Job Description

1. Job Purpose

• To administer the day to day business and operations of Ulster Camogie Council

• To respond to queries, advising members of Policies, Procedures and programmes as outlined by The Official Guide, UCC and Sport NI.

• To facilitate correspond, communicate and report regularly to UC Chairperson, UC Treasurer and or designated officer.

• To facilitate correspondence in adherence with National Official Guidelines of the Camogie Association and its timelines.

2. MAIN AREAS OF RESPONSIBILITY

Administration and Communication

• Service the Ulster Camogie Council’s committees and sub-committees.

• Attend all meetings as required by the Ulster Camogie Council in an administrative capacity.

• Liaise decisions of the Ulster Camogie Council to all relevant bodies.

• Manage the day to day operational affairs for the Ulster Camogie Council and report to Ulster Chairperson.

• Record and circulate minutes for Provincial Council, Executive, Sub committees and Management meetings.

• With Ulster Chairperson compile report to the UC Executive and Sport NI to monitor and evaluate the post.

• Correspond with units of the Camogie Association, Sport NI and with private, public and commercial organisations as agreed by Ulster Camogie Council. • Maintain and update communications systems for the Ulster Camogie Council using modern information technology.

• Prepare the paperwork for all meetings as directed.

• Provide administration support for the Coaching and Games Development Programmes within Ulster.

• Provide regular information updates to units of the Association within the and prepare materials for inclusion on the Provincial Camogie web site.

• To monitor and review administrative structures, procedures and systems and when necessary provide legislative updates to compliment the work of Ulster Camogie.

• Receive, open, sort and distribute incoming and internal mail to appropriate Provincial Council members.

• Deal with enquiries, providing information to assist all stakeholders and the general public.

• In association with Ulster GAA provide update information for databases and information relevant to the Provincial Council’s business.

• To plan and deliver event management functions of the Ulster Camogie Council in relation to Games, Functions, Conventions, Conferences, Workshops, Training days and Special Events as directed by Ard C, UCC and SportNI

• To assist the secretary and Provincial Council in the distribution of ticket allocations for designated games.

• Prepare and present sponsorships proposals to commercial, public and private organisations on behalf of Ulster Camogie Council.

Strategy

• Co-ordinate and monitor the strategy for Ulster Camogie and develop an Annual Business Plan as Directed by Ulster Camogie Executive.

• Present an Annual Work plan for approval by the Ulster Camogie Executive and Sport NI

• Assist with the formulation, development and co-ordination of policies and plans as agreed with the Ulster Camogie Executive.

• To work in partnership with and report regularly on the implementation of the strategy to the Ulster Camogie Council and to adhere to the Terms & Conditions of Award by Sport NI

• To maintain a sound working relationships with the wider GAA family as part of the Integration Policies and Plans and with other key stakeholders. Human Resources

• To implement the Human Resource policies and procedures for the Ulster Camogie Council and to update as and when required and to brief Council and Executive members of these.

• To manage day to day issues around staffing (full or part-time). To monitor tutoring and volunteer expenses within the Ulster Camogie Council’s policy and procedural guidelines.

• Organise and monitor the annual training programme in consultation with the Camogie Association, Provincial Council and Board officers in areas of governance, administration, coaching, club and volunteer development.

Financial Management in Association with UC Treasurer

• Present an annual budget for income and expenditure to relevant bodies.

• Present bi-annual financial reports to Ulster Camogie Council and Sport NI

• To make claim submissions to Sport NI as outlined in Terms and Conditions of Award

• Maintain books and records of the Provincial Council for presentation to statutory and legal bodies

• Co-ordinate a financial plan to maximise revenue for the Provincial Council.

• Present invoices and expenses claims for approval & signature by the Treasurer and other designated officer(s)

• Prepare reports and make submissions against the Performance Indicators as outlined by Sport on request.
