NSW SWIMMER ONLINE May Edition - an official e-publication of Swimming NSW Ltd.

MEMORANDUM

Date: 25th February 2010 To: All Club Registrars and Race Secretaries

From: Swimming NSW Events Department Email: [email protected] Phone: (02) 9763 5833 Fax: (02) 9763 5699 Subject: MEET MANAGER ID IMPORTANT NOTICE

Dear Club Registrars and Race Secretaries,

It is CRITCAL that all Meet Manager ID (MMID) Numbers for ALL swimmers are correct to use Online Entries!!

If this number is incorrect the results will not be linked to the correct swimmer and they will be unable to enter the event!!

The Meet Manager could be wrong for reasons such as; • Date of Birth is wrong • Misspelling of first or last name • Not transferring correctly from one club to another

Current Problem To enter a carnival, the Race Secretary would either send an e-file or have the swimmer enter online using (sometimes without the swimmer or Race Secretary’s knowledge) the incorrect MMID. The organising Club/Association would upload the results file to the Search Results Database with the incorrect MMID thus the results do not link to the swimmer on the database and the swimmer cannot enter online.

This causes a flow on effect because if the MMID is incorrect from the Club level, the results will keep on being uploaded incorrectly from the organising Club and even Swimming NSW.

The Solution Please be vigilant by checking MMID’s for all members of your Club. The Meet Manager ID Number is a combination of the first 3 letters of the swimmer’s surname, the first two letters of the swimmer’s first name and their date of birth (dd/mm/yy) Eg: John Smith 22 August 1987 Johns MMID Number: SMIJO220887 The aim of the Events Online system is to take the pressure off of Race Secretaries as Swimming NSW understands that many of the Club Committees are volunteers. In moving forward, Swimming NSW would like to work together with Clubs to ensure that MMID’s are correct firstly at a Club level which will ultimately help in making this goal a reality.

STEPS TO CHECK MMID’s

1. Match the Club’s own Team Manager/Meet Manager File with the member information in ClubsOnline. 2. Log on to the ‘Search Results’ database to check all results are being displayed. If any of the swimmer’s results DO NOT have a club name next to them, the MMID is incorrect 3. Contact the MEET ORGANISER for the carnival, correct the MMID with them and have them re-upload the file to the ‘Search Results’ database

Swimming NSW or Swimming Australia cannot change meet results run by other organisers. However, Swimming is more than happy to assist any clubs who are having difficulty with correcting MMIDs.

Please contact either Matt Adair, Development and Events Manager or Cherry Smith, Events Coordinator at Swimming NSW on (02) 9763 5833.

MEMORANDUM

TO: All Clubs & Areas

FROM: Mark Heathcote – Chief Executive Officer

DATE: 15th February 2010

RE: Medal Presentations

Dear Club/Area Secretary,

Swimming NSW has recently seen an increase in the occurrence of either swimmers attending their medal presentation late and/or incorrectly attired or not attending the presentation at all. This behaviour is disrespectful to the other swimmers who have competed in the event.

In light of this, Swimming NSW requests that all swimmers attend their medal presentation and be correctly attired (i.e. club shirt or uniform) to collect their medal. Failure to do so will result in the forfeiture of the medal.

If a swimmer needs to marshal or compete in another event, they must let the Presentation Officer know as soon as possible.

Best Regards,
