Set goals and track progress 2 When you help girls set high goals for the cookie season, they learn an important skill for life. Encourage girls to set two types of goals: Something they’d like to try and something they can do to help others. Visit the Volunteer Blog for goal-setting games and crafts.

Have a family party 3 Hold a short family meeting so girls can tell their families about their goals and ask for assistance. At the meeting, provide copies of the new Cookies 101 Family guide to help parents understand the value of the cookie program and the basics of how to get involved. Girls collecting 15 or more boxes of Girl Scout cookies for the Gift of Caring project will receive the Gift of Caring patch. This is per girl, not 15 boxes per troop.

Walk-about Weekend - February 23-25, 2018

The Girl Scout Walkabout is a weekend-long program where you are on the move selling cookies! It’s tempting to head straight to the tried-and-true booth program, but you can complement your booth success with a traveling approach. Some ideas include a cookie caravan at a local event or going door-to-door with a wagon.

Cookie House Party

What a better way to boost your cookie sales! Host a house party with neighbors, friends and family so you can share your BIG goals and ask for BIG purchases. A special patch is available from the Product Programs Office for $1.00.

Cookie Pro Contest

Girl Scouts of the USA's Cookie Pro 2018 Contest is an exciting opportunity to highlight the amazing skills and experiences that girls gain through participating in the Girl Scout Cookie Program. Join us in celebrating the cookie entrepreneur skills of Girl Scouts nationwide— unlock an awesome, limited-edition Cookie Pro 2018 patch while earning a chance to be featured on a Girl Scout Cookie package (not to mention going on an all- expenses-paid trip to !). Gift of Caring Donation Program— Council Gift of Caring (HUGS)- Girl Scouts have a long tradition of making the world a better place through community service. The Council and Troop Gift of Caring programs allow girls to do just that. The Council Gift of Caring HUGS encourages the girls to make a difference in their community. Council will deliver ALL boxes to the men and women serving in the military. No pickup or delivery is needed. Simply collect and deposit $3.50 for each box sold into your troop account. Your troop earns its profit, girls earn their girl rewards, and together we perform an amazing act! The TCC will not need to enter which variety of cookie, simply enter the number of boxes in the HUGS column on the girl order tab in eBudde. Troop Gift of Caring (TGOC) – To participate, girls: choose a charity.

The girls should be able to clearly identify the charity and share why their troop has chosen to donate to it. Participation in the Gift of Caring program is easy and keeping track of which girls in your troop participate is easy, too! There is a TGOC column in eBudde that allows the TCC to indicate the number of GOC boxes donated for each girl. The TCC will not need to enter which variety of cookie, simply enter the number of boxes in the TGOC column on the girl order tab. Troops should use their remaining inventory to fill these GOC orders. PLEASE NOTE: Troops will need to place a cookie cupboard order if they do not have enough extra cookies to fulfill their TGOC cookie order.

These restrictions are for all Gift of Caring cookies Restrictions on the use of the Donated Cookies: 1. The use of Donated Cookies does not allow Recipient to SELL, TRADE, BARTER OR OTH- ERWISE TRANSFER THE DONATED COOKIES FOR MONEY, PROPERTY OR SERVICES FOR THE RECIPIENT NOR CAN DONATED COOKIES BE USED FOR FUNDRAISERS, RAFFLES OR AUCTIONS; OR SOLD TO RETAIL STORES, WEB SITES, FLEA MARKETS OR IN ANY OTHER MANNER. 2. Consider marking the box with a big X to prevent the box from reentering market circulation. It may also help identify the donated goods, prevent fraudulent returns, and prevent resell. 3. Recipients who violates the above provisions may be removed from the Donation program permanently or for a certain amount of time, and/or rescind the donation and demand return of any Donated Cookies remaining in their possession or control so as to avoid them from further disposing of the Donated cookies . 4. Recipient may not ship or distribute the product internationally (exception HUGS) 5. Consider relationships with non-profits that will not be doling our entire cookie boxes but rather using single servings of the product to create meals, such as Meal on wheels. 6. Consider working with smaller non-profits that have a local impact to avoid reselling of product in other jurisdictions. 7. Consider distributing widely your donated cookies to multiple Recipients. COUNCIL PROMOTIONS Wacky Weather Contest Rain, snow, ice, wind...whatever the weather may bring, we want to see a picture of how your troop sold cookies in inclement weather!

Photos will be judged based on the following criteria: • Creativity • Display of troop number • Display of how funds will be used • Proof of wacky weather conditions

The winning troop will receive FREE movie passes! One movie pass per girl and passes for 2-3 adults to cover the safety check point requirements. The maximum value per ticket is $10. How to enter: Email or mail your high-resolution photo along with the day, time and location of booth sale and the troop’s service unit number, troop number and contact information to: [email protected] Deadline is March 6, 2018. All submissions will be posted on Facebook for you to view!

WIN A VARIETY PAK of GIRL SCOUT COOKIES For each purchase of 4 packages (any variety) of Girl Scout cookies purchased at a BOOTH SALE that customer’s name will be entered into a drawing to receive a Variety Pak of Girl Scout Cookies (1 pack contains 1 package of each of the 7 varieties of Girl Scout cookies -$26.00 value). Eligibility is for sales taking place between February 4th and March 4th, 2018. Variety packs will be mailed to the winner’s address in April 2018. There will be 24 names drawn. Two from each region. (Form to be used is on our website) Troops must mail completed forms to: GSMIDTN, Product Programs, 4522 Granny White Pike, Nashville, TN 37204 no later than March 11, 2018. VOLUNTEER RESPONSIBILITIES

It’s a labor of love!

The main job of the cookie volunteer is to: • Be a registered Girl Scout adult volunteer. • Honor and live by the Girl Scout Promise and Law. • Follow all policies and meet all deadlines.

Here’s an overview of your roles and responsibilities: Before the sale • Complete the online VIP eTraining and print off the certificate. • Attend your service unit cookie training. • Sign TCC Appointment Letter. • Set the troop up in eBudde® (the baker’s online order management system).

During the sale • Enter orders from girl order cards and keep eBudde up to date. • Coordinate booth sales (or ask another volunteer to do so). • Arrange cookie pickups from the Cookie Cupboard and briefly store cookies until girls pick them up (or ask another volunteer to do so). • Collect money from those picking up cookies, issue receipts and make frequent bank deposits.

After the sale • Allocate all cookies sold at booth sales to girls. • Fill out rewards order in eBudde. • Help girls deliver donated cookies to your chosen organization (or to the place designated by the council) (or ask another volunteer to do so). • Distribute girl rewards in a timely manner. • Keep troop records for one year. • Celebrate with the girls! HOW GIRLS SELL COOKIES

Selling practices vary from council to council. In our area, girls sell cookies through these channels:

Order taking Girls ask neighbors, friends and family members to place orders for cookies. They write their orders on the paper order card, which is turned in to the cookie volunteer. The volunteer enters these orders in eBudde. Payment is collected when girls deliver cookies a few weeks later.

Booth sales/ direct sales Troops buy cookies and resell them directly to customers, often at booths in high-traffic areas such as groceries, malls or sporting events. Booth sale times and locations are organized by our council and troops can only sell at approved locations.

Cookie Club™ In Cookie Club, girls email customers customizable eCards asking for online orders. Customers place orders online, and the orders are automatically recorded in the girl’s Cookie Club account. It’s a faster, easier way to reach high goals. Go to CookieClub.LittleBrownie.com. How does a girl get into Cookie Club and what does she do once there?

• Once a troop leader has set up her troop, added her girls and given them all passwords, she needs to communicate with the girls that they can log in with their new user name and password and begin. https://cookieclub.littlebrownie.com • Once logged in, select I am a Girl Scout from the drop down box. • Girls must first complete the safety certification before entering into Cookie Club. • Once in have several tabs to look at as well as enter her information in.

. The Home tab is her dashboard. It will show her progress to goal, her personal learning goal, her service goal, how many emails she has sent and how many new orders she has. . The Goal tab is where she sets her package goal, her personal learning goal and her service goal. . The My Contacts tab is where she adds or imports her contacts into Cookie Club. She can al- so decide the best form of contact is for delivery. . The Ask Friends and Family tab is where the girls can choose a contact and send them an email asking for a cookie promise. She can also choose to follow up with Friends and Family if they have not submitted a cookie promise. . The My Orders tab is where the girls can view their orders in different forms. . Online Orders—promises to buy cookies . Traditional Orders—girls can put their order card orders in Cookie Club and track their progress towards reaching their goals . Recap—shows all orders/promises

Please remember that Cookie Club is for cookie promises. These are promises to buy cookies. Girls still need to deliver cookies and collect payment. A parent will need to total all of the Cookie Club cookie promises during the order card period and submit the order to the Troop Cookie manager. If promises are made after the initial order is submitted to the Troop Cookie manager, parents will need to request additional cookies. COOKIE PROCEEDS

We have the cookies customers look forward to every year! Girl Scout Cookies are $3.50 per box for traditional varieties. Toffee-Tastic and S’mores are $5.00 per box.

Troop proceeds and reward opportunities for girls: Troops will earn $0.55 cents per box sold.

Troops may earn additional proceeds: . LEVEL 1: $0.05 per box additional proceeds, if the required amount of $1.75 per box ordered on the initial order is pulled from the troop checking account on February 15, 2018 . LEVEL 2: $0.05 per box additional proceeds, if the troop’s per girl average is 175 boxes and the troop has a minimum of 5 girls selling* and requirements for LEVEL 1 have been met. . LEVEL 3: $0.03 per box additional proceeds in shop credit will be given if the troop’s per girl average is 228 boxes, the troop has a minimum of 5 girls selling* and requirements for Levels 1 and 2 have been met.

**All troops must have a minimum 5 girls selling for Daisy, Brownie, Junior and Cadette troops. Senior and Ambassador troops need a minimum of 3 girls selling.

Additional proceeds or shop credit will NOT be awarded to any troop with outstanding money owed to Girl Scouts of Middle Tennessee as of March 12, 2018. COOKIE PROCEEDS

Service Unit Cookie Proceeds Opportunities $$$

LEVEL 1) earn $.005 (one half cent) per box sold if your reserved and/or unreserved booth sale sites were submitted to the Product Programs Department by December 30 in the format provided by the department . All service unit cookie cupboards must be empty with cookies properly allocated to troops.

LEVEL 2) earn an additional $.005 (one half cent) per box sold if Level 1 is met and a service unit wide PGA (per girl average) goal of 175 boxes is achieved.

LEVEL 3) If the service unit qualifies for Level 1 & Level 2, then another $.005 (one half cent) per box sold can be earned if the challenge of a service unit wide PGA of 204 boxes is achieved.

***If the COUNCIL’s total combined fall product sales equal $640,000 or more, then each service unit that has a minimum of 10 girls selling with a PGA of $300.00 OR 5 troops selling that has met their service unit PGA challenge of $300.00 per girl, then the service unit is eligible to receive $0.005 (one half cent) per box of Girl Scout cookies sold in the 2018 sale. This will be distributed to eligible service units beginning in May 2018.

PGA = per girl average. PER BOX SOLD = boxes paid for. The total box amount used to calculate this bonus will be adjusted/reduced by cookie boxes unpaid by troops or the service unit.

For statistical purposes we do not delete inactive troops and/or girls who have left the troop. We will however transfer girls from troop to troop. The Per Girl Average (PGA) is based on the number of girls selling NOT the number of girls registered or active in the troop.

Private Benefit Guidance from GSUSA 1. All rewards earned through participation in the Cookie Program must fund Girl Scout program experiences, 2. Rewards may not be based on a dollar per dollar calculation. 3. Councils and/or Girl Scout Troops may not maintain cash based accounts for individual girls (in a troop or as individual registered member). 4. Girls are eligible to receive girl rewards and patches based on their boxes sold. GIRL REWARDS

Girls can earn a wide variety of rewards for their achievements in the Girl Scout Cookie Program®:

• Official Girl Scout badges.

• Symbols of accomplishment in the form of patches and other reward items promoted on the order card.

The Girl Scout Cookie Activity Pin

All girls who participate in the Girl Scout Cookie Program are eligible to earn the annual Cookie Activity Pin, which recognizes the “5 Skills” learned and practiced during the sale. Girls can collect a different color of pin every year. Get details at GirlScouts.org.

THE BUSINESS OF COOKIES

Here’s how our council handles...

1. Ordering – Troops must have their initial cookie order entered and submitted at https:// ebudde.littlebrownie.com by 11:00 pm on January 17

Council recommends that troops having one or more booth sales scheduled during the first week of sales, order at least the following additional cookies. These can also be used to fulfill extra orders that girls have taken after turning in their order card to you and the time they pick up their pre-orders. 2. Delivery - “Count & Go” For Troops in Davidson, Williamson, Rutherford, Wilson Counties—February 2-3. Cookie pick up location will be at Nashville Fairgrounds. Four pick up lines will be available for troops to drive through. Specific directions will be sent out through the eBudde email blast the week of January 29, 2018.

. You will pick your time slot in eBudde. We will notify you through an eBudde email blast when the schedule is open for selecting a time. . Print a copy of your troop’s cookie order and bring for verification purposes. . In case of severe inclement weather, you will be contacted by the Product Programs Department with changes to the schedule.

ALL other counties/service units will have cookies delivered on Saturday, February 3, 2018. Your service unit cookie coordinator will notify you of the place, time and pick-up instructions.

3. Booth sales - Council Sponsored Booth Sites (Sam’s Clubs-Davidson County, Lebanon Outlet Mall, Rivergate Mall, Cool Springs Mall, JoAnn Fabrics) are set up by council. These are typically two hours per time slot set up location is determined by the merchant. These booths are available for sign up through the booth scheduling system in eBudde. Check calendar for dates to sign-up.

Service Unit Booth Sites – These locations are solicited by the booth sale coordinator for your service unit. Counties with multiple service units are encouraged to share the booth sale locations with other troops in your area.

Kroger Stores: The Council will contact corporate for permission to sell cookies in front of their stores. No one is to contact the managers of the stores. They do not require a schedule. All communication with Kroger’s is to be handled by council.

Troops DO NOT SOLICIT locations that are listed on the eBudde booth scheduler or that are being contacted by your service unit. Troops having a personal relationship with a small business may not set up a booth site without the permission of the service unit cookie coordinator. Troops may not go out of their service unit jurisdiction without the permission of their service unit cookie coordinator. Troops violating these rules may result in troop forfeiting any additional troop cookie proceeds. Girl/Adult Requirements at every booth sale site — . A minimum of two adults and two girls are required at all booth sale sites. . Recommended (not required) that at least one of the adults is a registered member of Girl Scouts . A maximum of four girls at any one time plus two adults . Girls need to be present at all cookie booth sales! No exceptions!!

Only Individual Registered Girls may do a booth sale with one girl and two adults present.

4. What to do with returns/leftovers – Returns – There is a NO return policy on all cookies.

Damaged – If the box is damaged** or a customer is dissatisfied, the box can be exchanged at the Product Programs office for a non-damaged box of the same variety.

5. Money handling – Accepting Credit Cards at Booth Sales – Troops may take credit card payments at booth sales. It is the troop’s responsibility to make these . PLEASE NOTE: As council has no agreement with a credit card agency for accepting payments for cookies, troops are individually responsible for all fees and charges associated with the credit card processors. Fees may not be passed on to customers by increasing the per box price of cookies. The price of cookies must not exceed $3.50 per box or $5.00 per box for S’mores and Toffee-tastic.

Check Acceptance Policy – For your troop’s safety, we recommend that you do not accept checks from girl’s customers. However, if the troop allows, we suggest that you require parents to deposit those customer checks into their personal account and write their own personal check to the troop or give you a money order, cashier’s check or cash.

Paying Council for Troop Cookies -

All product program monies (cookie payments) will be collected from troops via ACH (Automatic Clearing House) debit. Troop bank account information submitted will be used by Girl Scouts of Middle Tennessee (GSMT) to electronically debit troop cookie money due to council on February 15 and March 12, 2018.

∗ Submit troop ACH bank information to council no later than December 15. ∗ Troops must notify the Product Programs Department of any changes to their bank information during and after the sale. ∗ Troops will deposit all cookie funds into their troop bank account promptly and frequently. ∗ Troop bank account must be a Girl Scout troop account. ∗ An excel spreadsheet will be emailed one week in advance to all troops showing the amount that will be debited from the troop checking account for cookie payment due. ∗ Troop money must be available in the troop bank account (checks cleared) by Tuesday, February 15. ∗ GSMT will debit troop bank account $1.75 per box ordered on initial order on February 15. ∗ GSMT will debit troop bank account the balance remaining due for all cookies received on March 12. ∗ Troops not having sufficient funds in account on February 15 and/or March 12 forfeits any additional troop proceeds the troop may have earned. ∗ Troop authorizes GSMT to repeat any debit that fails for any reason. ∗ Bank NSF charges ($36) will be added to the troop debt for each ACH rejection. GSMT takes misuse of troop/group funds extremely serious. If personal use of troop/group monies occurs, GSMT will begin collection procedures, taking legal action as necessary. Volunteers who misuse funds for which they are responsible will be released from all positions with GSMT.

Here’s how the Cookie Cupboard operates

Below are the basics you’ll need to know for every cookie cupboard. v All Regional Cupboards open February 8th, except Camp Holloway, Council and M&W Warehouse. v Regional Cupboards and M&W Warehouse require scheduled appointments for pick-up. v Council Cupboard does not require appointments, but rather a 24 hour pending order. v Regional cupboards will begin closing February 23rd. v M&W Warehouse and Council Cupboard will remain open until March 2nd. v Varieties may be limited the final week of the program. v Cookies are guaranteed on Troop Initial Order ONLY. v It is highly recommended that troops order enough cookies for two booth sales on their initial order.

Things you need to know about cookie cupboards ♦ Volunteers and Staff run the Regional Cookie Cupboards. They do their best to arrange a convenient Cupboard schedule around their work and life schedules. Please be respectful of their time. ♦ Service units go to M&W to replenish their service unit cupboards.

♦ At the Cupboards troops will count, verify and load their cookies.

♦ Keep the troop copy of the Cupboard transaction for the records. The transaction will be posted in eBudde and the additional cookies will be charged to the troop. Keep a copy of the transaction record in the event of any discrepancies.

♦ Cupboards cannot fill initial orders that troops failed to put in eBudde. If a troop needs to fill an initial troop/girl order they must come to M&W warehouse.

♦ Cupboard Manager is the Cookie (Cupboard) Boss. Each Cupboard Manager has the authority to limit the number of cases a troop can pick up and the manner in which cookies are distributed at their Cupboard based on supply and demand. PICKING UP COOKIES

Placing a Pending Order

Troops must place pending orders for additional cases of cookies directly with the Cupboard of their choice through the eBudde system. No walk-ins permitted at Council Cupboard and/or M&W warehouse.

From the troop level, click on the TRANSACTIONS tab in eBudde. Click “Add a Transaction” ♦ Select a Cupboard from the drop-down menu on the far right. Cupboards are listed by city. Click “Map It” to get the up-to-date address, hours of operation, and specific contact information. ♦ Enter the number of packages and varieties of cookies you would like to request. ♦ Enter the date and time you wish to pick up the cookies. ♦ Schedule your pickup at M&W Warehouse through the booth site scheduler on eBudde System for location and pick-up time. Regional cupboard pick ups are by appointment only. ♦ Enter the contact information for the troop representative picking up your cookies (name, phone number, email address) ♦ Click “OK” and “Save” to save your order. The Cupboard will have verification paperwork for acceptance of cookies. ♦ The Cupboard will be notified of the pending order and will contact you for a pick up time and in the event of an issue.

Pending orders must be submitted to Cupboards at M&W warehouse and Council at least 24 hours in advance of the time you hope to pick up the order. W e will have the opportunity to date each pending order as to the exact time it was entered into the system. No orders can be filled the same day it is entered into the system. Orders cannot be increased at pick-up. Orders not picked up within 36 hours of placement cannot be guaranteed.

Regional Cupboards are by appointment only. We suggest that you contact the cupboard manager several days in advance of when you need cookies.

Give away bite-sized samples Let customers have a taste so they can try something different—they may even find a new favorite. Keep the variety’s nutrition label in full view in case a customer has food sensitivities.

Share goals with customers They love to hear how girls are making a difference, so encourage girls to make posters, banners or t-shirts to get the word out.

Give away recipes Encourage customers to try something new by offering a recipe card with every purchase of multiple boxes. SAFETY TIPS

Be sure girls understand and follow these safety rules: • Show you’re a Girl Scout—Wear the Girl Scout membership pin and/or Girl Scout clothing to identify yourself as a Girl Scout. • Buddy up—Always use the buddy system. It’s not just safe, it’s more fun. • Be streetwise—Become familiar with the areas and neighborhoods where you will be selling Girl Scout Cookies®. • Partner with adults—If you are a Girl Scout Daisy, Brownie, or Junior you must be accompanied by an adult when taking orders or selling/delivering product. If you are a Girl Scout Cadette, Senior, or Ambassador you must “buddy up” when selling door-to-door. Adults must be present at all times during cookie booth sales. • Plan ahead—Always have a plan for safeguarding money. Avoid walking around with large amounts of it or keeping it at home or school. Give proceeds to supervising adults who should deposit it as directed by your Girl Scout council as soon as possible. • Do not enter—Never enter the home or vehicle of a person when you are selling or making deliveries. Avoid selling to people in vehicles or going into alleys. • Sell in the daytime—Sell only during daylight hours, unless accompanied by an adult. • Protect privacy—Girls’ names, addresses and email addresses should never be given out to customers. Use a group contact number or address overseen by an adult for customers to request information, reorder or give comments. Protect customer privacy by not sharing their information except for the product sale. Girls should never take credit card numbers. • Be safe on the road—Always follow safe pedestrian practices, especially when crossing at intersections or walking along roadways. Individual Registered Girl (IRG) members of Girl Scouts in our council are eligible to participate in our 2018 cookie program. All individual registered girls will have a troop number beginning with 4000. Each service unit is assigned this particular number for all individual registered girls/adults within their area.

There are three ways individual registered girls can participate: o Taking pre-orders from customers using the order card o Contacting customers and taking “promises” (orders) by signing up with Cookie Club. (see parent guide) o Booth sales. Booth sales must be arranged through the service unit cookie coordinator. IRG’s are permitted to do a booth sale alone as long as two adults remain at the site with the IRG at all times.

Service unit cookie coordinators are to submit names, service unit/troop number, contact information and a copy of the parent permission form of individual registered girls selling within their service unit to Tracy Tudder in the Product Programs Department before the sale begins.

Service unit coordinators will be responsible for getting IRG’s the following forms: an order card, Family Guide, Goal-Getter card, a money collection envelope, and most importantly the Girl Permission and Parent Financial Responsibility Agreement Form.

o Individual Registered Girls will follow all dates and procedures as troops. o Orders will be turned into the service unit cookie coordinator in her area for processing. Must order in full cases. o All additional orders must be picked up in full cases only. o All money collected by individual registered girls ($3.50/$5.00 per box) is given to the service unit cookie coordinator to be deposited into the service unit bank account.

IRG’s must submit their initial cookie order and signed girl permission and parent financial responsibility agreement form to the service unit cookie coordinator at the time of submitting their cookie orders. We must have the signed permission form or we cannot accept the cookie orders. We strongly suggest that girls collect money from customers when orders are placed. Money should then be turned into the service unit cookie coordinator for deposit into the service unit checking account.

Using an ACH (Automatic Clearing House) debit, council will pull amount due for their entire cookie balance on March 12, 2018 from the service unit checking account. INDIVIDUAL REGISTERED GIRLS

Private Benefit Guidance from GSUSA 1. All rewards earned through participation in the Cookie Program must fund Girl Scout program experiences, i.e. summer residential camp, horseback riding lessons at Camp Sycamore, service unit day camps, service unit events, annual membership dues, council programs, and or shop items. 2. Rewards may not be based on a dollar per dollar calculation, but instead must be based on bands or ranges. 3. Councils may not maintain cash based accounts for individual girls (in a troop or as individual registered member). 4. Girls are eligible to receive girl rewards and patches based on their boxes sold.

An individual registered girl who participates in the Cookie Program will earn Program Credits beginning at a minimum of 24 packages. For every additional 12 packages (one case) of cookies sold, a girl will earn an additional five Program Credits. Credits will be kept by the council in an account and girls have the opportunity to apply for credits in increments of five by submitting a request form to [email protected] after the service unit has been audited at the conclusion of the sale—mid to late April. All Program Credits will be valid for two years from the year of issue.

Troop Request for Collection Assistance

If you have a parent that is delinquent in paying, you are required to complete the request for collection assistance form found online or make a copy of the form on the next page. http://gsmidtn.org/cookie-resources-and-forms/

You must attach the signed parent permission slip to the completed form and be sure to include any signed receipts showing proof of product pick up. Also include any correspondence or documentation of your collection attempts. Turn in the completed form and parent permission slip along with your troop’s final deposit. DO NOT pay a parents’ past due amount with troop proceeds/funds. This usually does more harm than good to your troop funds. Note: If Collection Assistance Form with permission slip is not turned in with final report envelope, the troop cookie coordinator will be held accountable for the delinquent funds. Even if the delinquent parent promises you they will give you the money the day after it is due, turn in a Request for Collection Assistance. It’s better to be safe than sorry.

Troops/Parents that are delinquent in paying their cookie sale balance will be dealt with by Girl Scouts of Middle Tennessee Product Programs Department. One collection letter will be sent to the delinquent troop coordinator or parent before we take legal action. Anyone who remains delinquent will be unable to hold a troop or service unit leadership position as a member of Girl Scouts of Middle Tennessee.

What to do if you had a delinquent parent in the past?

If you had a parent that was turned in as a past due parent for a prior product sale, follow these guidelines to ensure the girl has a successful cookie sale program experience. Participation in the sale can only be through cookie booth sales. No door-to-door or direct solicitation of orders is permitted. Parents are still required to sign a parent permission slip before she can participate. Parents are to comply with all deadlines as set forth by the troop leader and troop cookie coordinator regarding submitting finances and paperwork.

Remember – you must have BOTH the troop request for collection assistance form, the SIGNED parent permission slip, and all receipts included with your final report.
