Purpose of the role:

To undertake the administration of schools liaison (primary and secondary) for bespoke international teacher education courses run by the University of Brighton Language Institute (UBLI) in the School of Humanities. To maintain contact with schools regarding school experience and day placements/visits and to support the UBLI management (Director and School Admin Manager) in overseeing activities to support incentivising schools to a student visit and/or placement scheme.

Line management responsibility for: Not applicable.

Main areas of responsibility:

 To provide full administrative and secretarial support for bespoke teacher education partnership activities, including correspondence and reports; preparing schedules, documentation and other materials as appropriate; ensuring that records are kept of all visits and placements offered and their subsequent confirmation; servicing meetings as necessary etc.

 To act as a first and major point of contact for schools, university staff (UBLI academic and admin team) and students with reference to schools liaison, providing initial guidance and advice on the experience of placements/visits and receiving and pursuing required documentation and reports from tutors, students and schools as necessary.

 To maintain and develop the School’s link with primary and secondary schools as appropriate, negotiating with schools on routine matters such as schedules for

visits/placements and referring schools to the UBLI academic and admin team as appropriate.

 To administer the visits/placements of students in schools to fulfil the requirements of the bespoke course contract, in liaison with UBLI academic and admin staff.

 To gather, evaluate and collate information required for the production of an annual report on schools liaison and other monitoring and evaluation activities, and to draft these reports.

 To arrange and administer training events, which include sourcing and making arrangements with external venues, liaising with schools, and arranging for payments as appropriate.

 To provide regular financial information, liaising with the School Admin Manager drawing attention to any irregularities.

 To undertake general administrative tasks for the Head of School and School Administration Manager, as required. This might include dealing with sensitive student information and student related correspondence.

 To engage in and undertake other duties within the wider School administrative team under the leadership of the School Administration Manager and to deliver all duties in a professional manner.  To compile data and information in relation to quality assurance, PSRB requirements, strategic planning and budgeting processes. This will include for example the collation of various course statistics and student number monitoring.

 Any appointment is generally made at the bottom of the salary range for the grade dependent upon experience and previous salary.  This role is for 15 hours per week and is fixed term for 12 months.  Annual leave entitlements are shown in the table below and increase after 5 years’ service. In addition, to the eight Bank Holidays, there are university discretionary days between Christmas and New Year. All leave, including bank holidays and discretionary days, are pro-rated for part time employees.
