Sundridge with Parish Council Minutes of Full Council Meeting Monday 18 May 2020, 7.00 pm Remote meeting via Zoom

Present: Councillors Allgood, Baker, Banbrook, Darby, Evans (Chair), Furse, Jones, Miller, Nash, Kempster and Powell Attendance: Amanda Barlow (Clerk) and 2 members of the public

1. To receive apologies and reasons for absence. None. 2. To receive declarations of personal, prejudicial and disclosable pecuniary interests on items on the agenda and updates to members’ register of interests. Cllr Darby declared in Agenda Item 7.3 as he is a member of the Social Club. 3. To approve as a correct record the Minutes (enclosed) of the Parish Council meeting held on 16 March 2020 The minutes were signed as a true and accurate record. 4. To take Matters arising from the Minutes where these are not covered under the subject headings below None. 5. A Public Open Session. Members of the public will be welcome to address the Parish Council with any local concerns they have. Please note this item will be limited in time at the discretion of the Chairman. Mr Cook congratulated those who helped the vulnerable during pandemic and thanked the Council for painting the bollards in Sundridge. Mrs Paton spoke about adopting a BT kiosk as there one outside the Cock Inn which is listed. She had canvassed local opinion and checked that it has no ringtone. Members asked the Clerk to check that the defibrillators are no the national register. (Action: Clerk) Members agreed to take Agenda Item 7.5 at this point. 7. Items for decision and allocation of resources if necessary. 7.5 To discuss and agree, if appropriate, next actions with regard to BT Adopt a Kiosk Members agreed to investigate further into adopting a BT Kiosk and if the paperwork was satisfactory Members agreed to adopt the BT Kiosk at Ide Hill. (Action: Clerk) 6. To consider, and approve if appropriate, which agenda items are sufficiently confidential as to warrant exclusion of members of the press and public under the provisions of The Public Bodies (Admission to Meetings) Act 1960 Members agreed to discuss item 7.3 to exclusion to the press and public. 7. Items for decision and allocation of resources if necessary. 7.1 To agree final budget for 2019/20 Members resolved to adopt the final budget for 2019/2020. Members resolved to transfer £9,612.16 from the Sundridge village hall account and £8,438.83 from the Stubbs Wood account. Action: Clerk 7.2 To discuss and agree, if appropriate, next actions with regard to the public conveniences at Ide Hill Members agreed in the majority to postpone the partial closure to 30 September 2020 due to the issues with appointing cleaners and Covid19 legislation. 7.4 To discuss and agree, if appropriate, the next actions with regard to annual grants to Ide Hill Village Hall Trust and and PCC Members resolved to award a retrospective grant to Ide Hill Village Hall Trust for the year 2017/18 for £1,290. Members discussed an inflationary grant for the Ide Hill Village Hall Trust and suggested the trustees made an approach to the Council with regard to a grant. Members resolved to award a grant to Sundridge with Ide Hill and Toys Hill PCC for £1,965. (Action: Clerk) 7.6 To agree, if appropriate, the subscriptions to NALC and KALC Members resolved to agree the subscriptions to NALC and KALC. (Action: Clerk). 7.7 To agree, if appropriate, the transfer of the Parish bank account to HSBC to access internet banking Members resolved to move the main Parish bank account to HSBC bank for internet banking. 7.8 To approve/note items payable and paid Members resolved to agree the items payable and paid as at Appendix A.

Date of next meeting Monday 15 June 2020 (to be held remotely via Zoom) Members agreed to take the confidential at the end of the meeting so members of the public could leave the meeting. 7.3 To discuss and agree, if appropriate, next actions with regard to the Sundridge and Social Club Members agreed to split the cost of the repairs to the fence between Brasted and Sundridge with Ide Hill Parish Councils. The Clerk agreed to get a quote to have the work done and discuss it with the Clerk at Brasted Parish Council. Members asked the Clerk to set up a meeting with Brasted Parish Council to discuss next steps with Sundridge and Brasted Social Club.
