Primary Function Manager provides a welcoming presence and steady support for parents, prospective families, students and faculty. He/she creates and maintains a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.

Qualifications ● High School degree; Bachelor’s Degree (Preferred) ● Variety of experience with office software/hardware (printers, faxes, computers, email tools, spreadsheets, databases specifically: BigSIS; Google Suite; Microsoft Office products; Photoshop, InDesign, Pages design software; TADS; Mail Chimp, etc.) ● 2 years experience in office or school environment ● Excellent listening and organizational skills ● Ability to balance and prioritize while working on multiple projects simultaneously ● Creative problem-solving skills and attention to detail ● Excellent writing, editing, and communication skills ● Excellent people skills; ability to work with others calmly and in a friendly, professional manner

Duties and Responsibilities 1. Meeting the Needs of Children ● Coordinate checks for students ● Coordinate school photos and organize yearbook ● Carpool 2. Meeting the Needs of Families ● Maintain school database ● Provide transcripts for graduating/withdrawing students ● Assists in creation/coordination/facilitation of emergency protocols, drills, notifications, etc. ● Create event posters/flyers/brochures/directories/calendars ● Provide Private School student reports to the counties in which the students reside ● Maintain student immunization records and expedite Board of Health audit each year 3. Meeting the Needs of Community ● Maintain school calendar ● Assist in the production of handbooks ● Coordinate Sanctuary usage with church ● Assist/collaborate/coordinate with staff, faculty, parents and students in a variety of areas and needs ● Create online school signups (parent teacher conferences, Holiday Fair, etc.) ● Responsible for emails, newsletters, event invitations, bulletins, etc. 4. Meeting the Needs of Faculty/Staff ● Facilitate mid-year and year-end reports (creating, distributing, coordinating proofers, tracking progress, editing/formatting, emailing, printing, filing) ● Maintain office equipment/coordinate with IT contractor

Last reviewed: 3.3.21 ● Order and organize office supplies and postage ● Organize/Maintain files on school server/Google Drive/OneDrive ● Provide teachers with student information (rosters, medical and emergency info, authorized pickup, etc.) ● Secretarial work for Teacher’s Search Committee and Professional Development Committee ● Attend weekly faculty meetings and administrative staff meetings ● Hold faculty/staff birthday schedule/reminders ● Plan and coordinate administrative procedures and systems and devise ways to streamline processes ● Familiarity with and implementation of all school policies (discipline, clothing, etc.) found in the Faculty and Parent Handbooks. (Handbooks should be reviewed by applicants before employment is accepted to ensure alignment.) ● Assist with various needs for school festivals and fairs

Work Hours ● 40 hours/wk with occasional evening/weekend meeting or workday requirements ● Meetings (Faculty and Administrative, other committee work as needed) ● Other commitments (parent evenings, parent-teacher conferences, school events and outreach)

Salary and Benefits ● Salaried/Exempt ● $30-$40K ● Eligible for benefits
