Introduction

This guide relates to the Box Legal ATE Referrer panel and in particular those referrers who are not registered with the Financial Services Authority. Please contact Box Legal should you in fact be registered with the FSA and require a website guide.

The Box Legal Website is for use by Solicitors and Work Referrers who wish to notify Box Legal of cases they want to insure. It also allows Solicitors to provide updates on existing insured matters. In order to register as a website user, you must have first signed up to the Box Legal ATE panel scheme.

Registration

Referrers can utilise a single login for all users or can set up individual logins for each user. For security purposes, we advise that separate logins for each user are utilised. This will allow us to delete a user without affecting other login settings.


To register and set up a log in, click on the Referrer Login button on the menu bar. This will take you to the login screen.
Click on the Register Button

Complete the on-line form in full. The email address you enter will be the one that you will use to login in future. Please note that you must use a work not home email.
You can set up your own password but note that no numbers are permitted.
Once you have completed all of the fields, click the Register button. /

Once you have registered, you will be taken to a confirmation page. We will receive your registration request and will process it as soon as possible but always within 1 working day. As soon as we process your request, you will receive confirmation by email that you can now access the secure area of our website.

Logging In

As soon as you receive the confirmation that we have approved your registration details, you will be able to log in and gain access to the secure area of the website. Click the Referrer login button on the menu bar and you will be taken to the login screen.

/ Enter your email address (the one you provided on your registration form) and password then press the Login Button
The system will then log you in within 2-5 seconds
If you have forgotten your password, click the text underneath the password box and we will send you a reminder.
Once logged in, you will be shown your access rights. Click the Non-FSA Registered Referrer option for Access.

Panel Solicitor Set-Up

Before cases can be submitted for the first time, we will need to receive full details of each of your Panel Solicitors including a contact name and dedicated email address for correspondence. Once received, we shall set up an option list of Solicitors specific for your company. This will enable you to select the Panel Solicitor to whom you sent the claim each time you submit a notification.

Please note that each Panel Solicitor used must also be signed to the Box Legal ATE Insurance scheme.


Notifying us of New Matter Referral

Referrers not registered with the FSA are not permitted to insure cases directly themselves. The legislation is very widely drawn and includes providing details sufficient to cause the insurance to commence. We are therefore not allowed to receive full claim details but instead we can be informed when a case has been passed to one of your solicitors and we then contact the solicitor to ask them to provide the information in order to allow the case to be insured.

Click the option ‘Notify us of a claim passed to one of your Solicitors’. You will be taken to the following screen.

Once you have completed the information, press the ‘Submit’ button and you will be taken to the confirmation page.


Confirmation Page

The website repeats the information you have entered. If you have made mistakes, click the cancel button – you will then be required to re-enter the information.
If you are happy with the information, click Accept. /

Once you have submitted notification that a claim has been referred to one of your solicitors, you will receive an email receipt confirmation from our system within 1 hour. At the same time, the panel solicitor you selected will receive notification that a policy may be needed on the file. They will then be required to log into the Panel Solicitor part of our website and provide additional claim details such as type of accident, client address etc.

Once they have supplied this information, an ATE policy will be requested from Leeward Insurance.

Missing Data Chasing

If the solicitor fails to supply the information, we will send them a reminder email and also inform you at the same time.

Insurance Certificates

Once the full claim data has been submitted, your Panel Solicitor will receive the ATE Insurance Certificate for each client by email within one working day.

Panel Solicitor Reporting

Once a claim is on cover, your Panel Solicitors will be able to submit all reporting via our website. The options for the solicitor are:

  1. Policy Cancellations
  2. Case Successful Notification (Upon Receipt of Costs)
  3. Proceedings Issued
  4. Case Lost – Claim on Policy
  5. Reinstatement of Previously Cancelled Policy

You will receive an email notification each time your solicitors reports one of these actions, save for Proceedings issued.


Successful Case Conclusion (Upon receipt of costs)

Under the policy terms and conditions, your solicitor is required to notify us when costs have been received. Once we have received this notification, an invoice for the policy premium will be approved by Leeward Insurance and sent by us to the solicitor within 24 hours. You will also receive an email confirming that the claim has been concluded. The email will explain the commission procedure which will apply.

Receipt of Premium

When payment of the premium is received from the solicitor, we will send an email notification to you. All policy payments are held in our Client Account for 14 days before payment is processed. This is to ensure that FSA regulations with regard to cheque clearance are complied with.

Payment of Commission

We process all cleared cheques every Monday and send any commission due together with a schedule. We also enclose our commission invoice [marked as paid] for £35 plus VAT. You should use these invoices to reclaim VAT.

We also forward the underwriting balance of each policy payment to Leeward at this time.
