Shared Communications Functionality

With this update, Ethics and Awards offices may choose to make specific email communications visible to researchers in the related Researcher Portal application. Researchers will still receive emails as they have in the past, but copies of some emails may also be made available in the Researcher Portal for record keeping purposes.

NOTE: The various Ethics and Awards offices may utilize this functionality differently. Please contact the particular office related to your Researcher Portal application if you have questions on how that office uses this functionality.

Emails made visible to researchers will be accessible via the Logs tab in the Researcher Portal.

NOTE: An email made visible to researchers will be visible to ALL Project Team Members with Researcher Portal access to the file.

Character Limit Warning

To assist researchers with character limits in text areas of applications, an alert will appear when copied and pasted text exceeds the character limits for the field.

NOTE: If copying and pasting text, ensure that you are pasting content as “,” not formatted text from Microsoft Word. Using a text editor, such as Notepad (PC) or TextEdit (Mac), may be helpful for ensuring you are working with plain text.

If your text exceeds the character limits, an alert will appear that reads “Maximum character limits reached. Do you want to continue this copy and paste of trimmed content?”

Click “OK” to have copied text trimmed to the character limit for the field and pasted into the field.

Click “Cancel” to abort the copy and paste attempt.

Improved Exported Document Layout

PDF exports in the Researcher Portal have been updated for improved layout. The question number column width has been reduced, and the question and answer column widths are split evenly in the remaining table width.

Multiple Session Deterrents

Researchers using the Researcher Portal should only have ONE session of the Researcher Portal open at a time. Multiple open sessions may result in errors and/or lost data.

To deter opening multiple sessions, the option to open new browser tabs/windows using a right click of the mouse has been disabled while in the Researcher Portal.

Withdraw Functionality Change

In previous versions, the PI could withdraw an application while it was actively under review by a signing authority. With this update, applications may only be withdrawn when the PI controls the application, including pre-submission and pending requested revisions by signing authority or ORS. In other words, PIs can only withdraw applications listed under Applications: Drafts or Applications: Requiring Attention.

Workflow Latest Status Shortcut

A new button will be available for researchers and Signing Authorities to use to view the latest workflow status for an application. When the “Latest Workflow” button is clicked, the user is taken directly to the Application Workflow Log for that application.

Non-Gender Specific Prefix Option

A new non-gender specific prefix option (Mx.) has been added to the list of available name prefix options.

Principal investigator Reference on the Events Screen

In the Events screen of an application, the name of the PI will appear under the File Number. This update is intended to assist Project Team Members who may be working with several PIs on different applications.

The information viewable on the Project Sponsor Info Tab and the Sponsor Info popup window will be changed with this update.

NOTE: The information users need to input as part of the application process is NOT changing. Only the information visible on this tab and window is being updated.

Highlighting Attachments for Reviewers

NOTE: This update only affects users using the Reviewer functionality.

Ethics and Awards office staff will be able to highlight specific attachments for review committee members. This functionality may be helpful in cases in which files have numerous attachments on the Attachments tab and reviewers need to focus on specific documents within that collection of attachments.

When reviewers view a file application/event that has highlighted documents, they see the highlighted documents at the top of the documents listed on the Attachments tab in the Researcher Portal. Highlighted documents will also appear in red text.

NOTE: If no documents have been highlighted by the Ethics or Awards office, the documents will appear in the default order in the file (as they have in the past).

NOTE: This update only affects users using the Reviewer functionality.

For reviewers, additional information will be available on the Committee Reviews tab. If no information is available for one or more fields, the space next to the field will be blank.
