Dear athletes, coaches and managers,

We would like to take this opportunity to congratulate you on being selected as a member of Team for the upcoming Canada Summer Games being held in Winnipeg, from July 28th to August 13th, 2017.

This achievement is the result of long hours of preparation and numerous sacrifices you have made for your sport. For many, the Canada Games will be a once in a lifetime opportunity to compete in a multisport event. For others, it will be a stepping stone to many other major national and international competitions. Whatever the result, when the competition ends, we all know that you will be a better athlete, and will have performed your best.

We hope that this Handbook will be a useful resource as you prepare for the Games and help make your Games’ experience as smooth as possible.

Introduction

This Handbook provides you with important information about Team NB and the Canada Summer Games. It outlines the responsibilities and obligations of all Team NB members, including athletes, coaches, managers and mission staff. Participants are expected to become familiar with all of the information in this Handbook.

About the Canada Games

Inspiring Dreams and Building Champions…that’s what the Canada Games are all about! Inspiring dreams in Canada’s youth, encouraging them to participate in sport and physical activity, and providing programs young athletes need to reach their dreams and become champions.

The Canada Games are the largest multi-sport competition for young athletes held in Canada. Held every two years, alternating between winter and summer, the Canada Games are a key event in the development of Canada’s young athletes. Competitors, having trained long and hard, are proud to represent their respective province or territory as the best in their age group.

Winnipeg 2017

The 2017 Canada Summer Games will have special significance, as they will be held during Canada’s celebration of its 150th Anniversary of Confederation and mark the 50th Anniversary of the Games.

Winnipeg is the second city in Manitoba to host a summer edition of the Canada Games after Brandon hosted a summer Games in 1997. Featuring 16 sports, over 250 events and a major cultural festival, the 2017 Canada Games will welcome over 4,000 athletes and coaches and more than 20,000 visitors. The Games will leave a lasting legacy of new and enhanced sport facilities, volunteer and leadership development that will benefit athletes and the broader community for years to come.

Team New Brunswick

You are a member of a team much larger than your individual sport. The New Brunswick contingent at the 2017 Canada Summer Games will be comprised of 400 athletes, coaches and managers competing in 15 different sports. Always remember that, as members of Team NB, you are goodwill ambassadors for our province.

Key players

The Province of New Brunswick The Sport and Recreation Branch of the Provincial Government oversees the Team NB program. The Branch acts as the guardian and interpreter of the general philosophy, governance, policies, operational and administrative matters of the team and appoints the Chef de Mission.

Canada Games Council The Canada Games Council is the national governing body of the Canada Games, and as such is responsible for the philosophy, objectives and rules of the games. The council develops policies and procedures to guide the preparation and staging of the Canada Games, and ensures that the games play an important role in Canadian sport development.

Host Society The Host Society is the registered not-for-profit Society formed by representatives of the community hosting the Games. It is charged with all aspects of organizing and staging the Games.

Chef de Mission The Chef de Mission is the Head of Delegation for the provincial team attending the Games. The Chef acts as the provincial liaison to the Host Society and the Canada Games Council and other partners and sponsors. The Chef de Mission is the spokesperson with the media and is Team NB’s representative at ceremonial functions.

Assistant Chef de Mission The Assistant Chef de Mission oversees team administration, logistical support, ensures the teams’ adherence to sport technical requirements and supervises mission staff. The Assistant Chef also works closely with the Chef de Mission on code of conduct matters and in crisis situations as required.

Coaches and Managers Coaches and Managers are selected by their Provincial Sport Organizations to coach the provincial teams competing at the Games. The coaching staff is responsible for the preparation, performance and conduct of the athletes prior to and during the Games.

Mission Staff

Team NB mission staff volunteers are selected from experts in the sport and recreation sectors to provide administration support to the Provincial Sport Organizations, coaches and managers leading up to and at the Games. Mission staff provide support to their assigned teams and undertake duties that help their team optimize performances at the Games by minimizing distractions.

Travel

All Team NB participants will travel by charter to the Games from the Greater Moncton Roméo LeBlanc International Airport - Main Terminal.

Week 1  Leaving: Thursday, July 27th at 10am and 6:30pm (2 departures)  Arriving back in Moncton on Saturday, August 5th at 4:00pm Week 2  Leaving: Saturday, August 5th at 4:55pm and 5:55pm (2 departures)  Arriving back in Moncton on Monday, August 13th at 00:30am*

It is the responsibility of individuals to be transported and then picked up from the Moncton airport upon arrival back to NB. However, due to the late arrival on August 13th, Team NB will be providing motor coaches/buses from the Moncton airport to Fredericton, Saint John and Miramichi.

*More details on flights will be provided at the Rally.

Airport Departure and Arrival Process

Participants MUST arrive at the Greater Moncton International Airport 90 minutes prior to the scheduled departure. Teams are asked to stay together from time of check-in until clearing security. Participants are asked to wear the clothing provided by Team NB.

Each participant MUST have the following travel documents:  Two (2) pieces of government issued non-photo identification with matching names as long as at least one piece also includes the date of birth and gender (eg. Medicare card & birth certificate); or  One (1) piece of government issued identification with photo showing the name, date of birth and gender (e.g. Passport, Drivers Licence).

Participants need to clear security screening at the Greater Moncton International Airport. Please ensure that you are familiar with items not allowed in carry-on luggage.

Please pack healthy snacks in your carry-on (*some participants are allergic to peanuts)

Mission staff will be on hand at the Moncton Airport to help coordinate the departure.

*Participants not returning to NB after the Games (e.g., vacation with family) should have made their own arrangements for returning home and for any equipment they may have and should have completed a Permission to leave form.

Luggage

Each participant travelling to the Canada Games is allowed to bring the following items:  One (1) carry-on bag (max 20 lbs) - Adidas backpack provided by Team NB  One (1) checked bag (max 50 lbs) - personal suitcase  Pre-determined sport equipment - As per the approved list of equipment*

*Due to limited space on the charter flight, you CANNOT exceed the maximum weight and number of personal luggage and sport equipment items. You can only bring sports gear on the official Canada Games Equipment List provided to team managers.

Each luggage and sport equipment bag MUST be tagged before check-in. Luggage tags will be distributed to all teams.

Travel Tips

Before you travel, plan ahead so you can be well rested and prepared for your trip. Pre- hydrate 2-3 days before you travel.

During the trip, stay hydrated by drinking plenty of water. Avoid caffeine. Eat light and healthy with a focus on fruits, vegetables and healthy snacks. Walk around whenever possible to encourage blood circulation. Don’t forget to bring snacks that are high in fibre and low in fat and bring extra in case there are travel delays.

Arrival in Winnipeg

Upon arrival, participants will be transported from James Armstrong Richardson International Airport to the Athletes Village located at the University of Manitoba.

At the airport, participants:  Will be greeted by Games volunteers and Mission Staff.  Will collect their personal checked baggage from the carousel.  Will pick up their sport equipment at ‘oversized baggage’  MUST report any lost/unclaimed baggage to identified Airport Transportation Supervisor and a Team NB Mission Staff before leaving the airport  Will proceed to the bus staging area to board buses to the Village  Will put baggage and sport equipment in a cube truck before boarding buses.

Accommodation

Athletes and coaches accommodations are located in the residences at the University of Manitoba. All participants are assigned their own bed and each room will house 4-6 participants (2-3 bunk beds per room). Bedding and pillows will be provided.

Accommodations for male and female athletes and coaches/managers are separate.

The Athletes’ Villages will be secured 24 hours a day and accreditation will be checked upon entry to all the Village sites. http://umanitoba.ca/maps/

The Satellite Village accommodation (Gimli and Kenora) will:  Utilize classrooms for accommodation spaces  Install bunk beds into each classroom  Allocate 6 to 8 bed spaces per room

Accreditation

All Canada Games participants including athletes, coaches, managers, mission staff, officials, dignitaries, media, volunteers, etc will be given an accreditation badge that identifies who they are and what venues they can access.

You will be handed your accreditation badge upon arrival at the Athletes’ Village. Accreditation badges MUST be worn at all times during the Games in order to access the competition venues, Athletes’ Village (food, accommodation, etc.) and other Games venues. Your accreditation badge allows you access to all Games sport venues to watch other competitions.

Access control

Admission to Athletes’ Village buildings will be restricted to those persons who have proper accreditation. Admission will be granted to athletes, managers, coaches, mission staff and athlete residence volunteers. Each participant will be issued a room key or key card upon arrival and is responsible for his/her own key at all times. Each participant will be responsible for restitution of any damages or loss of 2017 Games Village property and furnishings, including the loss of their room key or key card.

Athletes are permitted to bring their team uniforms and gear/racquet bag to their rooms for safekeeping and/or drying. All other sport equipment will be stored at the venue.

Parents do not have access to the Athlete Accommodation, Cafeteria or the Polyclinic. Athletes who wish to spend time away from their team must obtain permission from the coaching staff.

Curfew

Quiet time in the Athletes Village will commence at 11 p.m. Athlete entertainment areas will close, TV’s and music must be turned off and people will be asked to move quietly throughout the residence. All athletes, coaches and managers must be in their designated rooms by curfew at 12 a.m. with the lights out.

Transportation

A dedicated bus service will be provided for all athletes, coaches and managers to all scheduled competitions and practices. Buses will depart and return to the Athletes’ Village. Sport specific transportation schedules will be provided.

An athlete loading zone is centrally located in the Athletes Village. This will be the primary location for buses and vans providing transportation to the venues, exclusively for athletes, coaches and managers of provincial and territorial teams. Each venue has an athlete loading zone that will facilitate the immediate drop-off and pick-up of participants close to the entrance doors of the facility.

The City of Winnipeg will offer all accredited participants, volunteers and workforce the ability travel at no cost on the Winnipeg Transit System if you wish to go to other events.

Athlete Village Services

The Athletes’ Village includes such amenities as food services, accommodations, entertainment area, athlete lounges/computer labs, medical services (Polyclinic) and information centre. Athletes will be provided general information on a variety of amenities some of which may be paid for service, including:  Banking Services  Grocery & Convenience Stores  Laundry Services  Pharmacy locations  Fitness Centres  Food Court

The Main Athletes Village will be situated at the University Centre and the standard operating hours for all athlete services is 7:00am- 11:00pm.

Village Entertainment

The Host Society will provide a range of entertainment for all participants. The main stage in the Athletes Village will host a variety of different performers and groups from Winnipeg all aimed at providing a unique entertainment option for athletes, coaches, and managers at the Village. Village entertainment will work closely with Athlete Services to provide other unique and engaging activities that will take place at the main stage and athlete lounges within the Athletes Village. Village Residents will also have the option to attend the festival site located at The Forks in downtown Winnipeg.

Food Services

The Food & Beverage function will coordinate the services to the Main and Satellite Villages with Aramark. The base of operations will be at the Main Athletes Village. The Village Food & Beverage Service will:  Offer a menu designed to meet the nutritional needs of athletes  Offer a variety of menu items to address/consider special dietary needs  Operate during mealtimes: o Breakfast 6:00am - 10:00am o Lunch 11:00am- 3:00pm o Dinner 4:00pm - 8:00pm  Provide all day grazing options starting at 6:00am to 11:00pm  Provide boxed meals for teams who leave early from, or return late to, the Village due to competition schedule.

Medical Services

The 2017 Canada Games Medical Services team will work to provide a safe and healthy environment for 2017 Games’ participants (athletes, coaches, managers, tech support/reps and mission staff). Medical services will also be provided at all sports venues, Opening and Closing Ceremonies and at the Polyclinic in the Athletes Village. Services provided at these venues are overseen by Host Society Medical Services, free of charge to all participants, and are administrated by volunteer medical professionals. Proper accreditation will be required to access all medical areas.

The Polyclinic will provide services over and above what can be provided at the venues, as well as follow-up care. The Polyclinic will be located on the 4th floor of the Helen Glass Centre for Nursing building at the University of Manitoba.  Hours of operation: 7:00am – 11:00pm  Infirmary will be in operation 24 hours a day, if needed.  Medical service providers at the Polyclinic may include physicians, therapists (physiotherapists, athletic therapists and massage therapists), nurses, chiropractors, pharmacists and medical support services.  Some specialized, diagnostics and referral services by Medical Services may incur a cost to the participant.  All provinces and territories are included in the Games Travel and Accident Insurance Policy for reimbursement for these services.  Additional services will be available as on-call community based referral services. These will include dentists, optometrists, medical specialists, psychologists and other services as they are available in the community.

Doping Control

In conjunction with the Canada Games Council and the 2017 Host Society, the Canadian Centre for Ethics in Sport will conduct random doping control tests. All testing will be conducted onsite at the competition venues, under the supervision of a CCES certified Doping Control Officer. Testing will take place in either a Mobile Doping Control Station or a Temporary Doping Control Station at the respective competition venue.

Language Services

The 2017 Canada Games is committed to ensuring information and services are offered in both official languages. Information in both French and English is also available on the 2017 Canada Games website and mobile site, Canada Games TV and social media. In addition to the bilingual staff and volunteers assigned to functional areas, bilingual volunteer will also be available at each venue to assist with language issues at all times.

Issues Management Plan

During the 2017 Canada Summer Games, Team NB will encounter numerous situations; some minor in nature and others that may be more serious.

If the situation involves or impacts an athlete(s), coach(es), or manager(s), the mission staff will be tasked with maintaining contact with their team so that their whereabouts are known at all times. The mission staff will also communicate with the Team NB Mission Office and the Chef de Mission.

The Chef de Mission will determine who, when and how “others” will be notified of the situation. Individuals or groups to be notified include but are not limited to the following:  Family  Provincial Sport Organization  Host Society  Canada Games Council  Media  Coaches and Managers

The timing of the notification could have a profound effect on how the situation is received by the media and the impact it has on the Team. As such, timing is critical and must be considered along with all other parameters. Once an incident has occurred, it should be immediately reported.

Team NB Code of Conduct

All members of Team NB are expected to conduct themselves in a manner consistent with high ethical standards and to promote pride and good will for the province through their behaviour and attitude. Team NB members are ambassadors for the province from the time they begin to train as a Canada Games team member until they return home from the Games.

Please ensure you are familiar with the Team NB Code of Conduct as well as your sport specific code of conduct. Your sport specific code may have additional criteria, in which case you must follow the sport specific code. All athletes must be clear on the parameters and expectations for their behaviour.

Examples of types of infractions:  use of tobacco and alcohol products by an athlete  disruptions after quiet time/curfew violations (lights out at midnight)  disrespect or unsportsmanlike conduct  activities or behaviour that disrupt competition  pranks, jokes or other activities that endanger the safety of others  criminal activities

All infractions, whether minor or major, have a procedure in place that will be followed as per the Team New Brunswick Code of Conduct Policy that can be found on the Team NB website at www.gnb.ca/sport

Team NB athletes, coaches or managers that are involved in a discipline situation may also receive further disciplinary measures by their PSO following the Games. This may include being banned from other PSO/NSO competitions in subsequent years.

Ceremonies

Opening Ceremonies

The Opening Ceremony of the 2017 Canada Games will celebrate all that Canada is proud to be: inclusive, engaging and diverse. Through projected video, a series of theatrical vignettes, high-energy production elements and the appearance of dignitary guests, the “We are Canada” theme of the Opening Ceremony will resonate with both the live arena and televised audience. The Ceremony will celebrate the Games’ 50th anniversary and acknowledge Canada’s 150th anniversary by bringing Canadians together.

Week One participants will attend the Opening Ceremony at the MTS Centre, 345 Graham Avenue, from 7:00 pm to 8:30pm, on Friday, July 28, 2017.

Approx. 60-90 minutes prior to the start of the Ceremony, all participants will be dropped off in the loading dock of the RBC Convention Centre. All participants will be transported according to teams. The loading dock is directly adjacent to the halls we are using to hold the participants.

Closing Ceremonies

The Closing Ceremony will feature some of Manitoba’s iconic artists. Multiple stages and colourful decor will transform Investors Group Field into a summer festival site that will celebrate the Hottest Summer in Half a Century. From the official flag handover to the extinguishing of the Games cauldron, the ceremony will also feature a tribute to the community and the Games volunteers who have welcomed the athletes and spectators to Winnipeg. The Closing Ceremony will be a chance to celebrate the athletes and bid farewell to the Games.

Week Two participants will attend the Closing Ceremony at the Investors Group Field, 315 Chancellor Matheson Road, from 2:00 pm to 3:30pm, on Sunday, August 13th.

Approx. 60 minutes prior to the start of the Ceremony, all participants will arrive by team at their scheduled time to the marshalling site for the Closing Ceremony. It is an approx. 10 minute walk to the venue. An accessible transportation system will be available.

Team NB Ceremonial Uniforms

Team NB will be providing each participant with a complete kit of clothing for Opening and Closing Ceremonies, which will include; a track jacket, track pant, a rain jacket, short, long-sleeve, t-shirt, baseball tee, baseball cap and a backpack.

The Team NB ceremonial uniform must be worn as follows:  Opening Ceremonies: Team NB Track Suit (jacket and pants), short-sleeve or long-sleeve shirt, baseball cap and/or head buff  Closing Ceremonies: TBD  Medal Ceremonies: Team NB Track Jacket

Uniform Exchanges

Week 1 participants may exchange uniforms with other provinces/territories only after competition is complete and there is no longer any possibility of team interviews/medal ceremonies. Week 2 participants may exchange their ceremonial clothing only during/after the Closing Ceremonies.

Media Interviews

There are several situations where you could find yourself in front of a microphone: at the finish line, on the podium, at a press conference, or in the common area where several athletes are being interviewed at the same time. It is important to think about the messages you want to send to your audience (your family, friends, supporters, opponents, and potential sponsors). What do you want them to remember after the interview is over, and how do you want them see you as an athlete and as a person?

One of the most important things to remember when doing an interview is to try to appear calm, open, and confident. While certain gestures can make you appear nervous or disinterested, there are many others that can help project a positive attitude.  Lean forward in your seat to show your enthusiasm for what you are doing.  Keep your legs relaxed and uncrossed to appear more open.  Use open-palm hand gestures naturally to show your sincerity.  Always remember to maintain eye contact and smile! Studies show that people can usually tell whether the person on the other end of the phone is smiling or not by the sound of their voice.  Do not fidget or sway from side to side. If you’re standing, put one foot slightly in front of the other to avoid swaying.

If you are not comfortable doing the interview, please tell your coach and work with the Team NB Communication Lead.

Social Media

You are strongly encouraged to share your Games experiences on social media. However, always be savvy when using Facebook, Twitter, Instagram, Snapchat, etc. Stop and think before publishing messages and photos. Ask yourself if the information you are sharing is something that could possibly be used against you, your team, or your sports organization.

The information you publish can be open to interpretation, depending on the context and situation. It also comes with the same responsibilities as your offline behaviour and your conduct when you are not competing.

Remember that you are representatives and ambassadors for New Brunswick and your Provincial Sport Organizations and Clubs.
