SOFTWARE INSTALLATION

Background

Technology Services’ objective is to enable employees to perform their tasks with technology that is in good operating condition while protecting the Division Information Resources from unnecessary risk. Consequently, it is important to address all issues relevant to installation and deployment on the Division's computer systems.

With the increased threats of spyware and viruses due to increased Internet use, this Administrative Procedure is important for establishing a set of protocols as to how software installation is to be delivered to better enable Technology Services to achieve its objective of delivering stable technology solutions while securing and protecting the Division Information Resources.

Definitions

Client: A client is an application or operating system on a device that accesses a (remote) service on another computer system known as a server by way of a network.

Software: Computer software is a general term used to describe a collection of computer programs, procedures and documentation that perform some tasks on a computer system. The term includes such as word processors which perform productive tasks for users, such as operating systems, which interface with hardware to provide the necessary services for application software. Thin Client Application: A client computer or client software in client-server architecture networks which depends primarily on the central server for processing activities, and mainly focuses on conveying input and output between the user and the remote server.

Procedures 1. Installation and Support of Division Software 1.1 Technology Services is responsible for installing and supporting all software on Division owned computing devices. 1.1.1 Office desktop computers 1.1.2 Office laptop or tablet computers 1.1.3 Instructional computers 1.1.4 Instructional laptop or tablet computers 1.1.5 Home computers that are provided and owned by the Division 1.2 Technology Services, in coordination with all other departments, has decided upon the following software standards:

1.3.1 An IT-created “image” or OEM installation on the hardware 1.3.2 An installation procedure by Technology Services that provides for the following: 1.3.2.1 Installation options 1.3.2.2 Upgrade considerations (if applicable) 1.3.2.3 Data conversion (if applicable) 1.3.3 A shortcut to a network application (not truly an installation) 1.3.4 An automated installation through an IT-developed solution that may be used in a rapid-deployment scenario or silent-install situation 1.3.5 A terminal application, Citrix application, or other thin-client of application accessible via the Division intranet page 1.4 Software cannot be present on the Division's computers in the following scenarios: 1.4.1 An installation not by a procedure described above 1.4.2 A piece of software purchased for one’s home computer 1.4.3 A non-approved downloaded title from the Internet 1.4.4 A “pirated” copy of any title 1.4.5 A different title from the current software list of this Administrative Procedure unless otherwise approved by the Deputy Superintendent .

2. Software licensing 2.1 Most of the software titles on the Division’s current software list are not ; therefore, the cost of software is a consideration for most titles and their deployment. 2.2 It is the goal of Technology Services to keep licensing accurate and up-to-date. To address this, the licensing person in Technology Services is responsible for purchasing software licenses for the following software categories: 2.2.1 Desktop operating system software 2.2.2 Productivity tools package 2.2.3 Internet software 2.2.4 Accessories 2.3 The other software categories (department/school-specific titles) are the purchasing responsibility of the department/school in which they serve. However, the application(s) are still installed and supported by Technology Services personnel. 2.4 To control costs, licensing costs are a in the decision-making processes that go into client software planning and request approval.

3. Software requests 3.1 If a user is to request software for a computer, the proper procedure is to complete the support request on myECSD at: https://serviceportal.ecsd.net (Complete the “Standard Approved Software Request” form)

3.2 Requests for new instructional based software must be directed to the Emerging Technology Consultants for consideration. Emtech will assess the software for appropriateness and privacy implications. 3.3 Requests for new administrative based software must be directed to the Deputy Superintendent for consideration. The Deputy Superintendent will assess the software for appropriateness and privacy implications. 3.3.1 A Service Request using the Technology Services self-service portal must be used to request new business applications.

4. Summary 4.1 The Division's software installation procedure is designed to allow Division employees achieve their business objectives. Any aberrations from this strategy will require the Technology Services staff to redeploy software and/or hardware solutions.
