Management Report

Exhibition Place │ Management Report │ December 2017 │ 1 Executive Summary From Bees to VIPs, had a busy and rewarding 2017! We hosted many large, challenging one-off events, including the NHL Centennial Classic, Google Roadshow, Alibaba Gateway 17, Hillary Rodham Clinton book tour, and MLS Cup. These events brought such prestigious visitors to our site as Prime Minister Justin Trudeau, Premier Kathleen Wynne, Prince Henry of Wales (Prince Harry), Mayor John Tory, Hillary Rodham Clinton and Jack Ma (Alibaba).

Exhibition Place made a positive impact on our industry, our community and our environment in 2017. In early March, the Canadian Association of Exhibition Managers (CAEM) awarded the Give Back Award to Enercare Centre and Beanfield Centre. In June, two bee hives were on the green roof of the Industry Building, which will contribute to the pollination of our neighbourhood in a 5 kilometre radius. Exhibition Place hosted a staff-wide book and magazine drive to benefit St. Joseph’s Health Centre donated 183lbs worth of reading material for their in-patient library in October.

In addition to making positive contributions for the present and future, Exhibition Place paid homage to our past with the planting of 12 Vimy Oak Trees in June. The trees are descendants of oak trees from Vimy Ridge; staff helped plant the trees and attended a memorial ceremony to honour the memory of the Canadian forces who secured Vimy Ridge in April 1917.

Exhibition Place exceeded budget and 2017 year end Financials will be reported at the next meeting of the Board

Sales and Marketing

Year End Summary Sales and Marketing had a successful year, exceeding our Sales targets and revenue by securing 260 new events in 2017 and for future years. The number of published editorials for Exhibition Place is 74, for Beanfield Centre 8 and Enercare Centre 2. There were a total of 8,064 Media Hits for Exhibition Place, 1,222 for Enercare Centre, and 442 hits for Beanfield Centre. Facebook fans have increased by 387 to 2,945 and followers on Twitter increased by 1,057 to 4,042.

November and December 2017 Sales Effort During this period, the Sales & Marketing team secured 44 new events for Exhibition Place. The events are categorized as follows:

Business Travel On November 1st, Lyne Montpetit attended the annual SITE Canada Education Day at the Boulevard Club. There were approximately 100 participants throughout the day, 35% of whom were senior planners and 3rd party representatives. The education component was excellent and the intimate setting resulted in beneficial networking opportunities.

Laura Purdy attended Web Summit 2017 in Lisbon, Portugal from November 6th to 10th as part of the City’s delegation. The mission of the delegation was focused on attracting Collision, an international technology conference, to for the spring of 2019. The delegation, including City Economic Development, Tourism Toronto, Toronto Region Board of Trade, World Trade Centre Toronto, Enercare Centre, TechStars and MaRS, met with the leadership team of the summit. The summit’s leadership team has had a follow up meeting at Exhibition Place.

Barbara Outschoorn, Marvin Self and Don Leddy participated in the PCMA CIC annual education forum on November 19th. 350 attendees from the GTA partook in excellent event industry education. The event also provided ample opportunity to spend one on one time with existing and potential clients.

On November 23rd, Dianne Young and Board member Howard Lichtman hosted sponsors and clients at the Chief’s Gala, a yearly event hosted by Chief Mark Saunders in support of Victim Services Toronto. This was the 10th anniversary edition of the event and was sponsored by Exhibition Place and held in Beanfield Centre.

Barb Outschoorn attended the Tourism Toronto HVA Signature Event on November 29th at the National Arts Centre in Ottawa. This well-attended luncheon provided a good networking opportunity for 100 meeting planners.

Barbara Outschoorn, Marvin Self and Don Leddy attended the MPI Holiday Dinner on November 30th. This annual event was attended by approximately 150 event planners in the Ottawa region and continues to serve as a valuable networking opportunity.

Don Leddy attended the annual CSAE Gatineau Holiday Gala on December 4th. This event hosted approximately 120 Senior Association executives from the Ottawa region. It provided valuable face to face time with some of Ottawa’s most influential decision makers.

Barbara Outschoorn, Marvin Self and Don Leddy hosted a table at the CSAE Trillium Holiday Gala on December 7th, with 5 existing and potential clients.

On December 5th the Corporate Team (Stephanie Lander, Geoff Mak, Lyne Montpetit, Wassim Dawoud) hosted a table of clients at the MPI Toronto Chapter Holiday Gala. This is the largest industry gathering in the GTA, with 500 guests, and many of our clients and prospective clients were in attendance. It was a great occasion to network and develop relationships for future business.

Wassim Dawoud conducted sales presentations on December 14th to potential new and existing clients who are based in Montreal. Wassim introduced Beanfield Centre and Exhibition Place to new clients at the L’Oréal head office for the team at Cirque du Soleil.

Event Services Staff began extensive preparations in September for the annual Royal Agricultural Winter Fair in November. This event was followed by the annual One of a Kind Christmas Craft Show, which was very well attended. A traffic plan was implemented to accommodate the TFC Semi Final Game, which took place during One of a Kind, and worked extremely well. In response to customer feedback, the Parking Department will be implementing updated signage indicating that the Garage is “Full” rather than “Closed” when it reaches capacity. Another food court was added to the SE corner of Hall A for One of a Kind, which was very well received.

The Indoor Winter Carnival, a series of several seasonal holiday parties/functions, also returned in November and continued into early December and all went well. New events included the Influence Toronto Conference, Once Upon a Prom and the CIPO Trademark Exams.

The I Heart Beer Festival and the Grant Thornton Holiday Party were both new to our venue. The Beer Festival aimed at providing small samplings from a wide array of flavours of Ontario craft beer, cider and spirits and occurred the same day as the MLS Cup. The event proceeded very smoothly and some guests from the MLS cup attended after the game was over. All the events proceeded smoothly due to a tremendous amount of pre-planning and co-ordination by all stakeholders.

Beanfield Centre Beanfield Centre hosted 22 events in November, including two Cerise events; the 10th Annual Police Chief’s Gala and a corporate meeting with WeConnect. The CNE hosted an Accessibility meeting and a Board meeting. Once again we hosted Home Depot over 4 days and other returning clients such as ACG, CAMH, Exac Exams, Ontario Centres of Excellence and CPSO over 2 days. TD Wealth Management was on site for 5 days, with a large program throughout

the building, New clients included Toronto Agile Community, which will be returning in the New Year.

Ten events were hosted in December, including Mehrit Centre, a 2 day return event, UBC exams, CNEA Board Meeting and BOG meeting. Leadership Development was a new program with us and had their first meeting back in September. The Anti-Racism conference was a success. Beanfield Metroconnect, our naming sponsor, held their holiday party as well.

Year End Summary: Some of the highlights of 2017 included the Centennial Classic on January 1st, which concluded a run of events for MLSE at BMO Field. It was amazing to witness the transformation of BMO Field into a regulation NHL rink and watch the Toronto Maple Leafs beat the Detroit Red Wings in an overtime game!

The Google Event at the Beanfield Centre was a true testament that the IT Community has acknowledged the Beanfield Centre as a leader in the technology market. They hosted their event the same day they announced to the World that Toronto was the location of the Google Sidewalk Incubator project.

The Alibaba launch in Canada also challenged staff to new heights. Technology, security and building infrastructure were put to the test and exceeded client expectations. All departments came together to think outside the box and create a world class experience for this very exacting client.

2017 was also the year of the VIP experience; we had the pleasure of hosting Mayor John Tory, Prime Minister Justin Trudeau, Premier Kathleen Wynne, Prince Henry of Wales (Prince Harry), Hillary Rodham Clinton and Jack Ma (Alibaba) to name a few. What a banner year!

Parking

November November proved to be a busy month and the RAWF met projected expectations. The overlapping of the extra TFC play-off game with the RAWF was successfully managed by staff, as new Traffic Management Plans were created to ensure the safety of all pedestrians and animals on-site. The support of the Toronto Police proved beneficial as it reduced time of entry and egress.

December TFC’s winning streak continued into the month of December with an MLS Cup victory! The extra game helped in meeting expected budget. The One of a Kind Show also did well and matched previous year’s numbers.

Year End Summary: 2017 was a smooth year for Parking Services as we faced minor challenges on the operational front and started many new projects to improve the aesthetics of the parking lots, and improve on methods of transportation across the grounds. Phase one of the bicycle lanes was successfully completed which saw a number of bikers using the grounds as a way to connect to the routes on Lakeshore, Strachan, and Dufferin. Upgrades were made to a number of parking kiosks to improve the working conditions for staff, as well as to signage to increase the numbers of accessible and courtesy spots offered to our guests. The implementation of the digital sign boards has also aided in the revamp of our operations as it has allowed for us to communicate to drivers which lots to use when attending an event as well as when a lot is closed or full. At

year end our revenue is estimated to be in excess of $8 million, with over 490,000 vehicles parked.

IT/Telecommunications Exhibition Place has been working on enhancing WiFi on site to accommodate higher density KeyNote events. Beanfield MetroConnect, the naming sponsor for Beanfield Centre, has been working with staff and conducting spot site surveys using spectrum analysis tools. These activities have assisted in formulating a better understanding of the most cost effective measure in order to design higher density WiFi within Beanfield Centre and Enercare Centre in 2018.

The IT/Telecom Department is moving staff and equipment to new locations on the campus. The data centre will be relocating to an enhanced, centralized, more secure location with better connectivity and power management. In preparation for this move, staff have designed a more redundant network topology and are working with the various teams at Exhibition Place in order to take this vision to an operational integrated system.

Staff have been working to deploy upgraded desktops computers to staff with the Microsoft Windows 10 operating system and Microsoft Office 2016. This upgrade provides staff with the latest desktop experience and tools.

IT/Telecom staff worked diligently in order to provide services for the Winter Respite that opened in the Better Living Centre December of 2017. Services deployed included WiFi for staff as well as patrons of the shelter, as well as networking to accommodate the additional security systems and cameras.

Year End Summary Over the course of 2017, the Operations department has installed fiber optics and upgraded BAS equipment, Carma meters for the monitoring of ECC District Energy System, 300 ft of new sidewalk from East Bridge, east to Hotel X, a new Irrigation system that surrounds south & East ECC. We have also installed a new walkway canopy over the Go-Station section and ECC Canopy, where an LED retrofit was completed. We have reduced and redirected lighting in Lot 856 (Ball Park) to be more effective and cost efficient, also through an LED retrofit. We have initiated a new Preventative Maintenance Program, and are proud to have been a part of the green initiative program which included the installation of bee hives on the roof of the Industry Building.

Facility Services . Delivered Production, Housekeeping and Labour services for the 2017 Royal Agricultural Winter Fair (RAWF), and the MLSE Finals. . Completed turnover of Heritage Court, Hall A, B, C, and D for the early move in of the One of a Kind Craft Show. . Completed post RAWF sanitization process for the Industry Building, North Extension and East Annex in the Enercare Centre . Had all snow removal equipment ready for the winter season including third party following the tree planting activities completed in the late fall. . Provided Production, Housekeeping and Labour Services for the Dwayne Gretzky concert on New Year’s Eve . Completed a review and preventative maintenance completed on audio/visual screens at the Beanfield Centre.

Year End Summary Facility Services completed several types of training throughout the year, for staff in all of our areas, which included a practical rigging course for Production Services staff, elevated work platform training for Facility Coordinators, high-reach, material handling equipment for Labour Services, Health and Safety E- Learning for all unionized seniority Staff, accident reporting, incident investigation, and supervisor competency, to name only a few.

Facility Services replaced and updated the foliage in the Galleria of Enercare Centre with new tree plantings and decorative hanging baskets, giving the space a new feel. We updated the exterior foliage with a 25 foot Blue Spruce planted in front of Enercare Centre, as well as

several other tree plantings throughout the grounds, including 12 Vimy Oak trees to honour the memory of the Canadian forces who secured Vimy Ridge in April 1917.

2017 also brought us a new waste diversion area which we set up under the Gardiner Expressway, making it as functionally operational as the previous location once was prior to demolition earlier in the year, working towards a 90% waste diversion rate by 2019.

EXcellence in Action Cat Rogers received an email dated November 21st from Leslie Fara; “Thanks for your help with this Cat! Your customer service skills are outstanding! You took care of the issue right away.”

Kathleen De Jesus sent an email dated November 22nd to Stephanie Lander; “Thank you to Beanfield for hosting us last week. Our conference was wonderful and it was all thanks to the Beanfield Team!”

Wassim Dawoud received an email dated December 11th from John Grossman; “You were great to work with an extremely helpful as we planned things out on such short notice. All of our Partners were extremely happy with the result and had a great time on-site.”

Susan Hopkins sent an email dated December 12th to Denise DeFlorio; “… thank you Denise for everything. You were all so good to us over our two days and we appreciate the genuine care that we felt from you and all of your team. What a difference it made in our experience and to the quality of our event”

Denise also received an email from Kaitlin Buckley dated December 13th; “Always a pleasure working with you and the team as well. You all make it very easy on us. Thank you for everything.”

Spectra by Comcast Spectacor

November Spectra started the month with the RAWF and catered lunch and dinner each day for production crews, vendors and staff . As well, staff serviced multiple internal catering orders and receptions ranging from 20 to 180 guests. The Galleria Café served assorted grilled cheese sandwiches, Grab n’ Go items and a Hot Choc Bar.

RAWF was followed by Influence Orbis, a one day event for which Spectra provided a Food Truck, Lakeshore Grill concession and a Bar. The Library Resource Fair was serviced with a coffee and deli cart

For the last big event of November, the One of a Kind Show, Spectra provided 2 restaurant style pop-ups; Café Soleil in the Galleria and Café Bistro on the show floor, both of which offered a full restaurant experience. The a la carte menu was well received by both the show clients and guests of the shows. We also had multiple concessions and other food & beverage stations open, and a Main Bar on the show floor which was a huge hit on the Late Night Shopping night on Thursday. Food Truck Alley featured four trucks and was also very popular. Spectra saw a 17% increase in overall total food and beverage for this show. Overall, a great month for Spectra!

December The One of a Kind Christmas Show wrapped up in early December and was followed by the Grant Thornton Holiday Party. This event for 400 guests featured a carnival theme with multiple

food trucks, ice cream bar, tiny donut station and a full main bar. Spectra provided coat check service for the Dwayne Gretzky concert on New Year’s Event.

Year End Summary 2017 started off great with a successful Boat Show and the launch of Spectra’s new point of sale system, which has been a great success. By far, the highlights of 2017 was the Ali Baba Gateway event in September, for which Spectra catered to 2500 delegates and attendees as well as 27 VIP and crew meals. It was an outstanding event to be a part. Other highlights includes the successful and well received food station concepts / menus like the “Pierogi Bar”, “Grab n Go” and “Create Your Own Salad” stations which we offered at shows like CNE, The Royal Winter Fair, One of a Kind and The Fall Home Show. Food Trucks saw an increased popularity as well this year.

Cerise Fine Catering Cerise had the pleasure and honour of serving many loyal, return clients including Ontario Non- Profit Network, Association for Corporate Growth, Toronto Agile, and TD Bank. Home Depot returned with their annual conference and foundation’s bi-annual fundraiser with a Roaring 20’s Casino theme which featured time period Shrimp Cocktails and Red Velvet Cupcakes. Cerise’s signature Baked Lobster Mac & Cheese was a popular choice for this group.

Cerise services over 900 guests for the returning Police Chief’s Gala in support of Victim Services. Mark Saunders, Chief of Police, and his wife made their first appearance since his successful kidney transplant surgery, which received media exposure in The Star and Toronto Sun ( https://www.thestar.com/news/gta/2017/11/23/toronto-police-chief-mark-saunders-stacey- saunders-welcomed-back-after-kidney-surgery.html and http://torontosun.com/news/local- news/warmington-the-chief-is-back-in-action-for-a-night-on-the-town).

Cerise was pleased to welcome new guests to Beanfield Centre, including TD Wealth Management for a 5 day conference. Cerise served a rustic chic Canadian themed menu for TD’s Pan Wealth Dinner for 500 guests, which was a great success.

Other new guests included ECampus Ontario with a packed 3 day conference, EF Institute for Cultural Exchange over 2 days, Centre for Addiction and Mental Health, and WE Connect International.

The CAEM Holiday Luncheon, hosted by Exhibition Place, was attended by 300 industry partners, all of whom were thrilled with the edible table centrepieces featuring festive sweets.

Year End Summary Cerise had an amazing 2017, with the highest revenue year on record while servicing close to 100,000 guests. Staff are humbled by the privilege of working with all of our clients, customizing their unique experiences and exceeding guest expectations. What an honour to be part of the many fundraising events hosted at Beanfield Centre, which raised in excess of $20 million! The team is regenerated and excited about 2018; bring on the New Year!

Summary of Sole Source Commitment Activity by Reason - Oct. 1 - Dec. 31, 2017 Part A of the report below informs the Board of the sole source activity for Exhibition Place including sole source purchases approved through the Board. The format used to provide the information below is the same used by the City of Toronto Purchasing and Materials Management Division (PMMD) so as to maintain consistency and uniformity in reporting.

Procedures for the processing of sole source purchase are outlined below and include due diligence measures to ensure that: (1) Detailed explanation is provided for the sole source purchase. (2) Sole sourcing is an appropriate method to obtain the needed goods and/or services (3) Proper approvals as outlined in the Board Financial By Laws are obtained before processing a sole source purchase; and (4) Where possible, the process is in accordance with current market conditions and prices offered to other customers.

Total sole source activity from Oct 1 to Dec. 31, 2017 is $240,336.48. The percentage of dollar value of sole source purchasing activity for goods and services compared to the total purchasing expenditures of $2,661,669.60 is 9% for this period. The total value of sole source purchasing expenditures for the period January 1 through December 31 is $633,083.50 against purchases of $7,038,692.05 or 8.9% to date.
