AGREEMENT BETWEEN ___(NAME OF ORGANISATION)___ and IEEE UTTAR PRADESH SECTION ON ______(NAME OF CONFERENCE with date)

The Following is mutually agreed upon by the IEEE Uttar Pradesh (IEEE UP) section and… (NAME OF ORGANISATION)…..

1.  The …………..(organization name)….. will organize and hold the ….(full Conference title with date)…, herein referred to as the “Conference) and provide all necessary logistics. The ….(organization)… shall form the conference organizing committee to oversee all the conference operations and technical issues.

2.  The IEEE UP section shall not have any financial nor logistic responsibilities over the entire event.

3.  For International Conference/Workshop, it is mandatory to haveat least 2-3 Keynote Speakersfromoutside India.

4.  The organizer should

·  Submit the detailed resumes of Conference organizers i.e. General Chair, Organizing Chair and Technical Program Committee Chair. It should be ensured that Chairs should be IEEE Members of good standing.

·  Display the IEEE plagiarism policies on the home page of the conference website.

·  Ensure the use of good plagiarism check software for checking the plagiarism of submitted papers.

·  Submit the scanned/soft copy of license version of good plagiarism checksoftware.

·  Not have more than 4 papers in this conference. If it is not honored then organizer will be debarred for at least one year.

·  Give appropriate space to IEEE Uttar Pradesh Section in various conference publicity material such as conference leaflet, conference website, banners, news, certificates, mementos etc withdue permission from the Section.

·  Pay the charges applicable, if any, to MGA through UP Section.

·  Submit within a month of date of event the News of Conference in publication of IEEE R-10 News Letter () and also in IEEE India Council News Letter () as well as a copy to Convener, Web and News Letter Committee IEEE U.P. Section- Dr Rajat K Singh ().

5.  The technical program committee chair should ensure that all the suggestions of reviewershave been incorporated by authors in the revised version.

6.  It is desirable to use the facility of Conference Publishing Services (CPS) of IEEE Computer Society (http://www.computer.org/portal/web/cscps/home) as per their guidelines andconditions.

7.  Conference organizer is also required to present& send the progress of conference/ workshoptime to time before the executive committee members of IEEE Uttar Pradesh Section.

8.  Only good quality papers should be accepted in conference. If some issue related to quality is compromised by organizers, and is detected at later stage then that Conference organization may be debarred forfuture technical or any other type of sponsorship from UP Section.

9.  Editors /Publication Chair of conference should ensure the proper formatting, language of paper etc. of papers as per IEEE conference format and guidelines.

10.  In the technical paper presentations session, each paper’s presenter should allocated minimum15 minutes time.

11.  IEEE U.P. Section will nominate minimumTWOmembers to monitor the quality and progress of conference. The organizers should share the plagiarism reports, reviewer’s comments (at least two reports per accepted papers) with the Section nominees.

12.  During Technical Session, all the Session Chair must possess the PhD qualification in relevantarea, except the Industry personnel.

13.  Skype mode of paper presentation should be accepted in exceptional cases. They should also send to publish in IEEE Xplore.

14.  Only good quality of presented papers to be uploaded on IEEE Xplore after getting the approval fromConvener, Professional Activities Commitee, IEEE Uttar Pradesh Section. At present- Prof Ekram Khan, Deptt. of Electronics Engineering, AMU, Aligarh() Email:, Mobile No. 9457110112. They are required to regular update the progress of conference toConvener- Professional Activities Committee.

15.  The chairperson of the event organizing committee should submit a report on the event, statement of income from all sources, statement of expanses to the IEEE UP Section executivecommittee within one month of completion of the event. All the documents should be duly verified bythe chairperson of the organizing committee of the event.

16.  Organizers should pay a contribution/donation amounting 7.5 % of the total registration fee or Rs 20000/- whichever is maximum for technically co-sponsored (permitted to upload papers in IEEE Xplore) Conferences to IEEE UP Section. The collected contribution will be used only for increasing the vibrancy of the section by increasing the Student/YP/WIE/SIGHT Activities. The section is also planning to celebrate its Silver Jubilee Celebration in 2017.

17.  Chairman, IEEE UP Section will have full right to ask for termination of the MoU signed with IEEE HQ (to upload the paper in IEEE Xplore) and Organizers if it is not followed.
