SUMMARY The or COO supports the core values of the CSU-Pueblo Foundation and assures quality services to students, faculty, staff, parents, outside and communities. The COO oversees all operational, land holdings and administrative functions of the Foundation. The COO determines how best to manage workflow so that the individual offices form a cohesive unit that can be successful, effective and cost efficient.

REPORTING STRUCTURE The COO reports to the President/CEO of the CSU-Pueblo Foundation. He/she manages three direct reports (annual fund/marketing ; stewardship/prospect researcher; and scholarships manager) and two indirect report (director of finance/budget and director of gift processing/data). He/she interfaces with faculty, campus departments and external University constituencies, including donors. He/she works closely with all advancement staff.

The vision for the Chief Operations Officer is that he/she is tasked with managing the Foundation’s operations, such as: Scholarship Administration, Communications/Marketing, Stewardship Events, Board Meeting Coordinator, Real Estate , Office Administration and Reporting. This allows the President/CEO to focus his/her attention on fundraising-related efforts, such as: Community Outreach, Donor Solicitation, Board Management & Development, University Relationship Management, and Fundraising Events.

Job Duties

1) Manage the operation of the CSU-Pueblo Foundation – 25 percent  Maintain oversight and monitor functioning of the offices of the Private Scholarships Administrator, Communications & Stewardship Director, Event Coordinator & Work Study Students.  Understand and assist with the functioning of the Director of Budget and Finance and Director of Data Analysis and Gift Processing.  Identify process improvements within these stewardship functions and oversee their implementation. Leverage technology to improve office performance / efficiency.  Serve as a single source of information regarding the Foundation’s operations for the President/CEO and the Board of Trustees.  Serve as Board liaison and responsible for planning board and committee meetings. Plan and execute special-purpose work sessions and retreats as needed. 2) Manage real estate assets for the benefit of CSU-Pueblo Foundation – 25 percent  Complete all due diligence activities as required for real estate gift acceptance.  Coordinates and oversees all contractors, brokers and tenants with the Foundations Land Holdings properties  Serve as land manager, facility manager and land lord  Communicate with the University regarding real estate gift acceptance.  Within guidelines established by the Land Holdings Management, Inc. , manage all real estate held within CSU-Pueblo Foundation and its disregarded entities so as to maximize return on investment.  Manage gift disposition processes, including communications with real estate agents, as needed.  Interface with the Land Holdings Board of Directors, to include all meeting preparation, preparation of the minutes, and other communications as necessary. 3) Complete special projects as directed by the President/CEO – 25 percent  Fundraising Support o Create and publicize policies and procedures for fundraising by University units, departments, and colleges. o Create and publicize policies and procedures for fundraising by Student Organizations. Meet with student leaders to review/approve all fundraising plans and solicitation requests. o Oversee annual fund and direct mail campaign.  University Relations o Interface with the University regarding data needs. Maintain the Foundation’s designation as a “school official” for FERPA purposes. o Meet with Deans annually to budget their long term funds. o Lead or participate in ad-hoc cross-functional task forces as necessary.  Donor Stewardship o Lead the production and mailing of annual Stewardship Reports for all single-donor funds. o Research fund histories to ensure funds are being spent according to donor intent. o Communicate with institutional donors such as the Denver Foundation and prepare special reports as requested. 4) Oversee all planning and execution of stewardship-related special events – 15 percent  President’s Club Appreciation event  Friends and Scholars event  President’s Gala  Kane Scholars Reception  Foundation fund raising events 5) Manage functions – 10 percent  For new employees: prepare all forms and documents, and ensure completion of all required activities.  For terminating employees: prepare all forms and documents, and ensure completion of all required activities.  Manage benefits enrollment and changes.  Provide orientation for new staff members.  Provide annual evaluations for all direct reports.  As directed by the President/CEO, prepare for and facilitate portions of staff meetings and staff retreats.
