Job Title: INTERIM FACILITIES MANAGER

Position reports to: Deputy Heads of Chambers

Tenure: 3 months, beginning 4 January 2021

What are we looking for?

An opportunity has arisen in Chambers to lead the facilities management team at Chambers on a short-term basis as we assess the staffing needs for this area. We are looking for a proactive individual who can hit the ground running and manage several key projects as well as the day-to-day facilities operations of chambers. Our sites include five buildings in London, and one regional office in Manchester. Overall responsibility for dealing with all out of hours emergencies will also be required in this role, including being the first point of contact for all security related issues and responding to enquiries out of hours.

This role will suit an efficient and committed individual, who is looking to develop an already established career in facilities management. Our offices are in Central London, with easy access to mainline stations.

What does the job entail?

The key focus of this role will be management of the priority tasks in Chambers that ensure the smooth-running of facility operations. This includes to:

• Ensure all necessary health and safety procedures and checks are in place in keeping with a Covid-friendly workplace, including to intercept forms and log personnel on site. • Manage the security requirements for Chambers, including to act as the first point of call to manage response to fire alarms. • Manage the maintenance of facility services such as heating, lighting, plumbing, fire safety systems, air conditioning and building maintenance, liaising with contractors/suppliers as appropriate. • Project manage a live archiving project and other ad-hoc archiving requests. • Conduct an assessment of wheelchair friendly/accessible workspaces within Chambers and make arrangements with expert third parties to improve this as a matter of urgency. • Manage the 8x8 VOIP telephone system, including to add new users and roll out training. • Manage the leases for chambers’ printers, acting as first point of call for the supplier while working closely with the onsite IT engineer to configure machines. • Maintain and manage the facilities budget.

• Oversee lease management discussions for the Manchester office and act upon recommendations. • Oversee management of room moves, room allocation and desks for new members. • Line management of Librarian and any front of house staff/temps.

What skills and experience are essential?

The ideal candidate for this role will need to have:

• Experience in line management • Strong communication skills • Exceptional organisational skills • Working knowledge of facilities infrastructure including reprographics and telecommunications. • Contract management experience • Working knowledge of how a Chambers operates.

Desirable skills include: • Experience in managing multiple site • Experience and expertise in health and safety policies and requirements within an office environment • Strong negotiation skills

Remuneration: DoE

Working hours: Monday – Friday (40 hours)
