Nursing Programs in conjunction with the Assistant Dean, CHSE. This position will also serve as a liaison between the University and clinical affiliates.

ESSENTIAL FUNCTIONS: (other duties may be assigned) 1. Facilitate and monitor MSN, DNP, RN to BSN Expressway, Part-Time Evening, and Traditional Nursing student compliance with timely submission of clinical clearances. Collaborate with students to submit results to clinical sites. Update Typhon with preceptor’s information for Graduate and RN to BSN Expressway Programs. 2. Perform contract reviews of MSN, DNP, RN to BSN Expressway, Part-Time Evening, and Traditional Nursing clinical site files to verify current status. Renew agreements as necessary. 3. Coordinate clinical placement process for all nursing students and ensure student compliance with timely submission of relevant forms and clearance activities by tracking all forms and following up with delinquent students. Train students on use of online HIPAA management system. 4. Send out Preceptor packets each semester with information and required documentation prior to students’ rotation. Track and report to Program Directors preceptors who are not in compliance. 5. Organize and administer annual clinical benefits process with preceptors who have taken students within the previous year. 6. Administer the databases including but not limited to, Typhon, My Record Tracker, My E-Screen, Microsoft Access, EPPICC Nurse and create reports to provide information to Program Directors and Chairs as required. 7. Initiate and Process all Nursing Department course evaluations, exit surveys, alumni surveys and faculty satisfaction surveys. 8. Maintain yearly student fees spreadsheets. Prepare spreadsheets for all clinicals. 9. Organize special events for Graduate and Undergraduate Nursing Programs, including MSN Pinning Luncheon, DNP Awards Dinner, and the PTENP Pinning. Facilitate yearly white coat ceremony. Coordinate bi-annual Nursing Advisory Board meetings. 10. Update and maintain the Website for the Nursing Departments. 11. Provide clerical support for accreditation and PA State Board of Nursing reports. 12. Participate in appropriate department meetings.

RELATED DUTIES:  Purge files.  Maintain appointment calendar for Chair of the Department.  Uphold and promote the Mission and Philosophy of the University and the Sisters of Mercy.

REQUIREMENTS: (Equivalent combinations of education, licenses, certifications and/or experience may be considered) Education  Associate’s Degree in business or general studies preferred.

Experience  Experience in roles requiring coordination of meetings, events, appointments or providing administrative support to multiple supervisors using basic spreadsheet and database software.  Experience with clinical/fieldwork placements as well as medical terminology is preferred.  Experience with use of clinical placement software including Typhon, My E-Screen, My Record Tracker, Survey Monkey, Adobe file converter, Doodle, MS Word, Excel, and MS Access is essential.

Licenses/Certifications  None required.

Work-Related Knowledge  Knowledge of CCNE STANDARDS, HIPAA, FERPA, and State Board Requirements.
