Position: Full-Charge Bookkeeper with Payroll Reports to: Library Director & Library Board Treasurer

Position Summary: Under the supervision of the Library Director, the bookkeeper is responsible for recording and maintaining the daily financial activity of the library, payroll, tax records, and financial reports needed by the Board of Directors.

General Responsibilities:  Cash Management o Maintain appropriate cash records and controls as recommended by library’s Board of Directors and/or auditing firm  Accounts Receivable o Reconcile the deposits (cash, credit cards, refunds and EFTs) o Reconcile accounts to bank statements  Accounts Payable o Ensure propriety of all invoices and payment requests (on-going expenses for the library and the rentals, book, magazines and videos expenses, programming expenses and debit card expenses) o Verify approvals, check accounting and schedule payment o Prepare checks in a timely manner, prepare attachments and schedules, give checks to Board for signing.  Payroll o Record and maintain appropriate records for salaries and wages, tax withholdings (W-4), local taxing authorities, and benefits o Verify bi-weekly time cards and prepare paychecks o Ensure timely deposit of payroll taxes, prepare all payroll tax forms and remittances o Prepare/distribute annual payroll forms (W-2) for employees and government agencies by January 31 o Prepare and mail quarterly Unemployment Compensation forms o Payment of quarterly sales tax on photo sales  Other o Prepare monthly reports for Board of Directors meeting as requested, i.e. interest earned and monthly account balances. o Assist with annual audit; ensure appropriate records and reports are available; be available on-site when annual audit is conducted o Prepare Federal Tax Return, Form 990 by November 15 o Assist Library Director in writing grant proposals o Other duties as assigned by Library Director or Library Board Treasurer

Qualifications:  Previous experience in bookkeeping in an employment setting required, experience in a nonprofit setting desired.  Requires good working knowledge of banking and cash management, payroll administration, and tax reporting.  Requires good working knowledge of Quickbooks. Experience in Windows 7, Microsoft Office (especially Word and Excel), and retrieving/filing tax forms and other financial forms electronically via the Internet preferred.  Requires good organizational skills and ability to prioritize workload effectively.  Requires excellent communication/interpersonal skills (listening, speaking, and writing).  Requires excellent fine motor coordination, good visual skills, and ability to sit, stand, bend, reach, walk, lift up to 30lbs.  Criminal history and sexual offenders’ history clearances required.

Schedule & Benefits  Part-time, one day per week, 3-5 hours per week. No benefits.  Pay wage starts at $12.00  Must be able to start immediately.  Deadline for application: Monday, January 25, 2016.
