2. Organisation The Yau Tsim Mong District Council Secretariat has a total of 17 staff, including 1 Senior Executive Officer, 1 Executive Officer I, 1 Official Languages Officer I, 4 Executive Officers II, 1 Clerical Officer, 6 clerical staff, 2 Calligraphists and 1 supporting staff member.

3. Functions/Roles To provide administrative support and perform secretarial duties for the District Council and its Committees/Working Groups, to assist in the examination of applications for and the monitoring of District Council Funds, and to process District Council Members’ applications for accountable allowances and their monthly remuneration arrangements.

4. Services Provided  To provide administrative support for the District Council;  To take minutes of the meetings of the District Council and its Committees/Working Groups, and to follow up on their decisions;  To process applications for District Council Funds and reimbursement claims;  To relay the public views, enquiries or complaints received to the government departments or the District Council Members concerned;  To assist the District Council and its Committees/Working Groups in organising visits etc;  To update the District Council website;  To distribute to District Council Members publications, letters or other materials of government departments/other public bodies; and  To act as a bridge between government departments/other public bodies and the District Council, and to serve as a coordinator where necessary.

5. Meet-the-Public Scheme  A meeting room will be provided at 4/F, Mong Kok Government Offices, 30 Luen Wan Street, Mong Kok, Kowloon.  Appointments with District Council Members will be arranged.  The Executive Officers II and Liaison Officers II of the Yau Tsim Mong District Office will be responsible for assisting the District Council Members in recording residents’ cases. Afterwards, the District Council Secretariat will make follow-up arrangements with the organisations/government departments concerned and inform the residents of the results in due course.  All appointment cases will be registered.  The Secretariat will draw up a duty roster so that each District Council Member will have an equal opportunity to meet with and assist residents.  The Secretariat will categorise all appointment cases by their request/complaint nature and make regular reports to the .
