Dear substitute teacher,

When our regular teachers are absent, as a substitute, you play an important part in our educational program. We depend on people like you to come in on short notice, take responsibility for the students and the instructional program until the regular teacher returns.

You may be called on to serve outside your field or area of preparation, and this can make your job difficult. We hope the explanation of procedures, guidelines and ideas presented in this handbook will help make your experience a good one for both you and the students.

Each year, the school district puts together a complete student and staff directory. Copies are available at either school office or the Superintendent's Office in October of each school year. BEGINNING AND END OF SCHOOL DAY

RCGS opens to breakfast students at 7:45 am and all other students at 8:00 am with classes beginning at 8:05 am. Teachers will report for duty at 7:35 am and will be released at 3:40 pm.

RCHS opens to students at 7:45 am with classes beginning at 8:15 am. Teachers will report for duty at 7:45 am and will be released at 4:00 pm.

Substitute teachers are expected to follow this schedule. Complete building schedules are located in the back of this handbook.

GENERAL INFORMATION

All persons applying for substitute teaching positions must first furnish the Superintendent's office with the following items:

 Copy of Current Kansas Teaching License or Emergency Substitute License  Proper Identification (Valid Driver’s License and Social Security Card)

The following forms in the application packet must be completed prior to employment:

 USD 378 Employment Application  Background Check Authorization Form  W-4, K-4, and Automatic Deposit Form  Employment Eligibility Verification (I-9)  Oath or Affirmation Form  Certificate for TB Test results  Bloodborne Pathogens  Acceptable use of Technology  Emergency Medical Consent Form

If, as a substitute for USD 378, you wish to participate in our Special Education programs as a substitute teacher, a separate set of payroll paperwork must be completed for Twin Lakes Education Cooperative, USD 379, Clay Center please contact Mr. Steve Joonas at 785-632-3178.

You should find a Substitute Teacher folder in the room when you begin your duty. If you do not find this folder, contact the office for assistance. NOTIFICATION OF TEACHING ASSIGNMENT The names of all persons qualified to substitute teach will be entered into AESOP, an online automated substitute teacher placement system implemented by USD 378 in 2007. It is an interactive program between teacher and substitute, with principal approval. It is the responsibility of the substitute teacher to notify the Supt.'s office of any change in address, phone or availability. No substitute teacher will be placed on the list unless the above mentioned items are on file. The teacher will use AES O P to create an absence. The absence is emailed to the principal for approval. It is the teacher’s responsibility to contact the substitute to make sure they can fill the absence. All substitute teachers will be given additional AESOP training materials, a username and PIN.

BLOOD BORNE PATHOGENS A receipt for instructional materials in regard to Blood Borne Pathogens must be on file in the superintendent's office.

SCHOOL LUNCHES We invite you to participate in our school lunch program. Please inform the school secretary if you would like to eat lunch and pay for your meal, when you report to the office in the morning.

REPORTING FOR DUTY The substitute teacher will report to the High School or Grade School office upon arrival at the building. You will be given any keys that are required and shown to the room you will be teaching in.

PLANNING PERIOD All teachers on staff have a scheduled planning period. Planning time should be used for planning, a conference with the principal or pupils if necessary, and for a break if you wish. Substitute teachers may leave the building only with permission from the administrator.

RELEASE OF STUDENTS It is the policy of this district to release students only to their parents, guardian or their designated representatives, and only through the principal's office. Any notes or requests received in the classroom should be forwarded to the office. A student should remain in the classroom until a request is made by the principal or his/her designated representative, to send the student to the office for release.

During the day, and especially by 2:45 p.m., the office will notify the substitute of any changes in transportation for students. If there is any question, the substitute teacher should verify the change with the office before releasing students.

ATTIRE There is no dress code for substitutes, but it is recommended that substitutes dress professionally. RESPONSIBILITIES OF THE SUBSTITUTE TEACHER

1. Follow the classroom teacher's lesson plans and program as closely as possible.

2. Accept all classroom and extra duties assigned to the classroom teacher for whom you are substituting.

3. Report accidents and/or illness to the principal's office.

4. Be firm, professional and fair in discipline. Try to utilize the classroom teacher's discipline plan when possible. Should you have difficulty with a student, seek the assistance of the principal or other administrative personnel in your building.

5. Introduce yourself to neighboring classroom teachers.

6. Avoid changing the seating arrangement or any part of the room organization, except for temporary grouping of pupils for instructional or committee work.

7. Maintain a standard of ethics and avoid comparison of teacher-pupil learning situations, either within the building or between buildings.

8. Check the class roll. Follow building procedures for reporting and recording absences. Consult the principal upon arrival for instruction.

9. Become familiar with the building's fire drill and tornado drill alert instructions. These instructions are located in the back of this handbook.

10. Make an effort to check as many papers as possible during your day in the classroom. Essay work and tests should be left for the regular classroom teacher to grade.

11. End-of-Day or End-of-Service Procedure: a) Leave summary of work completed and comments about the class on the desk for the classroom teacher. b) Materials and equipment should be put back in the proper place, windows closed and doors locked. c) Report to the principal regarding the next day and inform him/her of any problems you encountered during the day. RESPONSIBILITIES OF THE PRINCIPAL

1. Introduce the new substitute to a nearby classroom teacher, who can help when needed.

2. Endeavor to create an attitude of cooperativeness for substitute teachers throughout the student body.

3. Visit the substitute teacher's room at intervals during the day.

4. Be available to make decisions regarding the release of children from the classroom.

5. Make sure the substitute has assistance with the copier, and other office equipment.

RESPONSIBILITIES OF THE REGULAR CLASSROOM TEACHER

1. If the regular classroom teacher is absent, they are to be prepared to have a substitute and should have the following materials in or on the desk in the classroom, or in the principal's office:

a) Detailed daily lesson plans b) Daily and weekly time schedule of classes c) List of pupil's names and seating chart d) List of supervisory responsibilities (including bus duty) e) Fire drill and other emergency procedures f) Important or unusual information about any student (physical problems, special education services, etc.) g) Lunch and/or hall duty assignments

2. Have copies of textbooks, manuals and workbooks being used on desk in classroom.

3. Have emergency lesson plans available.

4. The regular classroom teacher should place this information in a substitute teacher folder at the beginning of the year. HELPFUL HINTS FOR THE SUBSTITUTE TEACHER

 USE COMMON SENSE AT ALL TIMES This is the best guideline of all. All of the rules, regulations and directives in the world are no substitute for common sense. Ask for help if you are uncertain.  BE PATIENT It is natural for a class to resent the substitute. You represent a change, and change produces insecurity. Patience, understanding, love and respect will banish distrust.  EXPECT GOOD BEHAVIOR Students tend to respond to whatever we expect of them. A positive approach is worth a hundred "Don't Do This" rules.  BE FAIR AND CONSISTENT Your success in classroom control will depend, to a great extent, on your degree of fairness and consistent treatment of all students. Students must know what to expect from you and what you expect in return. Uncertainty fosters misbehavior.  RECOGNIZE THE IMPORTANCE OF EVERY CHILD Students are human beings. Treat each student impartially and in a kind and just manner. Respect students' individual differences. Usually, students are not slow on purpose. Some individuals may require additional help, understanding and encouragement. They do not need lectures. Frustration is a prime cause of poor discipline. Make all personal corrections in private. Avoid ridicule and sarcasm.  BE PREPARED BY HAVING INSTRUCTIONAL MATERIALS READY Groups waiting for materials can be starting points for discipline problems.  BE READY FOR A REAL PROBLEM In spite of your best efforts, you may have a student who is a problem. Never lay a hand on the student. Our school district has a policy which prohibits the use of corporal punishment. As a last resort, you should refer them to the principal.  WATCH ATTENTION SPANS It is important to know when to change activities, when to speed up and when to slow down. Follow normal classroom procedures. Make directions clear and concise.  DO NOT LEAVE THE STUDENTS Whether in the classroom, hallway or playground, never leave your students unattended. If an emergency comes up, ask a neighboring teacher to cover your class.  BE POSITIVE Praise what is good far more than you scold what is bad.  GIVE STUDENTS RESPONSIBILITIES Responsibilities suited to their abilities and understanding help create a sense of belonging. Talk with students, not at them. When students feel they belong, problems are few.  AVOID MAKING THREATS Not only is this approach negative, but you must place yourself in the position of losing your control with a threat that cannot be carried out.  KEEP YOUR SENSE OF HUMOR Every problem is not a catastrophe.  TRY TO MAKE A GOOD IMPRESSION Be pleasant and display self-confidence, dignity, enthusiasm. Be prompt and be professional.  START YOUR OWN BOOK OF SPECIAL NOTES Always keep it with you and add to it as you go along. In every room, you will find an idea that you can use and adapt to another situation.  A FINAL NOTE By your request to be placed on the list of substitute teachers who are available to serve this school district, you make a commitment to teach when you are called. If a prior teaching assignment or compelling personal reason demands that you decline a request, please do so according to the AESOP guidelines. PAYMENT PROCEDURES FOR SUBSTITUTE TEACHERS

All substitute teachers must complete a W-4 form, K-4 Form, and Automatic Deposit form at the Superintendent's office before any payment for teaching will be made.

The current rate of pay is $85.00 per day for regularly licensed teachers. Emergency Substitutes will be paid $80.00 per day. When a teaching assignment is long-term (more than 10 consecutive days), the substitute will be compensated at a rate based on the salary schedule.

Pay periods end on or about the 10th of the month and checks are direct deposited on or about the 27th of each month. Below is the schedule for the 2014-15 payroll and expenditure deadlines and pay dates. This schedule is based on when the Board of Education meets. Unfortunately, there is a time of the year when we do have severe weather. Every precaution will be taken at the schools to protect the pupils. In the event of bad weather, necessitating the closing of school, teachers are requested to listen to the following media outlets:

In addition, school personnel will contact substitutes if school is canceled for any reason. RILEY COUNTY SCHOOLS EMERGENCY PROCEDURES

The first person that is aware of a situation occurring should immediately direct nearby students/staff to safety and then notify the office by intercom or telephone.

LOCKOUT: WILD ANIMAL, OUTSIDE THREAT When the announcement is made: - Custodian(s) and available adults lock all outside doors - Secretaries place signs on main doors that indicate “school is in lock out, no admittance” - No one is allowed to enter or leave the building until “all clear” is announced - Teachers, close and lock doors, close blinds and take attendance - Missing students are allowed in classrooms as they are located - Student movement within the building is allowed only with adult supervision - Situation may escalate to Lock Down - Once danger has been resolved, All Clear is announced and school returns to normal

LOCKDOWN: INTRUDERS / HALLWAY DISTURBANCE When the announcement is made: - Students should report to the nearest classroom or office - Close all windows, lock your doors and do not leave for any reason - Pull shades to all room windows - Shut off all lights - Pile up any classroom furniture you can against the door - Use parachute cord to wrap around door handle. Then wrap it around yourself, sitting on it. Place yourself around the corner of the door (handle side of door) - Use fire extinguisher/ wasp spray and any other weapons in classroom to defend yourself as a last resort - Take attendance as quietly as possible - Instruct students to be as quiet as possible - Wait for further instructions

EVACUATION: FIRE/GAS LEAK When the announcement is made: - Take the closest and safest way out using evacuation and/or alternative education routes - Take attendance clipboard and orange bucket - Do not stop for student/staff belongings - Go to designated are and wait for further instructions - Check for injuries - Report missing and/or injured students to command post using color cards (colored, laminated 8.5” X 11” colored sheets on clipboard)

RILEY COUNTY SCHOOLS EMERGENCY PROCEDURES, CONTINUED

DROP, COVER AND HOLD: EARTHQUAKES When the command “drop” is given: - Drop: Take cover under a nearby desk or table and face away from the windows - Cover: Cover eyes by leaning your face against your arms - Hold: Hold onto the table or desk legs

SEVERE WEATHER: TORNADO When the announcement is made: - Students move to predetermined safe locations and assume duck and cover positions - Students and staff remaining quiet for further instructions - Teachers take attendance to confirm all students are in safe location – close all doors and windows if possible. Report attendance using emergency status cards (colored, laminated 8.5” X 11” colored sheets on clipboard) - Teachers take classroom crisis kit (orange buckets) - Use pre-determined communication methods between office staff and shelter areas - Remain in safe locations until all-clear is given - Everyone available assist younger children or those with special needs

SHELTER IN PLACE: CHEMICAL SPILLS When the announcement is made: - Students are to be cleared from the halls immediately and report to assigned classrooms or classroom/office nearest their location - Take attendance. Use intercom system, phone or email to report missing students - Do not allow anyone to leave or enter classroom - Stay away from all doors and windows - If instructed to do so, close and tape all windows and doors and seal the gap between the bottom of the door and the floor - Wait for further instructions

REVERSE EVACUATION: SUSPICIOUS PERSONS / RABID ANIMAL When the announcement is made: - Move students/staff inside as quickly as possible - Make sure that the door locks behind the last person - Report to homeroom - Take attendance. Use intercom, phone or email to report the incident and/or missing students - Wait for further instructions
